Backing up files and folders from PandaDoc to the church's Google Drive is important for several reasons:
1. Data loss prevention: Files can be lost due to various reasons such as hardware failure, accidental deletion, malware or ransomware attacks, natural disasters, or even human error. Regularly backing up your files ensures that you have an additional copy stored safely, so if any of these events occur, you can easily recover your important data.
2. Protection against hardware failure: Hard drives can fail unexpectedly, and if you don't have a backup, you risk losing all your files. By backing up your data, you reduce the impact of hardware failures, as you can restore your files to another device or a new hard drive.
3. Accidental deletion or file corruption: People make mistakes, and it's not uncommon to accidentally delete or overwrite a file. Additionally, files can become corrupted due to software issues or power outages. Having a backup copy allows you to retrieve the previous version of the file before the deletion or corruption occurred.
4. Ransomware and malware protection: Ransomware is a type of malicious software that encrypts your files and demands a ransom to release them. If you have a backup, you can restore your files without paying the ransom. Regularly updating your backups helps protect against such threats.
5. Seamless data migration and device upgrades: When upgrading to a new computer, smartphone, or any other device, having a backup allows you to transfer your files easily. You can restore your data on the new device without the hassle of manually transferring each individual file.
6. Peace of mind: Knowing that your important files are safely backed up provides peace of mind. It eliminates the stress and anxiety associated with potential data loss, allowing you to focus on your work or other activities without worrying about losing precious data.
To ensure that folders and files in PandaDoc are backed up and moved to the church's Google Drive, the Tech Team will perform regular backups of all files and folders within the Backup folder in your ministry folder in PandaDoc. All files and folders in the Backup folder will be managed by your ministry. The purpose of this backup folder is for your ministry to save any documents within PandaDoc to the church's Google Drive, in the event that there are technical difficulties with accessing the documents in the PandaDoc website. Plus, ministry team members that do have access to PandaDoc can retrieve the documents once they are on Google Drive.
The Tech Team will ensure that all documents and folders in the Backup folder are exported and saved to the church's Google Drive to a folder named PandaDoc Backups. The PandaDoc Backups folder will be made accessible on the Google Drive to all ministries using PandaDoc.
It is encouraged that ministries include all completed reimbursement documents and any additional PandaDoc documents that the ministry needs to be backed up to the church's Google Drive.
Locate the Backup folder in the ministry folder and click on the Action button (three-dot vertical ellipsis) to the right of the folder.
Click on Download and PandaDoc will display a message saying that it will send a link to your email when the Zip file is ready.
Open your email and click on the Download link.
Finally, the downloaded Zip file that contains all the files and folders can be moved to the church's Google Drive to the folder labeled PandaDoc Backups.
All files and folders saved in the ministry Backup folder in PandaDoc will be backed up to the church's Google Drive to a folder labeled PandaDoc Backups. The backups will be performed every week by a member of the Tech Team so files and folders can be accessible to ministry team members throughout the week. The frequency of when the backups may fluctuate depending on the volume of changes to the ministry's Backup folder. For example, if no new files or folders are identified in a ministry's Backup folder since the previous backup, then nothing will get backed up because there were no changes within the Backup folder.
