To identify the steps needed to create a successful handoff of Graduate School responsibilities for registration exceptions to collegiate units and ASR.
Graduate students seeking exceptions to registration currently have their requests approved and processed by the Graduate School. These registration exceptions can include registering, adding or canceling after the appropriate deadline; changing grade base or number of credits for a variable credit course; registering for doctoral thesis credits (8888), FTE 8333, and FTE 8444 after the deadline; or requesting to register late when a student does not hold active status. Most of these approval activities will shift to the student’s college or school, and ASR will assume any additional processing requirements in addition to their current activities.
The initial transition team, made up of individuals from colleges and academic programs, determined that this process should be automated using Workflow Gen.
September, 2010: Team start up
October, 2010: Finish documentation of as-is processes
November, 2010: Transition team will begin to review documentation of current processes
January, 2011: Create Workflow Gen development team (ASR and Graduate School)
February, 2011: Work with college stakeholders to gather requirements for creation of online process in Workflow Gen
Future dates contingent on requirements:
--Develop automated workflow in Workflow Gen (three iterations with testing)
--Launch online form (by fall 2011)
