BEFORE YOUR FAIR
Your principal can invite local businesses and organizations to give back to the community as a Book Fair sponsor with these Sponsorship Letters.
Share the great news of the sponsorship with families by sending the Principal Letter home with students. Customize it with your details.
Create a Shopping Schedule; share it with classroom teachers and other faculty.
Consider allowing expanded shopping time for the youngest students.
Consider scheduling a make-up shopping session on the last day of your Book Fair for students who were absent during their scheduled shopping time.
Recruit faculty and/or parent volunteers to support the Book Fair by performing activities like checkout and helping students find books.
Create a Volunteer Sign-up Sheet (cross-check it against the Shopping Schedule to ensure adequate support during student shopping times).
Aim for a minimum of three volunteers for each time slot.
Make sure that you're prepared to accept delivery of the Book Fair as scheduled. (Scholastic will provide advance notice of your delivery date.)
DURING YOUR FAIR
When students enter the Book Fair, take a few moments to explain the sponsorship and provide guidelines for shopping.
Have a printed copy of each class roster at checkout; as each student checks out, cross off the student’s name on the class roster to indicate they've received their books.
Follow the POS (Point of Sale) Procedure provided by Scholastic.
All books must be scanned on the POS device.
Each student’s selections must be processed as a separate transaction.
Remember that student book selections are the only transactions permitted during a sponsored Book Fair. Additional sales and other payments cannot be accepted.
Remind teachers of the scheduled make-up shopping session for students who are absent on their scheduled shopping day. Alternatively, ask a friend or a teacher to choose books for absent students (scan books on the POS and check the student's name off the classroom roster).
Enlist faculty members to take photos and/or videos of students participating in the Book Fair to share with the sponsor.
Make sure all students shown in photos or videos have your school's Image Release Form signed by parents or other adult guardians.
Do not share photos or videos that include students with no signed release form.

AFTER YOUR FAIR
Make sure that you're prepared for pickup of the Book Fair as scheduled. (Scholastic will provide advance notice of your pickup date.)
Close cases, repack the POS device, and place everything in one easily accessible location.
Unlike a standard Book Fair, it's not necessary to report your financials; Scholastic will complete financials on your behalf.
