CONSTITUTION OF THE TU STUDENT CHAPTER OF A.I.Ch.E.  

University of Tulsa   September 1, 1955   Amended February 4, 2009 

ARTICLE I: NAME
The name of this organization will be: The University of Tulsa Student Chapter of the American Institute of Chemical Engineers which shall hereafter be referred to as "TU AIChE" or "AIChE". The aforementioned organization is in affiliation with the National Chapter of the American Institute of Chemical Engineers, a non-profit professional organization.
 

ARTICLE II: PURPOSE
The purpose of AIChE shall be to foster the interests of students in Chemical Engineering and to promote their welfare as prospective members of the profession through programs and relations with other Student Chapters and National AIChE; to acquaint the members with the research work done in the department; to promote fellowship among the members; and to contribute to the development of chemical engineering at the University of Tulsa through activities involving both faculty and students. From time to time, persons of prominence in science or industry shall be invited to address the meeting.
 

ARTICLE III: MEMBERSHIP

Section 1: There shall be two types of membership accepted within AIChE:

1) Voting membership of AIChE shall be open to all students enrolled in the chemical engineering curriculum, both graduate and undergraduate. Other registered university students with an interest in chemical engineering will be admitted on the approval of the chapter. Voting membership is contingent upon payment of dues as established within the Bylaws of AIChE.

2) Associate membership of AIChE shall be open to those individuals who are not registered students of the university yet have close affiliation to the chapter / interests of the chapter. Members of the faculty, staff, and administration are encouraged to be associate members. Associate membership shall also include students who are enrolled in the university yet have not paid chapter dues. Associate members are not allowed to vote.
 

ARTICLE IV: OFFICERS
Section 1: The executive positions of AIChE shall be President, Vice-President, Treasurer, Secretary, Social Coordinator, and Webmaster.
Section 2: The Officers of AIChE shall be elected by a majority vote at the last meeting of each fall semester where a quorum is present. All offices shall be elected annually. Bylaws shall determine election procedures beyond the above rules.
Section 3: The terms of new officers shall begin the first day following the last day of each fall semester.

Section 4: Any member of AIChE running for office must be a voting member at the time of elections. AIChE officers must be a voting member at all times during their term of office.
Section 5: If the president is unable to serve, the vice-president will succeed to the office. If any other office is vacated during the semester, nominations and elections will be held at the next meeting of the semester.
Section 6: Officer Duties
A. The President shall serve as head of the AIChE chapter and shall:

1) Preside over meetings of the executive committee and chapter

2) Prepare and follow an agenda for all official meetings

3) Ensure that the roles of the officers are being performed satisfactorily

4) Check the AIChE Mailbox for external correspondence

5) Regularly meet with the chapter advisor

6) Maintain contacts in industry, academia, and the community

7) Work with the other officers to prepare the annual National AIChE Report

8) See that the Constitution and Bylaws are upheld

9) Authorize the expenditure of all funds within AIChE

10 Delegate the upkeep of the bulletin board to a member of AIChE

11) Assume any additional responsibilities as mandated by the Constitution or Bylaws or as dictated by the majority of the officers
 

B. The Vice-President shall:

1) Preside over meetings in the absence of the president

2) Assume the role of president if necessary

3) Promote the design and sales of AIChE T-shirts and jackets

4) Shall oversee all committees

5) Assume any additional responsibilities as mandated by the Constitution or Bylaws or as dictated by the majority of the officers
 

C. The Treasurer shall:

1) Ensure that all expenditures of AIChE are in accordance with university policy

2) See that all transactions are documented

3) Maintain the on-campus checking accounts

4) Use his or her signature for AIChE financial transactions

5) Provide receipts for all transactions

6) Perform and submit a semi-annual audit at the end of each semester to the chapter advisor

7) Collect chapter dues as proscribed by the bylaws

8) Purchase and coordinate food for general meetings

9) Purchase gifts for speakers and prizes for the organization

10) Work closely with AIChE's fund-raising efforts

11) Assume any additional responsibilities as mandated by the Constitution or Bylaws or as dictated by the majority of the officers

