There are no 'Ministry Presentations' in the main programme. Instead, we will show stories, mainly via video, on stage. However, if a ministry has an inspiring story, we would like to share it. There is still space.
In addition, we will hold a ministry exhibition. However, this is primarily intended for national ministries and European strategies (Netforum).
For those with the same interests, meeting like-minded people in their free time could be an option. However, we must bear in mind that the programme is packed and that participants also want to relax. Therefore, inviting people for an informal drink at the waterfront bar could be another option.
On the registration form you had to confirm:
“Insurance - you must have some form of travel & health insurance to attend this conference.”
Berlin 25 does not cover medical expenses. You need to make sure that you have the necessary cover for Germany. You will need to check with your health insurance company. As this varies from country to country and even from insurance company to insurance company, you must check this for your personal situation.
Berlin 25 does not cover emergency travel costs. You need to make sure that you have the necessary cover through your travel insurance. In some cases, health insurance may also cover emergency transport.
If you have nothing available in your country, you can register with Cru SOS.
Meals are not buffet style. It's a preset self-service meal. All the various allergies and vegetarians have a separate meal. Meals include salad, main course and water. We didn't order coffee. But you can buy coffee and other beveridge at the bar in the Atrium or at the Waterfront.
It is on purpose NOT called an “All Staff Conference” because the target group is bigger and includes:

The Registration shows the Conference Fee and the Hotel- and Food costs per person . Agape Europe will charge the National Ministry at the end of May with 70% of the Expected Costs. The Rest (30%) will be charged in August.
Additional costs in the Hotel e.g. drinks you have to pay directly to the Hotel.
If you are U.S. Staff (serving in Europe or visiting from the U.S.), please select "Charge to US Staff/Ministry Account."
If you are a volunteer or guest, please select "Invoice" and an invoice will be sent to you from the related national ministry.
This is for groups. At the moment the hotel has additional hotel rooms available to book.
But if you want to be sure to have rooms available for extra days, you must reserve them. This means you have to guarantee the payment for the booked number of rooms.
Since Berlin 25 is for the whole family, you have also to involve the whole family in your additional days.
You also will need to book a meeting room for your group.
The registration for your group will be included in the overall registration for Berlin 25. Please contact the conference team to book the necessary rooms, infrastructure and catering.

It is possible to book extra nights at the hotel. The room rates are the same and include breakfast.
If you would like to book nights before 19 July and after 25 July, please make a comment under "Special accommodation need/comment".
Additional nights will also be charged according to the chosen payment method.
Select your room preference on the registration form. The conference team will then assign you to the room category you have booked.

For families
There are a limited number of family rooms available. This means that depending on the number of children you have, you may be accommodated in different/multiple rooms. If you are travelling with only one child or an uneven number of children, it is possible to add an extra bed to a room. To be as a whole Family (with 2 or more children) in one room, there is an option to get an airmate in the Room. Children under 6 years might also be in the same bed with the parents.

If a family will have more than one room: The hotel policy is to have one adult in each room. We will allocate rooms with this in mind, but it is up to you to decide which family members are in which room.
The prices are per person (not per room) and night including breakfast. For each bed we need an own registration (also for children and babies).
Each country that has registered children must appoint a "Children's Language Coordinator". Countries with the same or a similar language can work together.
He or she is the main point of contact for any questions you may have.
He or she will find people who can do this in your children's native language.
He or she is the contact person for national staff and other guests regarding childcare and the children's programme.
Each language group needs at least 1 person to help with the children's programme.
Larger language groups need at least 2 additional helpers.

Yes, they are welcome. In fact, all non-staff spouses are welcome! Agape Europe Gathering Berlin 25 is a family conference, including the kids. For the children and teenagers there will be an extra program.

You may search for your own accommodation, but we do not recommend this option. If you stay outside of the hotel, you will miss the connection time with other participants due to the transfer time to the hotel each day.

The hotel is outside the 'Low Emission Zone' and does not require a sticker.
The Estrel has its own underground parking garage offering 450 parking spaces, which is accessible through the Ziegrastraße. The rate is 22 euros per day. It is not needed and not possible to reserve a Parking lot. Based on the Registration there should be enough space.
All food and drinks have to be ordered in the hotel. It’s not allowed to bring anything into the hotel or to order something from outside. This is also true for the meeting rooms and workshops.
BER is the only Airport in Berlin. Google also mentions two other airports in Berlin:
SXF (Schoenefeld, in the old East Berlin) and TXL (Tegel, in the old West Berlin). This other two are the old ones and do not exist anymore.
Everyone is in the Estrel hotel, also the teenagers.
