What should I do with a precode label for a student who has withdrawn or transferred prior to the testing window?
If a student is no longer enrolled in your school when the testing window opens, that student’s precode label can be discarded. You do not need to use the label on a booklet to account for a student who is no longer the responsibility of the school.
What should I do with a precode label for a student who takes the Pennsylvania Alternate System of Assessment (PASA)?
You can discard the label. You do not need to return a test for a student who participates in the PASA.
What should I do if I mixed up the different sets of Student Precode Labels?
Testing sites will receive multiple sets of precode labels (depending on what grades and subjects are tested at a school). Although each set of Precode Labels will be separated by a slip-sheet that identifies the assessment/subject for which the labels should be used, the sets of Precode Labels are NOT subject specific (i.e., it is okay to use a student’s “science” precode label on a mathematics booklet). Use caution to ensure that two labels for the same student are not put on two answer booklets for the same subject.
How do I update a student’s demographic information?
If a precode label reveals that a student’s demographic information is incorrect, you must correct the student’s information in PIMS. DRC receives a final file from PIMS for reporting. If the information bubbled on the student’s booklet (with a District/School label) matches the final PIMS file, the student’s updated demographics will be used for all reporting.
What should I do with a precode label that contains inaccurate information?
If a student’s PAsecureID, name, or birthdate is incorrect, do not use the precode label. Use a District/School label instead and bubble the student’s information on the booklet as it appears in PIMS. Precode labels from a different district or school should only be used if an assessment coordinator has agreed to administer a test to a student from outside the district/school. Student results will be provided to the district and school identified on the Student Precode Label.
How do I get extra District/School labels or Do Not Score labels?
School Assessment Coordinators can request additional labels through the Additional Materials Ordering functionality in the DRC INSIGHT Portal. Schools must be aware that additional orders cannot be placed until two weeks prior to the test window and that additional materials take a minimum of three days to arrive.
