Medical

Who do I contact to get medical absences excused and in what time frame?

Send an email to your APAS (Only if you will miss AES) & SSgt Williams containing your medical note & an excusal request memo within 72 hours of your absence. 

What should be included in my medical excusal note?

Your doctor's note should include a diagnosis, prognosis and activities that you can or cannot participate in while recovering from your injury or illness.

Who do I contact if I have a change in medical status?

You will notify both NCOs and include any official documentation of the change in medical status. Ensure to report the change within 72 hours.

Excused Absences

What qualifies as an excused absence?

Valid reasons for excusal include medical reasons (see above), other ROTC activities (AFOQT, TBAS, etc.), and university breaks. All absences will initially be categorized as unexcused & count against the 80% attendance requirement. Absences due to medical reasons or for other situations as approved by Cadre, will be marked excused only after the cadet completes training on missed objectives. 

The OFC will only approve previously coordinated absences required for AFROTC related duties. Absences without OFC approval, even AFROTC duty related absences, will not be excused. Cadets are responsible for correcting attendance record errors within 72 hours after the update deadline. Once the 72 hour window has past, the absence will be final. Cadets will coordinate attendance corrections with their respective flight commanders.

How do I get an absence excused?

ALL absences require an emailed excusal request memo to your APAS, the OFC, & SSgt Williams. Unexcused absences only become excused once a) approved by Cadre and b) the cadet makes up any missed objectives. Medical absences follow the guidelines above, non-medical absences need to be approved by the OFC via an official memorandum (template below).  Note: not all absences are guaranteed excusal--they are addressed on a case-by-case basis.

Where can I find a template for excusal request?

Click HERE to access the template. Be sure to make a copy of the document. Once you complete your memorandum, route it to your flight commander who will email it to the CW/PO before it is submitted to Cadre. Leadership will keep you updated regarding approval status. 

Civil Involvements

What is a civil involvement?

AFROTCI 36-2011, Ch.6.2:

"Any offense, violation of law or ordinance, or any other incident causing adverse involvement or contact with civil, military, or school authorities as an adult or juvenile is an involvement for AFROTC purposes and must be reported in WINGS. This includes violations of school honor code; prior-service UCMJ/Article 15 actions; and administrative discharge, demotion, or letters of reprimand while in government or military service."

What happens if I get into a civil involvement?

You must report the incident to the detachment cadre within 72 hours. If it happens over a holiday or long weekend, you can still send an email. Be sure to save any documentation from the incident.

Professional Development Training (PDTs)

What are PDTs?

Professional development trainings are opportunities to expand your knowledge of the Air Force beyond what the primary AFROTC curriculum offers. These are events which may cover any range of topics regarding Air Force and Space Force values, culture, or operations. 

Do I have to do PDTs?

All cadets have to receive credit for at least 2 PDTs, with at least one as a GMC cadet and at least one as a POC cadet. As they are announced, you will be notified if they will count for GMC or POC credit.

What do I have to do for a PDT to count?

It depends. Some PDTs will be sufficient if you just participate, other times you will have to write a Memorandum for Record (MFR) summarizing your experience. If you're not sure, check with the point of contact.

Contracting

How do I get my Common Access Card (CAC)?

Once you have been contracted, you are in the DEERS system. If you go to any ID Card/DEERS station with 2 forms of ID, they will be able to get you registered with your CAC. The nearest station is at Papago Park.
