To Staff: Opening of Grading Window early announcement -- 10 days prior to opening
Re: 2nd Qtr Progress Report Grading Window OPENS 12/10/18 and CLOSES 12/12/18
Good evening Wise Family,
Hope you all had an enjoyable and restful weekend.
I would like to remind you that the 2nd Quarter Progress Report grading window will OPEN on 12/10/18 (Monday) and will CLOSE on 12/12/18 (Wednesday) @ 11:59 PM.
For Help with Grading, please review the Grading "How-To" documents and other resources found on our Staff Grading page and the Grade Management page of the WHS Scheduling site (See "Reports" and "Staff Grading" columns).
Also, please review the following GRADING BEST PRACTICES:
Publish ALL your grades prior to the closing of the grading window. Any Progress Report grades NOT submitted prior to the closing of the grading window will be entered as a zero ("0").
Once you have published grades for a particular class, please go back and check to make certain that the grades you just published are accurate. Compare the published grades to any grades that were overridden in the previous grading cycle. SchoolMax tends to to hang on to the override grades. If a published grade is NOT correct, follow the steps in this document.
You MUST make certain that your gradebooks are configured correctly (i.e., grading weights and categories are accurate) in accordance with AP 5121.3 and have an adequate amount and equitable distribution of assignments in all categories: Assessment, Classwork, Homework, etc. For assistance with setting up your gradebook assignment categories and percentages, please click here.
We only submit grade PERCENTAGES; NO letter grades (Do not use A, B, C, D, E, P, F, N, I, or W) except when directed by the Grade Manager or an administrator to do so.
Do not submit an empty grade. Every student on your roster MUST have a grade submitted for your class. Remember: No grade will be published for any student who does not have at least one graded assignment in his gradebook, unless an override is applied. If a student did not turn in a work assignment or missed an assignment due to an unexcused absence, you must give him a "0" for that assignment.
If you have a student whom you have never seen, contact the Guidance Office first to see if he is receiving Home and Hospital services, on long-term suspension, or a case of "missed" No-show who needs to be withdrawn from our system. For proper submission of his grade, please check with his Guidance Counselor or Grade Level Administrator.
Please send to Guidance any student who is sitting in your class but is NOT on your roster AND in your gradebook. We need to address this issue ASAP.
If you have any students who have just been added into your class roster, please ask the original teacher to generate a report of grades given to them so far this quarter. If you don’t have information about the original teacher, please contact their respective Guidance Counselors. They can tell you the teacher whom you need to communicate with in order to get your new students' incoming grades. If the original teacher is not able to provide you with the needed grade reports even after you communicate with him/her, you may email me or one of our Counselors (prior to the opening of the grading window) the names and corresponding courses of those students, and we will try to generate for you an electronic/PDF copy of their grade report.
If you have any students who have just been dropped from your class, please generate a grade report for these students and be ready to share the report with their respective new teacher(s). Click here for instructions on how to generate a grade report.
Please make certain to check for missing grades once you have submitted all of your classes. Please run the Missing Grade Report in APEX even if you get a Y to show that the class grades have been submitted, just to be safe. See directions on how to do this. Remember: You CANNOT access APEX Reports at home; You MUST be logged in to the PGCPS network domain in order to utilize this tool.
You do NOT always get a Y once you have submitted grades. The best way to ensure that grades have been submitted is to run a Missing Grade Report in APEX.
Please remember that you can submit (and resubmit) grades for a class AS MANY times as necessary prior to the closing of the grading window.
Please note that you are responsible for submitting grades for every student on your roster EVEN IF:
you've never seen the student;
the student has never attended your class;
the student attended for a very short time;
the student is physically attending another class and hasn't had a schedule change;
the student just got a schedule change;
the student is going to get a schedule change;
the student transferred out of your class;
you signed withdrawal papers;
the student transferred from another class/school/country; or
the parents/administrators/counselors are going to request a schedule change.
REMEMBER:
You MUST submit a grade for EVERY student appearing on your roster. One missing grade will prevent our ENTIRE school from having our grade reports printed.
The 2nd Qtr Progress Report grading window CLOSES on 12/12/18 @ 11:59 PM (the time on the server; not at school or your house).
Letter grades (e.g., A, B, C, D, E, P, F, N, I, W) should NOT be used.
Grade reports should be released on or about 12/21/18.
Please let me know if you have any questions or need further clarification. Thank you very much and have a great week ahead!

