CLA NOW Archives

CLA NOW is an important communication channel for CLA business.  Department admins are critical to this process and depended upon to read and share appropriate information with their units. This page serves as an archive of all information that appeared in the administrative focused CLA NOW (News on Wednesday) weekly newsletter dating back to August 2016.

Time Sensitive - P&A Merit Letters-CLA NOW (6/14/2017)

A reminder that units need to initiate the HRMS entry for P&A employees by sending a copy of the merit letter to their Payroll Specialist. Please do send them by Friday, June 16 to ensure merit increases are entered in time for the first payroll of Fiscal Year 2018. 

2017-2018 Infrastructure for Learning Funding Recipients - CLA NOW (June 7, 2017)

The Infrastructure for Learning Funding Program oversees the long-term evolution and maintenance of the inventory of instructional infrastructure in CLA. Each application is reviewed by a committee made up from OCM and technical professionals in various CLA units. This year, the committee approved funding of more than $330,000 in improvements that will impact 14 CLA units. Read more about the proposed projects in LATIS Funding and Resource.

2017-2018 Academic Innovation Grant Recipients - CLA NOW (June 7, 2017)

The Academic Innovation Grants support faculty and department innovation and student-centeredness in teaching and learning through the integration of technology in CLA.

This year, the committee awarded more than $140,000 in grants to projects in eight academic departments. Read more about the proposed projects in LATIS Funding and Resource.

New Z.umn.edu Live Today - CLA NOW (May 31, 2017)

The University’s popular Z.umn.edu URL-shortening service relaunched with a refreshed look and new features today.

Available to anybody with a University of Minnesota Internet ID, the service enables users to create custom URLs ending in umn.edu for their University-related projects.

The changes were made following requests from users and focus on shareability and organization. Improvements include:

  • Transfer Ownership - a user will be able to transfer ownership of a link. This comes in particularly helpful if a project/event changes hands or if a user leaves a position.

  • Collections - users will be able to group URLs into collections to better organize around an event, department, or project. Collections can also be shared with other users who will then also have access to edit and add URLs.

  • Accessibility - Improved accessibility compliance for a better user experience.

  • Twitter - as soon as a URL is created, the user will be able to share it via Twitter with a simple click right from Z.umn.edu.

  • QR Code - a custom QR code will also be automatically created with any new Z.umn.edu link allowing the user to direct traffic in a printed piece using scanning technology.

The URLs never expire and there currently is no limit to the number of URLs an individual can create or manage. Once created, the URLs can be shared with both University and non-University audiences.

All current Z.umn.edu links will remain active and transfer to the new site where they will benefit from the new features such as ownership transfer and collection organization.

Resource Highlight: Simply Voting - CLA NOW (May 31, 2017)

Simply Voting (https://survey.umn.edu/simply-voting) is software available to any unit that would like to conduct web-based voting – either for electing candidates or approval of materials.

Access will be granted to anyone requesting use of the software. To get access, email Becky Hippert at hippe003@umn.edu with the names and email addresses of those people within your unit who will be creating ballots.

Important CLA Fiscal Year End 2017 Deadlines - CLA NOW (May 24, 2017)

We received the Fiscal Year End Memo for 2017.

Here is a memo specific to CLA entitled "CLA Fiscal Year End 2017 Deadlines."  This memo includes deadlines specific to CLA in order for the financial service teams to meet central administration deadlines.

Key Dates:

PO Vouchers_ CLA Deadline is June 16

Non-PO Vouchers_CLA Deadline is June 16

U Market Orders, Requisitions and POs_CLA Deadlne is June 16

Employee Expenses_CLA Deadline is June 16

P-Card Reconciliation_CLA Deadline is June 16

Cash & Check Deposits_CLA Deadline is June 29

Note: the CLA deadlines are the date that the Financial Service Teams will guarantee that the work gets completely processed prior to central administration’s deadline one week later on June 23.

Every effort will be made to process those items that arrive after the CLA deadline but we cannot guarantee that those late items will be fully processed before central’s firm June 23rd deadline.

Reminder for STAR and DMS Upcoming Deadlines - CLA NOW (May 24, 2017)

June 2 – STAR Spending Plan (AY 2017/2018) entry deadline.  Sooner is better for budget entry purposes.

June 30 (1:00 PM) – Scholarship entry due.  Provide scholarship upload template to accountants in advance of this deadline to allow time to review and upload.

Prepared food, candy, and soft drinks from Amazon.com - CLA NOW (May 17, 2017)

All sales using the University's Amazon Business account are treated as exempt from Minnesota sales tax, even for things where the University must pay tax. The University is not exempt from tax on prepared food, candy, or soft drinks, so there is an additional step you must take when buying these products.
If your order includes a food item, when you get to the "Review Your Order" page (checkout), look to see whether the food item has the words "Tax Exemption Applied" next to the food item.

  • If not, no action is needed.
  • If the food item shows that the tax exemption was applied, manually click "Remove" next to the words "Tax Exemption Applied" for any food item(s).

The Amazon.com system will then add tax to your order for the taxable food items and retain the exempt status for non-food items.
By following this procedure, you can rely on the Amazon.com system to charge tax on food items when appropriate. This additional step is essential to ensure that the University is paying tax when required.

FY18 Budget Entry - CLA NOW (May 17, 2017)

In the coming weeks the accountants will be very busy completing the FY18 budget entry process. They are working diligently to complete this work along with their regular work serving their units.They will be employing their best time management skills in order to juggle the needs of their units and the need to complete this important deadline driven budget entry project. 

Please know that your questions and issues are important to your accountant and they will respond as quickly as possible to your requests, however, there will inevitably be some delays.  For those items that are truly of an urgent nature, please state this in your email or voicemail to help them prioritize their work.  You will likely be getting an "out of office" email response of this nature from your accountants over the next several weeks.

Secure Print Feature Available on all CLA Canon Copiers - CLA NOW (May 17, 2017)

Secured print allows users to use a simple four digit code to hold any print job at the copier that can only printed when a user enters personal print code.
