On this page are listed the various marketing suite automations provided by HQ, along with any setup instructions, and the purpose of those automations.
Currently Available Automations
To request the initial setup of these automations in your sites, please email mindbody@ilovekickboxing.com or fill out the MindBody Request Form. (Please expect a possible 7-10 day window for completion of the initial duplication and smart list verification for setup.)Intro - Scheduled 1st Class
Purpose: an additional email through Marketing Suite prior to a first visit reminding an intro of any important details.
Who is it sent to? It is only sent to those that have purchased a 3 or 5 class web special and have a first class scheduled. They will be added to the smart list once those criteria match.
Details:
Single email sent after a 1st visit is scheduled
Smart list = Intro - 1st Class Scheduled
Removed if in Intro- Took 1st Class
Of Note: due to current Marketing Suite update timing, this email is best used for 1st day classes scheduled 48+ hours out

Turn on the automation.
Intro - No 1st Class Scheduled
Purpose: email series starting 7 days after a web special purchase to assist with getting them scheduled for their first visit.
Who is it sent to? It is only sent to those that have purchased a 3 or 5 class web special and DO NOT schedule their first class. They will be removed from this automation as soon as a first class is scheduled.

5 email series after purchase: Day 7, 14, 21, 45, 75
Sent to Intro - No 1st Class smart list
Removed if in Intro - First Class Scheduled, or Service Purchase - ILKB Classes

Turn on the automation.
Intro - Reschedule
Purpose: email series to help reschedule those that did not show for their first class and have not rescheduled it.
Who is it sent to? It is only sent to those that have purchased a 3 or 5 class web special, and have either late cancelled or no showed for their first class, AND have not rescheduled their first class.

3 email series after missed 1st class: Day 1, 7, 21
Sent to Intro - Cancel/No Show First Class smart list
Removed if in Intro - Took 1st Class or Service Purchase - ILKB Classes

Intro - Reminder to Schedule 2nd Class
Purpose: email sent as a reminder to schedule their next class while still on the trial at the studio.
Who is it sent to? It is only sent to those that have purchased a 3 or 5 class web special, have taken their first class, but have not scheduled their next class AND have not joined on a full service. They are removed from this automation if they have upcoming visits, or if they join on a membership/challenge/class pack.

Intro - No Purchase
Purpose: sales push emails to help with membership purchases if they have not signed up yet.
Who is it sent to? It is only sent to those that have purchased a 3 or 5 class web special, have taken their first class, but have not purchased a membership/challenge/class pack. This will send regardless of if they have their next class scheduled or not.

Sent to Intro - Took 1st Class smart list
Removed if in Service Purchase - ILKB Classes
Of note: the template is built for new ILKB template pricing. This email may require more adjustments than others.

Milestones Automations
Purpose: sending congratulations emails and discount perks automatically on your behalf.
Who is it sent to? These emails are sent to any client at the studio that reaches these milestones. They are not limited to specific purchases.
Details:
Milestone emails included: 10, 25, 50, 100, 150, 200, 250, 500, 750, and 1000 classes
Sent to clients based smart lists of similarly numbered visits.

New Member Retention Automations
Purpose: new member welcome and retention series during first month of membership.
Who is it sent to? It is only sent to those that sign up for a membership for the first time (recurring or PIF contract). It will stop sending if they decline, terminate, or expire.

5 email series after purchase: Day 1, 5, 9, 15, 30
Sent to Members - All Members smart list
Removed if in Members - Declined/Expired/Terminated

Turn on the automation.
Nutrition Retention Automations
Purpose: additional value emails sent throughout a member's first 6 months, providing nutritional and wellness guidance.
Who is it sent to? These emails are sent to new members that sign up for a membership for the first time (recurring or PIF). It will stop sending if they decline, terminate, or expire.
Details:
12 emails after purchase: Day 21, 45, 60, 75, 80, 95, 110, 125, 140, 155, 170, 185
Meant to work in tandem with the New Member Retention series: this series first email is between emails 4 and 5 of that series.
What steps need to be taken?
No steps need to be taken. This automation is live for all locations.