If you are working with students to complete any missing or special assignments (e.g., make-up work, extra credit work, make up tests/quizzes, etc.), please remember that ALL scored assignments must be entered into SchoolMax PRIOR to your final grade publication. If you have any students who have just been added into your class roster, you should contact his assigned Guidance Counselor to check if he/she has any incoming grades from the original school or transfer grades from the original teachers.
You must submit a percentage grade for every student on your roster. PLEASE do not skip any students. Please check with the respective Guidance Counselor or administrator for the proper grade submission for those students who are receiving home and hospital services or on long term suspension.

Re: 4th Qtr Progress Report Grading Window FOR SENIORS Opens 4/12/18 and Closes 4/13/18
Good morning Family,
I hope you all had an enjoyable and relaxing Spring break.
Attention: Teachers with One or More SENIORS in Class
The 4th Quarter Progress Report Grading Window FOR SENIORS will OPEN on Thursday, April 12th, and will CLOSE the following day, April 13th, @ 11:59 pm. Only teachers with seniors in class should submit progress report grades for ALL students in their class. Student Applications will use a script to remove all grades for non-seniors after the grading window closes.
Please Note: ALL graduating seniors have been given 12th grade status in SchoolMax. Therefore, any student who is labelled as 9th, 10th, or 11th grade in SchoolMax is NOT a senior scheduled to graduate in June and, therefore, does not need a progress report grade by April 13th.
How to publish SENIOR Progress Report Grades
If you have a class of Seniors Only (Grade 12):
Publish your grades as you normally would by clicking on the "Publish" button after you review the grades.
If you would like to include grade comments, you are encouraged to do so.
Print a copy of the grade reports submitted for your record. (Optional)
If you have a class of Mixed Grades Levels (with Seniors (Grade 12) and underclassmen):
If you have no changes to the grades of the seniors in your classes, publish your grades as you normally would by clicking on the "Publish" button. This would submit progress report grades for all students in your class. Student Applications will use a script to remove all grades for non-seniors after the grading window closes. (Please assure your underclassmen that this is NOT their 4th Quarter progress report grade. Their progress report grades will be submitted starting May 7, 2018.)
If you need to override a grade for a senior, you may do so by placing the new percentage grade next to the senior's name.
If you would like to include grade comments, you are encouraged to do so. Make certain that you only put comments for the "Seniors" ONLY.
Print a copy of the grade reports submitted for your record. (Optional)

Please review the following GRADING BEST PRACTICES:
Publish ALL your grades prior to the closing of the grading window. For any Seniors whose Q4 grades were not published prior to the closing of the grading window, you must submit to the grade manager by 10:00 AM on Monday (5/20/19) the following documents: (1) A hard copy of unpublished student grades from SchoolMax (signed and dated) and (2) A completed paper grade change form (PS-140) for each student. These documents will be forwarded to the Principal together with the Failure to Post Form.
For Senior Q4 Report Card grading, the due date for each assignment should fall within the Senior 4th Qtr start and end dates (3/29/19 - 5/17/19). Otherwise, the assignment will not be counted towards 4th Qtr grade.
Remember: Unless you applied an override, no grade will be published for a student who does not have at least one graded assignment in his gradebook. If the student did not turn in a work assignment or missed an assignment due to an unexcused absence, you must enter a grade of "0" for that assignment.
If you have any Seniors who have just been added into your class roster, please ask the original teacher to generate a report of grades given to them so far this quarter.
If you have any Seniors who have just been dropped from your class, please generate a grade report for these students and be ready to share the report with their respective new teacher(s).
Remember:
The 4th Qtr Report Card grading window for Seniors will CLOSE on 5/17/19 @ 3:00 PM (the time on the server; not at school or your house).
Letter grades (e.g., A, B, C, D, E, P, F, N, I, W) should NOT be used.
One missing grade will prevent our ENTIRE school from having our grade reports printed.
Grade reports should be released on or about 6/3/19.
Please let me know if you have any questions or need further clarification. Thank you very much and have a great day!

