Diploma Replacement Policy

A replacement diploma may be requested if your original diploma has been lost or destroyed or your name has changed since graduation. Graduates who are in need of a replacement diploma or an additional copy of their Emporia State University diploma, please note the following instructions:

1. The charge for a replacement or duplicate diploma is U.S. $20.00 and covers are $5. Replacement diploma mailed via United Postal Service. Additional charges for priority mail via FedEx is $25 within United States, $85 International. Tracking number emailed to your address listed on the application. If you choose to email your replacement request, please call Linda Turney at 620-341-6404 after submission to provide payment by credit card over the telephone. If you choose to mail the form, please enclose either a check or money order made out to Emporia State University. Payment must be received prior to the issuing of the replacement diploma.

2. Replacement diplomas must be requested by the bearer of the diploma with that individual's signature.

3. To replace a lost or destroyed diploma complete the Replacement Diploma Application.

Duplicate Copy of Diploma

In the case of an additional copy of your diploma for legitimate professional purposes, a one-time request can be made; complete the Replacement Diploma Application. Note that the new diploma will have the notation "Duplicate Copy" in the lower right corner of the diploma. This notation will not be visible when the diploma is framed. Please also note that diplomas are issued in the format currently used and bear the signatures of the current University officers.

Once we receive your request we will process the order and then will mail your diploma to you immediately.

Replacement of Diploma Due to Name Change

If you have a legal name change and request a diploma in that new name, your Emporia State University records will be changed to reflect that new name. After the University completes that step, your Emporia State University financial records, and your future academic transcripts will carry that new name. 

Graduates who are in need of a replacement diploma of their Emporia State University diploma due to a name change, please note the following instructions:

The new diploma will have the wording "copy reissued due to legal name change" and the date reissued at the bottom right of the document. Once we receive your request we will process the order and then will mail your diploma to you immediately. Please also note that diplomas are issued in the format currently used and bear the signatures of the current University officers.

Replacement of Diploma for Deceased Alumni

Requests for diploma replacements for deceased alumni by a spouse or child will be considered and should include the following:

1. The charge for a replacement or duplicate diploma is U.S. $20.00 and covers are $5. Replacement diploma mailed via United Postal Service. Additional charges for priority mail via FedEx is $25 within United States, $50 International. Tracking number emailed to your address listed on application. If you choose to email your replacement request, please call Linda Turney at 620-341-6404 after submission to provide payment by credit card over the telephone. If you choose to mail the form, please enclose either a check or money order made out to Emporia State University. Payment must be received prior to the issuing of the replacement diploma.

2. To replace a lost or destroyed diploma complete the Replacement Diploma Application.

3. A signed explanation of why a diploma is being requested.

4. A copy of the death certificate, obituary, or executor of will.

5. Documentation proving relationship.

Please also note that diplomas are issued in the format currently used and bear the signatures of the current University officers.