 

D. The Secretary shall:

1) Record the minutes of all meetings of AIChE and distribute these minutes to the appropriate people

2) Write thank you letters to all speakers and corporations

3) Provide any additional correspondence as necessary

4) Keep all officer duties on record

5) Send email notices to students about events and meetings

6) Assume any additional responsibilities as mandated by the Constitution or Bylaws or as dictated by the majority of the officers
 

E. The Social Coordinator shall:

1) Represent AIChE at the ENS Council

2) Inform AIChE Members of upcoming campus events through signs and the whiteboard

3) Entertain student issues and bring them to officers’ meetings

4) Organize departmental tours / showcases

5) Assume any additional responsibilities as mandated by the Constitution or Bylaws or as dictated by the majority of the officers

 

F. The Webmaster shall:

1) Create the chapter website

2) Design and format the content of the website

3) Coordinate with officers to update the website

4) Assume any additional responsibilities as mandated by the Constitution or Bylaws or as dictated by the majority of the officers

ARTICLE V: MEETINGS
Section 1: Regular AIChE meetings shall be held bimonthly as proscribed by the semester calendar of meetings.

Section 2: For all orders of business requiring a vote, a quorum of members must be present. A quorum shall be ½ of all voting members. 

Section 3: Officer meetings shall be held bimonthly throughout the semester as proscribed by the semester calendar of meetings.

Section 4: Special meetings and meeting time changes must be presented to a quorum of voting members and obtain a 2/3 vote to be approved.
 

ARTICLE VI: COMMITTEES

Section 1: All standing committees shall be regulated as stated in the Bylaws.

 

ARTICLE VII: CONSTITUTIONAL AMENDMENTS

Section 1: Proposed amendments shall be presented in writing to the Secretary of AIChE and be read at two consecutive general meetings. 

Section 2: At the second consecutive general meeting, the amendment shall be discussed and voted upon.

Section 3: A 3/4 majority vote must be obtained for ratification of the amendment. At the time of vote a quorum must be present. The amendment will be effective immediately on approval, unless otherwise provided for in the amendment.
 

ARTICLE VIII: BYLAWS
Section 1: AIChE shall enact bylaws as necessary to further the goals and aspirations of the organization.

Section 2: Bylaws must be presented in writing to the Secretary of AIChE and must be read at one general meeting. 

Section 3: Approval of Bylaws shall require a simple majority vote when a quorum is present. The bylaw will be effective immediately on approval unless otherwise provided for in that bylaw.

Section 4: Amendment or revocation of a Bylaw requires a simple majority vote when a quorum is present.
 

ARTICLE VIII: RATIFICATION
 

Section 1: This constitution shall become law of AIChE upon ratification and approval of 4/5 of voting members when a quorum is present.

Section 2: Upon ratification, this Constitution shall supersede all other Constitutions of AIChE previously in effect.
 

 

 

 

 

 

 

 


BYLAWS OF THE T.U. STUDENT CHAPTER OF A.I.Ch.E.

BYLAW I: DEFINITION
Section 1: Any long-standing AIChE decisions must be approved in the form of a Bylaw. Each bylaw must be numbered and titled. All approved or amended Bylaws must be followed by the date of which these actions were taken.  

Section 2: Bylaws shall be abided by at all times unless suspended by a 2/3 regular meeting vote when a quorum is present. A quorum is defined as ½ of all voting members being present.
 

BYLAW II: AMENDMENTS TO BYLAWS
Section 1: All amendments to the bylaws must be submitted to the secretary of AIChE. Any changes in previous bylaws must be included in the revision enclosed in square brackets. Portions of bylaws to be added shall be included in boldface type. The word "Amended" must be included at the end of the Bylaw with the date of approval.  

Section 2: An amendment to revoke a bylaw must be submitted to the secretary of AIChE and include the Bylaw number and title.
 

