JOB FUNCTIONS
1. Receive, send, route, and track official documents and communications to ensure timely action by intended recipients.
2. Monitor the PASPAS-GIS, RPMO tracking system, data tracking system, and program database, and ensure that entries are accurate and updated.
3. Receive, check, classify, scan, photocopy, and safely maintain program transaction documents, records, and communications.
4. Monitor and track compliance of vouchers and other documents related to program transactions.
5. Provide copies of official documents to concerned staff, consultants, and authorized recipients, subject to proper records management and confidentiality protocols.
6. Respond to routine inquiries and follow-ups on documents, communications, and administrative transactions.
7. Provide clerical support to technical staff, including encoding of correspondence, photocopying, scanning, faxing, and other related tasks.
8. Assist in organizing meetings, workshops, events, and regionally led activities, including logistical arrangements and preparation of materials.
9. Attend meetings related to administrative concerns as directed and provide appropriate feedback or documentation.
10. Implement records retention and disposal schedules in coordination with the Records Unit of the Regional DSWD Office.
11. Ensure that administrative, records management, and documentation processes are gender-responsive, inclusive, client-sensitive, and aligned with Gender and Development principles.
12. Perform other administrative-related tasks as may be assigned or directed by the immediate supervisor.
