Join IT professionals from throughout the university to share information and discuss relevant topics.

All events will be held online via Zoom with no registration required except for the in-person IT Community Awards Luncheon, Celebration and Closing Session at Duke Energy Hall in Hunt Library on Thursday, Nov. 17 at noon. RSVPs for the luncheon are closed, however, others are invited to join the program that will begin at approximately 12:45 either in person or via Zoom.

Special guest speaker Dr. Melissa Woo, CIO and executive vice president for administration at Michigan State University, will join us to kick off the eighth annual IT Community Event. Dr. Woo has been active in and is a well-known speaker within the higher education IT community. Among her many accolades, she won the inaugural EDUCAUSE DEI Leadership Award for her actions leading to improved diversity, equity and inclusion in the higher education IT community.

NC State CIO Marc Hoit will kick off the session and we'll hear a special address from Chancellor Randy Woodson.

After the session, attendees will be invited to join breakout rooms for informal conversation, providing a chance to "mingle" with colleagues in the NC State IT community.

Poole College of Management, DELTA and several other campus units are using Joan to manage the scheduling of conference rooms or desk spaces, particularly as hoteling space becomes more prevalent. The service also has a wayfinding option available for building navigation.

NC State’s Research Facilitation Service (RFS), a joint endeavor on the part of University Libraries, OIT and ORI, is available to help researchers navigate a broad range of possible research solutions to conduct efficient and secure research. The RFS partners with existing research computing and data providers on campus to meet NC State’s research needs, maintains knowledge about available community resources, and monitors emerging technologies to advocate for areas of potential growth at the university.

The RFS is currently piloting with the College of Sciences (COS) to build its internal workflows, refine processes with OIT and COS IT members, learn more about campus needs, and understand how to scale and scope the RFS. During this presentation, we’ll provide background and context for the creation of the service, as well as details about our pilot process with COS. We’ll also talk about the next steps for the RFS.

Integration and Automation are two buzzwords in our industry that get thrown around frequently. Many times, it can appear to be more costly to automate a process rather than complete it manually. In this presentation we will cover our approach to automation, organically embedding automation in our team, and discuss some open source and some paid solutions that keep costs down and impacts high. Among others, we'll be discussing Reclaim.AI, TypeBot, NodeRED and Slack.

The Office of Information Technology transitioned their IT change management application to ServiceNow and with that transition came a new process for managing changes to the campus IT services and systems.

This presentation will describe the purpose of the IT change management process and who are the participants in the creation, approval and implementation of the change activity.

The Libraries' IT department has come out of the pandemic with an infrastructure built around a "remote first" mindset. One of our biggest challenges was keeping up with inventory during the pandemic response. What came out of that need was an automated inventory system built around data from our two configuration management systems. Come see where the Libraries' collaboration with OIT resulted in an automated inventory system for device location and ownership tracking, as well as a software inventory that uses disparate reporting tools to consolidate into a unified reporting tool. We'll discuss successes, where we had learning opportunities, and where we expect to go next.

Airtame is an alternative for digital signage and screen management with some special features. One of those features includes the potential to allow for selling ad space on classroom screens before and between classes. Hear how Poole College of Management is implementing the service.

In 2015 the bathroom-sign lady with the triangle dress received a serious makeover. I will share how an agile project management software company, Axosoft, launched a campaign that challenged people to be conscious and collaborative and to be aware of what’s going on in the world of technology and other spaces that women occupy. How can something so small make such a positive impact? Discuss what it is we can do to recognize the challenges women face in their roles in IT programs. How can we support a mission for collaboration, which enhances excellence through positive leadership and inclusion?

The university is in the process of inventorying multi-user systems and applications throughout campus, gathering that information into the ServiceNow Configuration Management Database (CMDB). While the process is required to be in regulatory compliance, it also helps campus units improve change management processes by connecting assets (Configuration Items or CIs) to change requests and providing an enterprise-level asset tracking system. OIT has processes to help with getting assets into the CMDB through Discovery.

This session will:
1) Describe the Discovery process and how to get started with it.
2) Explain how users can interact with their CIs after Discovery.
3) Provide an introduction to hardware asset tracking.
4) Share the next steps after initial Discovery.

As the level of cyber threats and regulatory compliance obligations continues to increase, Security & Compliance – Information Security, Risk & Assurance (ISRA) is revamping the NC State Cybersecurity Liaison Program. Hear how University Advancement implemented a new annual data security training initiative designed to supplement and reinforce OIT's annual Data Security Training.

The team worked with the newly formed University Advancement Data Governance Committee to solicit feedback prior to and after developing the training. The resulting training video incorporated messaging specific to security concerns regarding working with Advancement-related data.

Working in online and hybrid education put us in the perfect position to help our instructors pivot to the new environment in the early days of the pandemic. Now, years later, we have a chance to look back on that initial, frantic adjustment and the long tail of support involved in moving so many courses online so quickly as we move many of them back to a largely hybrid environment. Our IT staff in the Wilson College of Textiles and Poole College of Management use this open source database to track all sorts of assets and consumables. Implementing some web hooks has allowed us to utilize portions of the Snipe-IT database to create ServiceNow tickets for requests.

Are you curious about cloud platform services on campus? Several IT teams on campus are building infrastructure in the cloud. REG 01.25.12 sets forth NC State’s records retention policy and procedures in compliance with North Carolina law, and it applies to both paper and electronic records. University units are responsible for establishing appropriate records retention management practices that are consistent with this regulation. Lynda and Todd will provide an overview of the records retention and disposition schedules and other general information regarding records.
