In a Nutshell

Pomfret School has a new "cloud" printing system as of January 2017. Rather than sending a print job directly to an individual printer, each job goes to a remote server and you can then access your print job from any enabled printer on campus using your Pomfret ID card to login. There are several reasons for this change:

  • To reduce paper waste (if you accidentally print something you don't need or print it more than once, you can still delete the accidental print job at the printer instead of wasting paper)
  • To increase security (print jobs no longer sit on the printer waiting for you to retrieve them)
  • To get better reporting on usage by user, department or device
  • To better serve the needs of the Pomfret School community

There are two new "cloud" printers available to you. They are:

  • CloudPrint-Color
  • CloudPrint-BW (black & white)

While your document will print at any of the stations listed in the next section, you should be aware that only certain machines are capable of color printing and if your color print job does not appear on the screen when you login to the printer, you're probably at a black and white only machine.

To promote an understanding of the costs of paper printing, you will see a value associated with each print job. YOU WILL NOT BE CHARGED ACTUAL MONEY FOR PRINTING AT THIS TIME.

The current per-page cost is as follows:

  • Single Sided - BW $0.014 / Color $0.064
  • Double Sided - BW $0.01 / Color $0.06

Employees do not have a quota, but will be able to track the cost of their printing using these figures.

Students start each month with $5.00 of printing funds. This will allow for about 350 single-sided, black and white prints per month. This is not transferable to cash and is for printing services only. If a student runs out of credit for printing, they may request more. Larger requests for credit will be charged to a student's Pomfret Card while small requests may be complimentary.

How to Add the Printers

Chrome OS / Google Apps Users (Students and Staff)

To add the printer to your Google Apps account or print from a ChromeOS device, click the link for the printer below, confirm you are logged into your Pomfret email and then press the blue Add Printer button to confirm.

Mac AirPrint (Students and Staff)

The following instructions (as depicted in the video above) will allow you to print most common documents on a Mac (B &W, color, single or double-sided).

To connect to the printer:

  • Go to Apple Menu / System Preferences / Printers & Scanners
  • Click the + (add) button on the left hand side (below the installed printers)
  • Select CloudPrint-BW from the list (be sure to use the one with capital letters)
  • Click Add
  • Repeat the process and select CloudPrint-Color from the list

The first time you print:

  • A dialog box will pop-up asking for your Sundial login.
    • If this is entered incorrectly, your computer will show your print queue with the error "Holding for Authentication"
  • There is a "remember" checkbox on the pop-up. If you do not click this, then you will need to enter your login every time you print.

To use advanced features such as stapling and hole punching, please skip ahead to the instructions in the next section.

Advanced Features on a Mac (Staff)

If you would like to take advantage of the stapling and hole punching features of our Xerox machines, then you will need to follow the following instructions.

First - Prepare your computer:

  • Download the Xerox driver here.
  • Go to your downloads folder -> open the XeroxPrintDriver file -> then double-click the installer that appears
  • Click Continue three times -> click Agree -> click Install -> enter your computer password -> wait for the install
  • After the files copy, you will reach a "Select a Printer" / "Discovered Printers" screen with a list
    • Press the "Continue" button at the bottom right
    • Press the "Continue" button at the top center
    • Press "Close" to finish the installation
  • Click Move to Trash (at top center)

Then - Add a printer:

  • Go to the Apple Menu / System Preferences / Printers & Scanners
  • Click the + (add) button on the left hand side (below the installed printers)
  • Select the IP tab (blue globe)
  • Enter the following information
    • Address: 172.16.255.216
    • Protocol: Line Printer Daemon - LPD
    • Queue (case-sensitive!): CloudPrint-BW
    • Name: CloudPrint-BW
    • Use: Select Software...
      • In the pop-up, search for "7855"
      • Select "Xerox WorkCentre 7855" and hit OK.
  • Press the Add button
  • Enable staple and hole punch options:
    • Select the printer on the left / Options & Supplies / Options tab
    • Paper Trays: 5 Trays
    • Finisher: Professional Finisher
    • Hole Punch Module: 2 and 3 Hole Punch Unit
    • Press OK button to save the settings
  • Repeat the above steps to Add a Printer except enter CloudPrint Color in the Queue and Name field

Last - First time printing: The first time you print a document, a box will appear asking for a login; it is looking for your Sundial login info. If you mark the remember my login info, you will not be asked again for your login until your password changes.

Windows (Staff)

Employees with Windows PCs should see CloudPrint-BW and CloudPrint-Color "cloud" printers automatically. If you do not, they can be added with the following directions:

  • Open the Start Menu
  • Type \\print\ into the search box and hit enter
    • A window should open with a list of printers
    • If your web browser opens, try typing \\print\ with the slashes leaning in the other direction
  • Double click on CloudPrint-Color and CloudPrint-BW

Frequently Asked Questions

  • Will I now have to pay to print? No. Currently, neither Employees nor Students will be charged to print documents on campus.
  • How much can I print? Employees have no limit, while students can freely print $5 worth of documents per month (this is approximately 500 black and white pages and less than any student has printed this school year).
  • What if I get a message that I'm out of printing credit? The student should contact IT to increase their printing limit/quota; IT will increase the limit for free (within reason). Special requests for large and excessive cost printing may be charged to a student's Pomfret account.
  • I'm an employee. Are you taking away my individual printer? IT will begin to decommission many of the printers on campus starting the last week of January. With few exceptions, all offices will keep one non-Xerox printer for special projects and media, such as card stock, labels, envelopes etc. This will enhance security of your printing, provide access to better equipped machines, and reduce printing support costs for the school.
  • How do I retrieve my print job at the printer? Take a look at the Mac video above. The retrieval instructions in the video apply for Macs, Windows, and another other device.
