Proposal Submission

Electronic Submission to SPA

  1. The Proposal Routing Form (PRF) may be found by going to the EGMS page and selecting EGMS Forms on the lower right side. You must then log in with your X.500 internet identification, select Make a Request, and then highlight PRF - Proposal Routing Form, and click on the Make Request button.
  2. Complete the form. If you have questions or require assistance filling out the form, please contact any member of the Grants Team. We will be happy to help. It is particularly important that the budget is correct; therefore complete this form after you have a cemented budget. NOTE: Proposals are due to SPA 3 business days prior to the Sponsor due date
  3. Route the PRF electronically for approvers' signatures. All applications for external funding must include a PRF before they will be submitted to a funding agency by SPA. The following individuals must be included on the PRFs Approval Chain:
    1. PI
    2. PI's Department Head / Delegate
    3. Gayle Anderson (ander104@umn.edu), Department Administrator / Representative
    4. Steve Manson (manson@umn.edu), Associate Dean for Research and Graduate Programs / Delegate
    5. Any Co-PI and his or her departmental and collegiate approvers
  4. Email the application to proposal@umn.edu.
    1. The subject line of the email must contain only the PRF#, the PI's last name, and the name of the sponsor. It will be rejected if the subject line does not follow this protocol.
    2. Attach the full proposal to the email or, if you are using Fastlane, be sure to allow SFO Access in Fastlane.
  5. Monitor your email until the proposal has been submitted. Grant Administrators in SPA review all proposals and they frequently need to communicate with PIs before sending a proposal to the funder. Be ready and available to make changes before the funder's deadline.