BYLAW III: COPIES OF THE BYLAWS AND CONSTITUTION

The following offices / organizations shall contain a copy of AIChE's constitution and Bylaws:

1) AIChE office

2) TU Chemical Engineering Department

3) Student Association

 

BYLAW IV: DUES

Section 1: All voting members must pay dues as proscribed in the Constitution. 

Section 2: Dues shall be paid either per semester or per year.

Section 3: Dues shall be $5 per semester and $10 per year. Per year here forth shall refer to two consecutive semesters.
 

BYLAW V: STANDING COMMITTEES

Section 1: The standing committees of AIChE shall consist of the Fundraising Committee, Activities Committee, Web-page Committee, Newsletter Committee, and Chemical Engineering Car Committee.

Section 2: Committee chairpersons shall be internally elected within the committee. Revocation of chairpersons shall occur if the chairperson does not satisfactorily perform his/her job and will require a majority officer approval.

Section 3: Each committee will be appointed an officer advisor. Officer advisors will be appointed each semester at the discretion of the AIChE Officers. This advisor shall, in conjunction with the committee chair, provide a committee report at all officer and general AIChE meetings.

Section 4: Standing committees shall be dissolved with a majority vote of approval from all officers.
 

BYLAW VII: CHAIRPERSON DUTIES  

Section 1: Chairpersons of standing committees shall:

1) Call committee meetings at least once a month when class is in session. The chairperson may call more meetings as necessary

2) Ensure that the committee carries out its purpose as designated by the bylaws

3) Write or update procedures for projects or events that are done throughout the semester

4) Work closely with the committee advisor who will then report committee activity during officer meetings

5) Take on other responsibilities as dictated by the Bylaws

 

BYLAW VIII: FUNDRAISING COMMITTEE

The duties of this committee shall include, but not be limited to:

1) Establishing a means to help fund chapter activities

2) Hold fund-raising events for AIChE
 

BYLAW IX: ACTIVITIES COMMITTEE

The duties of this committee shall include, but not be limited to:

1) Creating and advertising social activities for AIChE

2) Assisting the president with the spring and fall conferences

3) Providing a college-wide field day
 

BYLAW X: WEB-PAGE COMMITTEE

The duties of this committee shall include, but not be limited to:

1) Creating and updating a professional web page for AIChE

2) Providing a calendar of events on the web page

3) Placing the newsletter on the web page

4) Advertising future meetings and events on the web page
 

BYLAW XI: NEWSLETTER COMMITTEE

The duties of this committee shall include, but not be limited to:

1) Printing a professional newsletter

2) Writing on AIChE officers, events, activities, and industry news
 

BYLAW XII: Chemical Engineering Car Committee

The duties of this committee shall include, but not be limited to:

1) Designing, building, and racing one or more Chem-E-Cars for the regional competition

2) Refining the car design for the national competition and racing, if eligible 
 

BYLAW XIII: ELECTION PROCEDURES

Section 1: Elections will be held at the last general meeting of each fall semester.

Section 2: All officers shall be elected every year.

Section 3: Only voting members may hold office.

Section 4: Nomination sheets will be posted at least one week before officer elections are held. Nominations will also be taken at the meeting for each officer election. Candidates may nominate themselves.

Section 5: Election order will be: President, Vice President, Treasurer, Secretary, Social Coordinator, Webmaster.

Section 6: During elections, each candidate will be given time to speak. After all candidates have spoken, a general discussion will be held over the qualifications of each candidate.

Section 7: Election shall be by majority vote when a quorum of members is present. If more than two candidates receive the same number of votes, then the two candidates with highest vote totals will then be voted on again. Majority vote with two candidates provides election.

Section 8: Officer terms begin the first day after the end of the semester in which they were elected.
 

BYLAW XIV: OUTSTANDING CHAPTER AWARD

Section 1: The president shall complete and return the Outstanding Chapter Award application to nationals before the established deadline. Any and all other officers are required to help if this is deemed necessary by the president.

Section 2: The treasurer shall have an accurate budget for the complete school year organized categorically as specified by AIChE nationals.
