Annual Review of Chairs/Directors

General Information

The Regents Policy on Faculty Tenure (Section 7a. Review of Faculty Performance) provides that the performance of each faculty member is to be reviewed annually through the unit merit review process and in light of the goals and expectations of the unit. The annual review of faculty performance is used for the purposes of faculty development, salary adjustment, and recognition of faculty through nominations and awards. The review occurs regardless of the nature of the merit pool.

The Administrative Policy on Performance Management for Academic Professional and Administrative Employees provides that responsible administrators are required to conduct annual performance reviews with written documentation for each academic professional and academic administrative employee who reports to them. This includes chairs and directors of academic units, who are reviewed by the dean.

Submission Instructions

Materials related to the annual review of chairs/directors must be submitted electronically as separate pdf files via the CLA projects drive, no later than Friday, 7 April 2017.

  • Review Period. The annual review of chairs/directors conducted during academic year 2016/17 should focus primarily on spring semester 2016, summer 2016, and fall semester 2016 for all units, but may extend beyond these periods when appropriate and/or necessary.

Required Materials

Materials associated with the annual review of chairs/directors must include the chair/director's faculty activity report, curriculum vitae and self evaluation, and the unit evaluation of the chair/director. Additional materials may be submitted as needed.

Faculty Activity Report & Curriculum Vitae. The chair/director submits to the unit review committee and the dean a faculty activity report and updated curriculum vitae. The faculty activity report should follow the format normally employed within the unit. Materials must be submitted electronically in separate PDF files via the CLA Projects Drive (network drive P:).

All documents submitted to the CLA Projects Drive should adhere to the following naming conventions:

  • UNIT_Last Name, First Initial_CV_YYYY-MM-DD (e.g., CLAA_Doe, J_CV_2017-04-01)
  • UNIT_Last Name, First Initial_FAR_YYYY-MM-DD (e.g., CLAA_Doe, J_FAR_2017-04-01)

Self Evaluation. The chair/director prepares a written self-evaluation for the dean. This report (1-2 pages) should be treated as a private communication to the dean. However, the chair/director may choose to share the self-evaluation with the unit's merit review committee. The report should focus on the following:

  • What have been your major accomplishments this past year as a leader and administrator of your unit?
  • What staff, organizational or operational challenges have you faced as chair?
  • Are there places where you have fallen short of your goals?
  • Have there been any obstacles that might have limited your success?
  • Please identify your goals and priorities for the next year.

Unit Head Annual Review. The unit merit-review committee (or other appropriately constituted body) prepares a written report to the dean regarding the performance of the chair/director in four areas: administrative service (leadership and administration); scholarly research and creative work; teaching and advising; and service, outreach and other professional contributions.

Administrative Service - Leadership. Assess the effectiveness of the chair at charting a course for the department and helping the department accomplish its goals.

  • How well does the chair represent the department to the college, University and community?
  • How well does the chair maintain relationships with other units, constituents, alumni, and patrons inside and outside the University?
  • Assess the chair's effectiveness in raising external support for the unit.

Administrative Service - Administration. Assess how well the chair:

  • administers the day-to-day functions of the unit
  • provides responsible leadership and administration of human, physical, and financial resources
  • supervises office staff
  • makes himself or herself accessible to faculty, students, and P/A, civil service, and labor-represented employees
  • encourages professional development of P/A, civil service, and labor-represented employees
  • encourages development of faculty research and teaching
  • works effectively to mentor faculty and to foster growth in research and teaching
  • allocates service obligations among faculty fairly
  • handles personnel matters in a fair and equitable manner
  • promotes the needs of a diverse University community.

Scholarly Research & Creative Work. Assess the quality and importance of the chair's scholarly research and other creative work.

Teaching & Advising. Assess the effectiveness of the chair as a teacher both in and out of the classroom and as an academic advisor.

Service, Outreach & Professional Activities. Assess the importance of the service the chair performed to the discipline, the college, the University, and the community.

Annual Meeting

The dean meets annually with each chair/director to discuss the unit report, as well as the chair's/director's goals and priorities for the upcoming year. This meeting also provides an opportunity for constructive suggestions and feedback and should allow chairs/directors an occasion to provide information that would contribute to the dean's review of the chair's performance and determination of any merit increase for which the chair may be eligible.


Partial-Year Appointments

Faculty who served as chair/director for part of the review year should be reviewed according to the guidelines for the Annual Review of Chairs/Directors for the portion of the review year the faculty member served as chair/director, and according to the guidelines for the Annual Review of Faculty Performance for the portion of the review period the faculty member served in a faculty capacity only.

  • The chair/director review and the faculty review should be submitted to the college together.
  • The faculty member will not be included in the unit merit pool; the faculty member's merit increase will be determined by the dean.
