ZOOM Video Conferencing

Welcome back to ZOOM everybody! ZOOM has been working very hard to ensure the security of their platform, which means that all that hard work has come to a point where we are comfortable recommending it once again. With that said, there are some important items to take into consideration when setting up a ZOOM meeting.

We’re keeping this separate from everything else so you know how important it is:

If you have any current Zoom Meetings that are set to repeat, please delete them all right now.

Excellent, let us move on with more exciting things! Below are some of the new features Zoom has added to help things stay more secure. Underneath that will be a link to instructions on how to make use of these awesome features.

1. Default waiting rooms!

a. Every Zoom meeting now has an automated waiting room on by default. This means that you will be required to allow participants as they arrive.

2. Password Protection

a. For added protection you can now password protect your Zoom meetings, requiring a new password for every meeting

3. Better Screen Sharing Controls

a. Allow Screen share from just the host or from all participants

b. Block participants from booting others off screen share

4. Boot attendants off the meeting when necessary

5. When you end the meeting, it ends it for everybody - no hanging around after the teacher has left to keep chatting

6. The Co-Host feature a. Assign a co-host to focus on the administrative side of the meeting, like allowing participants in, without the host having to switch focus

7. Lock down the chat so students cannot send private messages to each other

ZOOM: The How Tos of Privacy and Security

Setup your secure ZOOM experience.

1. Visit zoom.com and log into your account

2. Click in the upper righthand corner where it says “My Account”

3. Click Settings

a. These settings will be set for all future meetings by default

4. Make certain all the following controls are set to “OFF”

a. Join Before Host

b. Chat (Additional settings for chat will be discussed later)

c. Allow Removed Participants to rejoin

d. Far End Camera Control

e. Virtual Background

f. Allow Live Streaming Meetings

5. Make certain all the following controls are set to “ON”

a. Mute Participants Upon Entry

b. Co-Host

c. Allow Host to Put Attendee on Hold

d. Always Show Meeting Control Bar

e. Screen Sharing

..... i. Who Can Share: HOST ONLY

f. Whiteboard (If you use it)

g. Nonverbal Feedback

h. Breakout Rooms (If you use or want to use)

i. Waiting Room (Should be toggled on by default)

... i. Choose Which Participants to Place in Waiting Room: ALL PARTICIPANTS

...ii. Customize title, Logo, Description: Click the tiny pencil icon to edit waiting room message


Setup Chat Just The Way You Want to defend against inappropriate behavior click the CHAT button in a meeting after you’ve started it, but before you let people in.

1. At the bottom of the chat window, click the ellipsis (...)

2. Make certain that HOST ONLY is selected

3. Click “Manage Participants”

... a. Remove anybody who doesn’t appear to belong in the meeting

... b. If you want use a Co-Host:

............. i. Click “Admit” next to their name

............ ii. Hover over their name and click “MORE”

.............iii. Click “Make Co-Host”

...c. In the bottom of the window click “Mute All

..............i. Approve in the Pop-Up window and UNCHECK “Allow Participants to unmute themselves”

4. Make certain that you keep the “Manage Participants” window open at all times.
