CLA NOW Archives

CLA NOW is an important communication channel for CLA business.  Department admins are critical to this process and depended upon to read and share appropriate information with their units. This page serves as an archive of all information that appeared in the administrative focused CLA NOW (News on Wednesday) weekly newsletter dating back to August 2016.

I-9 Help Sessions Set for August 29, 30 (CLA Now - August 16, 2017)

With the new academic year approaching, we're making plans for supporting the large volume of new foreign national employees who will need to complete employment verification paperwork. We have scheduled two on-campus help sessions for I-9 processing of foreign national employees:

Tuesday, August 29, 9:00 a.m.-3:00 p.m., Humphrey School of Public Affairs, Room 25

Wednesday, August 30, 9:00 a.m.-3:00 p.m., Humphrey School of Public Affairs, Room 50B

Also, the Foreign National Employee Support desk on the fifth floor of the West Bank Office Building will offer special walk-in hours from 9:00 a.m. to 4:00 p.m. from Monday, August 28, through Friday, September 8. Appointments will not be taken during those two weeks.

Please remind new foreign national employees that they must bring the following valid (non-expired) documents with them to Payroll Services:

  • Passport with visa
  • I-94
  • I-20 or DS2019
  • Social Security number or receipt from Social Security
  • Offer letter (for correct start date)

Moodle to Canvas CLA Planning Meeting (CLA NOW - August 16, 2017)

All CLA admins, chairs, DUS and DGS's who have not yet responded with their availability for the upcoming Moodle to Canvas meetings received a reminder email earlier today. The meetings will lay out how TEL will work with CLA departments during the transition. Please feel free to share this Google Form with appropriate colleagues.

August AIM Cancelled (CLA NOW - August 16, 2017)

Due to the large number of people out on vacation and presenter conflicts, the August AIM has been cancelled. The next AIM is scheduled for October 26.

Commons Hotel Update for EFS entry - Changing of Supplier ID (CLA Now - August 9, 2017)

You may have already heard, the Commons Hotel has changed ownership. No changes were made to our existing U-wide contract and the hotel’s name remains the same. While this happened a while ago, it wasn't until recently that we were made aware that their tax ID changed. As a result, a new supplier record had to be created which affects transactions in EFS.

  • All new requisitions/POs must use Supplier ID 00000112738

Regardless of when the invoice is dated, use this Supplier ID on all vouchers. It's the only supplier ID that's active now. The Commons Hotel said that they will figure out how to properly record their payments to the proper entity once they receive a payment from the U.



Effort Certification Policy Reminder (CLA Now - August 9, 2017)

FY17 Period 2 effort statements were sent out August 7. All faculty was sent the reminder below.  


Per the University policy Effort Certification, "All faculty, as well as all non-faculty who is serving as principal investigator (PI), must certify their own effort." 
PI's should not certify the effort of his/her researchers if the researcher is a faculty member; faculty must certify their own effort under all circumstances.

Moodle to Canvas CLA Plan Meeting (CLA NOW - August 9, 2017)

All CLA admins, chairs, DUS and DGS's received an email earlier this week to sign up for one of three available meetings regarding the Moodle to Canvas transition plan for CLA. Attendance is highly recommended as it will lay out how TEL will work with CLA departments during the transition. We will make every attempt to place department members in the same meeting.  If you have not already done so, please indicate your availability in the Google Form and remind your department colleagues.

Fall Appointments - Payroll Office Reminder (CLA Now - August 2, 2017)

In an effort to set a payroll deadline that is achievable for most departments, the deadline for fall appointments to be received by the CLA Payroll team is 8/7/17
 
Please submit offers and payroll information to your team as soon as offers have been confirmed and avoid waiting until the last minute if at all possible.

Graduate Appointment Base Rate (CLA Now - August 2, 2017)

As you set up appointments for your grad students for fall semester, remember that the new CLA Graduate student minimum pay rate will be $22.89.  Appointments need to be at or above that amount starting 8/28/17.  Appointments below that amount will be sent back to units.

The University grad maximum rate for FY18 is $30.02. 
 
For current list of the minimum and maximum rates for all job codes, run the "Salary Admin Plan" report listed under the "Human Resource Management - HR Queries" section in the Reporting Center.

Graduate Appointment Work Limitations (CLA Now - August 2, 2017)

Grad Assistants may work up to 100% time (40 hours per week).  In no instance are Grad Assistants allowed to work more than 100% time.  International student work restrictions further limit the number of allowed hours for F-1 and J-1 Grad and Undergrad student employees.  Please see the Graduate Assistant Employment Work Rules for further details.


F-1 and J-1 Students work hour limits (CLA Now - August 2, 2017)

F-1 and J-1 student employees are subject to work hour limitations.  Please see "F-1 and J-1 Student Max Hours per Week" under the Employment Information section of the International Students, Scholars and Visitors page of the Office of Human Resources site.  In general, these students are limited to 20 hours per week during the academic year except over breaks, depending on the campus.  Any hours worked above the stated limits will not be paid.
