Meetings

In this section, discover how to make the most out of your meetings thanks to the Meeting Module

Meetings Structure

Meetings are stored under thematic folders (groups) which are organized by discipline

To create a new group under a discipline, right-click on the discipline and select "Create"

The new group gets a default name, to change it, right-click on the group and select "Edit"

For a specific group, default parameters can be set like "default meeting name", "default participants" and "default agenda points"

Click on the group you want to set

In the right part of the screen (detail screen), fill in the parameters you want to set as default (create a name, select default guests and default agenda points)

Please note, Relatics will automatically add the date of the meeting in its name

Then, when you create a new meeting, you can automatically add the default participants and agenda points or add specific ones

To create a new meeting, right-click on the group and select "Create"

The meeting's name is as set in the group, followed by the date of creation of the meeting (this can be changed to the date on which the meeting occurs)

General Tab: Add participants

If you do not use the standard participants list or want to add other guests, select them in the list as shown below and validate by clicking on "Add participants"

Agenda Points Tab:

In this tab you can either choose to use the default points set in the meeting group and/or add new ones

To do so click on the "copy standard agenda" button or click on "new agenda point" to create new ones

Minutes, Decisions, Actions Tab

For every agenda point of a specific meeting the user can record:

  • Minutes

  • Decisions (and select the item to which it is related)

  • Actions (and specify a deadline as well as a person who will complete the action)

Products Tab

Reports of the data entered in the previous tab can be exported in pdf format

Click on the appropriate pdf icon to export either a report of the minutes or of the agenda

These reports can then be stored in Relatics

Click on the "create agenda product" or "create minute product" button and fill in the empty fields

Product code is automatically generated and the revision of the report can be adjusted (select letter from A to Z)

Then upload the pdf by double clicking on the "content" cell
