ePortfolio User Guide (Google Sites)

1. Aims of ePortfolio

  • Empower students in monitoring and managing their own learning processes and trajectories.
  • Engage students in critically reflecting upon their learning and become lifelong learners.
  • Create opportunities for students and staff to engage in technology-rich learning environments.
  • Support students in collecting evidences of their learning throughout 4/5 years of study.
  • Provide a platform for students to showcase their professional and 21st century competencies.

Main Learning Outcomes at Year One:

Students are able to create their own ePortfolio to document their learning evidences and reflective practices on selected courses.

ePortfolio in EdUHK: Four Pillars

The student ePorfolio will include records of the student’s learning process and learning outcomes of their formal and informal learning experiences, including Overseas Learning Opportunities (GAO), Language Enhancement (CLE/LML/LCS), Field Experience (SPFEO), & General Education (GEO).

2. Login to Google Sites

You can login Google Sites with your EdUHK account.

  • Note: Currently, you can only edit your Google Sites with Chrome with your desktop or notebook computer, but you can view the page with other devices.

3. Building ePortfolio with Google Sites

Create new site


Click Create new site.

  • Note: Sites automatically saves every change you make, but your site isn’t public until you publish it.

Name the site


There are three parts of your site that need naming:

  1. Site document name—Enter a unique name to keep track of your site. The site document name is only visible to you.
  2. Site name—The site name appears in the header and in the web or mobile window title bar after you publish the site. You need to have 2 or more pages in your website for your site name to appear.
  3. Page title—Each page in your site has a title, which appears at the top of the page. The page title also appears in the navigation menu.

Design the site layout

Choose a look for your site. Each theme has a preset background, color scheme, and font selection. You can adjust the theme, fonts, colors, and background at anytime you want. If you need to make any changes, click Undo, or Redo.


  1. Change the theme and font style:
    1. In the top right corner, click Themes.
    2. Select a theme option and choose a color.
    3. Click Font style and select a style.

2. Change the background image:

    1. Hover over the background image and click.
    2. Change image.
    3. Select an image from the Gallery or choose another image to upload.
    4. Click Select.
    5. (Optional) To go back to the original background image, click Reset refresh.


3. Change the header type:

    1. Hover over the background image and click Header type.
    2. Choose an option:
      • Large banner
      • Banner
      • Title only

Set up your profile

Name the site

Add a title to this Google Sites. For example, "Your Name - s12345678(Student Number)".

  1. Site document name—Enter a unique name to keep track of your site. The site document name is only visible to you.
  2. Site name—The site name appears in the header and in the web or mobile window title bar after you publish the site. You need to have 2 or more pages in your website for your site name to appear.
  3. Page title—Each page in your site has a title, which appears at the top of the page. The page title also appears in the navigation menu.

Add personal information

  1. On the right, select the page that you want to add content to.
  2. Click Insert. Or, double-click on the page where you want to add content.
  3. Add personal information by clicking buttons under Insert. Below are some buttons which you may find useful:
    1. Text box—Add titles and text.
    2. Embed URL—Add photos, designs, and other images.
    3. Images—Add content directly from the web, such as music and videos.
    4. Upload—Upload photos, videos, PDFs, or other documents from your device.

Add content

  1. On the right, select the page that you want to add content to.
  2. Click Insert. Or, double-click on the page where you want to add content.
  3. Choose the content you want to add:
    1. Text box—Add titles and text.
    2. Embed URL—Add photos, designs, and other images.
    3. Images—Add content directly from the web, such as music and videos.
    4. Upload—Upload photos, videos, PDFs, or other documents from your device.
    5. Components—Add a (horizontal) divider line to your page.
    6. Google Drive—Embed any file or the contents of a folder stored in Drive. If you make changes to your files in Drive, the same changes automatically show in Sites.
    7. Google Embeds—Add YouTube videos, calendars, and maps.
    8. Google Docs—Add anything from Docs, Slides, Sheets, Forms, or Charts to your site. Any content you change in the source file will automatically update on your site.
    9. Double-click on the page to add content.