If you are working with students to complete any missing or special assignments (e.g., make-up work, extra credit work, make-up tests/quizzes, etc.), please remember that ALL scored assignments must be entered into SchoolMax PRIOR to your final grade publication. Once the 4th quarter grading window closes on June 14th, no further grade adjustments can be made.
Please also remember that this is the last quarter grade that will be used to calculate the FINAL course grade. To pass a course, a student must have earned a minimum score of 238 (240 to be safe) for a year-long course or 119 (120 to be safe) for a semester course.
You must submit a percentage grade for every student on your roster. PLEASE do not skip any students. Please check with the respective Guidance Counselor or administrator for the proper grade submission for those students who are receiving home and hospital services or on long term suspension.
All gradebooks should be configured correctly (i.e., Grading Weights and Categories are accurate) and in accordance with AP 5121.3. For assistance with setting up your gradebook assignment categories and percentages, please click here.
There should be an adequate amount and equitable distribution of assignments in all grading categories (e.g., Assessment, Classwork and Homework).
For Grades 9-11 Q4 Report Card grading, the due date for each assignment should fall within the 4th Qtr start and end dates (3/29/19 - 6/14/19). Otherwise, the assignment will not be counted towards 4th Qtr grade.
If you have any students who have just been added into your class roster, you should contact his assigned Guidance Counselor to check if he/she has any incoming grades from the original school or transfer grades from the original teachers.
Please submit a signed hardcopy of grades for all of your classes during EOY checkout.
For Help with Grading, please review the Grading "How-To" documents and other resources found on our Staff Grading page and the Grade Management page of the WHS Scheduling site (See "Reports" and "Staff Grading" columns).
Please let me know if you have any questions or need further information. Thank you very much.

To Staff: Grade Change Requests
Re: Q3 Grade Change Requests
Greetings Puma Family,
The Senior Q4 Report Card grading window is now closed. At this point, if you wish to make any adjustments to the Senior Q4 grades, you must submit an Electronic PS-140 Grade Change Application (through the link provided or via PGCPS>Staff Portal>Applications). You MUST be logged in to the PGCPS network domain in order to access the electronic PS-140.
Senior Q4 Grade Change Applications are due by the COB on Monday, May 20th.
Also, please note that per Section B of AP 5116 - Grade Change Authorization and Appeals, for grade changes initiated by the Assigned Teacher:
Assigned teacher must use the Electronic PS-140 in order to initiate grade changes.
Grade changes may only be initiated for the following reasons:
(a) Completion of make-up work. A copy of the completed makeup work must be attached to the electronic grade change authorization form;
(b) Error in grade entry or calculation;
(c) Other reasons such as:
i. Lawful absences as defined in COMAR and AP 5113, including student illness;
ii. Student transferring from outside jurisdiction;
iii. Failure to provide allowable accommodations in accordance with a student’s IEP or 504 plan; or
iv. Failure to provide supplementary aids and services in accordance with a student’s IEP.
The Teacher must provide a rationale/explanation for the requested change, along with evidence to support the grade change (e.g., completed work assignments, copy of the student's gradebook before and after grade change, etc.).
See sample evidence documents attached. At the minimum, evidence MUST include a copy of the student's gredebook BEFORE the grade change and a copy of the student's gredebook AFTER the grade change.
Please be guided accordingly and, if you have any questions, please let me or any of our administrators know. Thank you.

To Counselors: No schedule changes reminder -- opening day or earlier
Re: Schedule Changes
Good Morning Team,
Please be reminded that we should NOT make any schedule changes at this time until we receive clearance from Student Applications. Students new to our school, however, can be scheduled provided that we have incoming grades for them.
If you have recently scheduled a new student, please provide the teachers the student's incoming grades (Please Cc me).
Thank you for all your assistance.

To Counselors: Pending Schedule changes -- at least 3 days prior to opening
Re: Pending Schedule Changes Prior to Opening of Q__ Progress Report Grading Window
Dear Counseling Team,
The 4th Qtr Progress Report grading window for Grades 9-11 will open on Monday (5/7) and will close on Wednesday (5/9). If you have any pending schedule changes to the students' current classes that have not been entered into SchoolMax, please have them entered by Saturday, May 5th. Starting on Sunday, please refrain from making any schedule changes so as not to create missing 4th Qtr progress report grades due to class changes.
We will resume with schedule changes as soon as we receive clearance from Student Applications.
Thank you very much and have a great weekend!
