Google Forms / Getting started with Google Forms 

View form responses

All form responses are stored in the Google Form, but can be stored in a Google Sheet if you prefer, for further analysis. Once in a Google Sheet, you can use any spreadsheet features to summarise your results e.g. charts, formulas, etc.

To view a summary of the form responses, click on the Responses tab along the top of the form.

  • The number of responses will show along the top of the summary

  • Click on Summary to view a summary of all responses or Individual to view each individual form response:

When you view the summary of responses:

  • Text answers will be listed in a table format:

  • Checkbox, multiple choice, drop-down, linear scale and grid questions will be summarised in a graphic format: 

When you view individual responses:

  • A completed form will show for each person that has responded

  • Click on the Next and Back buttons to navigate between forms

To stop accepting responses for a form, click to the left of the Accepting responses button to disable it. 

To store the results in a spreadsheet:

  • Click on the Create spreadsheet button near the top-right corner of the screen

  • Choose whether to store the results in a new spreadsheet, which you can name in this dialog box, or a new sheet in an existing spreadsheet

  • Click on Create

You can now open the spreadsheet from your Google Drive and view the results. Each response will show in a new row, with the first column showing the date and time at which the form was submitted. 

Within the spreadsheet, you can quickly view the form or show a summary of responses. 

Click on the Form menu to view the following options:

  • Choose Edit form to view the form to add or edit questions

  • Choose Send form to send the form via email

  • Choose Go to live form to show the published form as your recipients would see it

  • Choose Embed Form in a web page to display the code needed to embed the form onto a web page

  • Choose Show summary of responses to view a summary of results - this is covered in more detail below

  • Choose Unlink form to stop copying form responses into the spreadsheet - you will need to confirm this by clicking on OK

After you have unlinked a spreadsheet from a form, the responses will still be stored in the form itself, and can be copied to another spreadsheet, or a sheet in the same spreadsheet, if required.