Edit content layout

You can move, align, and edit the content easily with the help of grid system. You will see it once you drag the content.

Move site content:

  1. Hover over the content you want to move until you see the cursor displays in cross shape.
  2. Drag the content to a highlighted area.

Resize site content:

  1. Select the content you want to resize.
  2. Drag the blue circles to resize with the help of grid system shown in grey lines.

Group and ungroup objects:

You can connect text boxes and images together in a vertical group.

  1. Add a photo and a text box to your site page.
  2. Drag the text box to the top or bottom half of the object until a blue line appears.
  3. To ungroup text boxes and images, click the group you want to separate.
  4. Click the object you want to remove from the group, and drag the object away from the group.
  5. To change the order of grouped objects, click the group you want to change.
  6. Click the object you want to rearrange and on your keyboard, tap the Up or Down key.

Edit images

1. Resize / move an image:

Resize an image

Select the image and then drag the sides or corners of the image. Hold the Shift key while dragging to keep the image ratio.

Move an image

Drag the image to a different part of the section or to a new section. You can place the image wherever you see a highlighted area.

  • Note: Currently, you can’t place an image in a text box.

2. Crop / uncrop an image:

  1. Select the image and then select Crop.
  2. Slide the dot to zoom in or out.
  3. Drag the image to change the visible portion.
  4. Click Done.
  5. (Optional) To uncrop an image, click Uncrop.

3. Replace / add alternative text to an image:

  1. Select the image.
  2. Click More > Replace image > Select image.
  3. Choose a new image file and click Select.

Add alt text to an image

Alt text appears when someone hovers over an image on your site.

  1. Select the image and click More> Add alt text.
  2. Enter a description and click Apply.

4. Add a logo

Logos appear in the top navigation bar, next to the site name.

  1. Hover over the top of the page header and click Add logo.
  2. Click Upload or Select images.
  3. Select the logo and click Open or Select.
  4. (Optional) To change the color of the page header, under Background, click the Down arrow arrow_drop_downand select a color.
  5. (Optional) To select a theme color based on your logo, in the Edit logo window, select a theme color.
  • Note: Logo files can be in .jpg, .png, or .gif format. For best results, the logo height should be at least 112 px.

Edit sections

Hover over a section to change it.

  1. To change the background for each section: Click Style palette and select a style. You can also select image to add a background image.
  2. To move a section: When you insert new content, it’s added to a new or existing section. To move that section up or down, click Move section and drag the section where you want it.
  3. To duplicate a section: Click Duplicate section. You can also copy and paste a section onto another page in your site.

eJournal

You can construct your eJournal in various ways.

Option 1: Google Drive

  1. On the right, click From Drive to insert any Google Document that contains your eJournal from your personal Google Drive.
  2. Choose the file and click Insert.

Option 2: Text box

  1. On the right of your site, select the page that you want to add content to.
  2. Click Insert. Or, double-click on the page where you want to add content.
  3. Choose the content you want to add:

Preview

  1. Click Preview on the bar on the top of the screen.
  2. You can preview how your site appears on different devices. To see how your site looks on different devices, choose an option:
    • Phone
    • Tablet
    • Large screen
  3. Click Close to exit the preview screen and return to edit mode.

Share and collaborate

To share a site from Sites to your tutors:

    • Click Add editors on the bar on the top of the screen
    • Click "Change..." next to "Private – Only you can edit "
    • Click "On-Anyone with the link", so that your tutors can provide you with comments and feedback in your ePortfolio pages.


To share a site to Moodle:

    • Click Copy published site link button on the top right corner.
    • Click Copy link.
    • Paste the link on Moodle.
    • You may need to pay attention to the sharing access right.

Export as PDF

To export a site as PDF:

  • Click the eye-shape preview button.
  • Press "Ctrl+P" on Windows or "Cmd+P" on Mac for printing option.
  • Choose print to PDF option.

Comment

To allow your tutors to provide you with comments and feedback in your ePortfolio pages,

  1. Open a text box named "Feedback" as the new section heading
  2. Open a text box underneath "Feedback" for your tutors to leave comments and feedback
  3. Send the link to your tutors with edit mode on
