Our friends in Finance recommend that ALL field Staff (that includes you since you're reading this and are on Staff with Cru) should self-train in the basics of finance with Cru.

It is highly advised to have a Field Finance Administrator (FFA) per staff team.
We would add that this can be a student or an intern and should probably NOT be you as a team leader. Having a field finance administrator on your team can free you and your team up from many of the more complicated parts of our finance systems AND they can give you more information about your budget, etc. so that you can be more effective at ministry and leading your team.
Here's what to look for in a FFA:

responsible
self-starter who can bring projects to completion without too much oversight

Use the MinistryCard as the first choice of payment.
There may be a credit card processing fee.
If the MinistryCard isn't accepted by the vendor or they'll pass on the processing fee to you, submit a Check Request.
Reminder: If possible, use the MinistryCard as the first choice of payment.
When to use Check Requests:
Most common: To pay for room rentals and any facilities that DON'T require a contract.

What is this?
No more paper check request forms needed! You can now submit a payment request online! As long as we have paid the vendor before and it is not a volunteer reimbursement, you can now use the Payment Request tool to submit your requests. Approvals are done electronically and all backup documentation is stored online for future reference. You can also track the status of your payment on your personalized dashboard!
When to use Online Payment Requests:
When you need to pay a vendor that you've paid before (and therefore Cru has their W-9).
How to do it:
Log on to PeopleSoft here: fscm.cru.org
Click Payment Request Center.
Click Create.

When to use this form:
To reimburse personal funds spent by Student or Volunteer on ministry expenses.

When to do Account Transfers:
To transfer from one Cru designation account (staff, student, ministry, or project) to another Cru designation account.

When to use Miscellaneous Income Form:
Most common: Fall Retreat checks and other collection of money that isn't donations.
"Purpose: To deposit money into a chartfield or staff account that is not Donations or Sales related."

When to do an Honorarium:
Note: Please help with expenses incurred by invited speakers. When working with an invited speaker it is important to be in good communication with them to set expectations of who is paying for what. We want to be in the habit of saying thanks to those who are speaking to our groups.
For a weekly meeting, this would mean paying for their food, travel expenses and/or a thank you gift/honorarium.
For a fellowship dinner, this might mean covering their transportation, meal(s), and honorarium.
Fall Retreat speakers--give them an honorarium of between $50-100 per talk.
To Cru Staff
Honorariums to Cru Staff must be done as an Internal Gift Transfer.
See "Account Transfers" above.
To non-Staff
When paying an honorarium you must do this:
1) Fill out a the Check Request Form.
2) Submit it with a W-9 form filled out by the individual to be paid.
3) Include an "invoice" or document with the payee's name, the date, the amount to be paid, the purpose of the payment, and a staff member's signature and signed date.
4) These can be emailed to FieldFinance@cru.org for approval signatures.
