Hiring and New Employees

The following are lists of steps/procedures for hiring at the CFL/UW-Madison.  The most important step is to talk to Alyssa Luckey Winters first.  You may not make any offers of employment without approval from the administrative staff.

Student Hourlies


Notify Alyssa Luckey Winters of intent to hire by completing the Center for Limnology Hiring Authorization Form (attachment below--to be completed by supervisor).

Alyssa will be in touch with all new hires to complete the following items and trainings:
    **If the student will be working with vertebrates, direct him or her to follow the steps listed under Animal Care in the CFL User Guide, and to read the Scientific Collectors Permit section of the CFL User Guide. Direct the individual to Marilyn if s/he has any questions.

    • Motor and vehicle training at TLS & UNDERC, if applicable: John Vehrs

    • Travel reimbursement and purchasing: Carol Jenkins-Espinosa
    • Lab safety: Elizabeth Runde

    Temporary Employees (TEs)


    Notify Alyssa Luckey Winters of intent to hire an TE by completing the Center for Limnology Hiring Authorization Form AND LTE Request Form (attachment below). 
      • Alyssa must request of L&S that an appointment be set up first (Hasler Lab & TLS).
      • She can help you determine the appropriate title, and assist with creating a job description with a list of tasks and percentage of time spent on each.

    **If the TE will be working with vertebrates, direct him or her to follow the steps listed under Animal Care in the CFL User Guide, and to read the Scientific Collectors Permit section of the CFL User Guide. Direct the individual to Marilyn if s/he has any questions.

    How to Hire LTEs
    1. Fill out the LTE Request form (attached below) and the Hiring Authrization Form if you know who you'd like to hire (also attached below).
    2. Submit both forms to Alyssa 
    3. Alyssa will work with L&S to process appointment (this can take up to two weeks)
    4. If you're recruiting, work with Alyssa to advertise (if you have a candidate in mind, you can skip this step)
    5. After position is approved, Alyssa will be in touch with the candidate to process employment paperwork

    UW-Madison Guidelines for Limited Employees:

    • Due to ACA guidelines, LTEs may not work more than an average of 29.75 hours per week
      • Exceptions apply when the appointment is less than 90 days or when the employee has a seasonal exemption

    • The total time worked by an individual TE cannot exceed 1,044 hours in a twelve-month period beginning on the appointment start date (i.e., 26 consecutive bi-weekly payroll periods)

      Graduate Students/Post Docs


      Notify Alyssa of intent to hire a grad student or postdoc by completing the Hiring Authorization Form, linked below

      Alyssa will be in touch with all new hires to complete the following items and trainings:
      **If the grad or postdoc will be working with vertebrates, direct him or her to follow the steps listed under Animal Care in the CFL User Guide, and to read the Scientific Collectors Permit section of the CFL User Guide. Direct the individual to Marilyn if s/he has any questions.
