MailFlow Monitoring

Our Engineers specifically built this one of a kind tool that allows you to truly monitor your mail server. This tools goes beyond just monitoring SMTP, it provides real-time daily, weekly and/or monthly statistics by monitoring the status of all mail in and out of your server. Our system sends a message to your server every 5 minutes, to which your system auto-replies or sends a forward back to us. This allows you to get a true picture of the Up/Down status and performance of your mail-server!

Local Server Settings

There are two ways to configure the MailFlow monitor on your server, the first way is quick and easy and will alert you if your Mail Transfer Agent (MTA) is down. The second way is considered a bit more advanced and includes a few extra steps. The majority of users will find success with the first setup and only should use the second setup if they have concerns about receiving alerts if the Mail Store was down as well.

Forwarding Rule (Quick & Easy Setup)

Exchange 2003

  1. Click "Start" from your server's desktop, select> MS Exchange Server > Active Directory Users and Computers.
  2. Right click on the folder location you wish to create a new contact in.
  3. Type in requested name information, click next and select the 'Modify' button to enter the e-mail address
  4. Click "OK" to complete contact addition.
  5. Right click on the user account you want to forward from and select 'properties'
  6. Select the "Exchange General" tab and click on the "Delivery Options" button.
  7. Select the radio button for "Forward to:" and "Modify."
  8. Enter the name of the contact you created in step 3 into the "Enter the object name to select:" field and click the 'Check Names' button to verify it, then click 'OK'.
  9. Back on the 'Delivery Options' tab select the checkbox for "Deliver messages to both forwarding address and mailbox" and click 'OK' to close that tab.

Exchange 2007/2010

  2. In the Exchange Management Console, access the console tree, then navigate to Recipient Configuration > Mailbox.
  3. In the result pane, right-click the mailbox for which you want to configure mail forwarding, and then click Properties.
  4. In <Mailbox> Properties, on the Mail Flow Settings tab, click Delivery Options, and then click Properties.
  5. Select the Forward to check box, and then click Browse.
  6. In Select Recipient, select the recipient to whom you want to forward messages, and then click OK.
    Note: By default, the dialog box displays all recipients that are in the current recipient scope specified in the Recipient Configuration node. To learn more about the recipient scope and its impact on the recipient work center, see Understanding Recipient Scope.
  7. If you want incoming messages to be delivered to the mailbox as well as to the forwarding address you specified, select the Deliver message to both forwarding address and mailbox check box. Clear this check box to forward all incoming messages without retaining copies in the mailbox.
  8. Click OK to return to <Mailbox> Properties.
Tips for setting up your forwarding rule:
  • If you are setting up multiple monitors to test different mailflow paths, you can use the same mailbox more than once to do the forwards. In this case, you would use the same email address when writing the monitor command, but different IP addresses
  • While setting up your monitor, a good troubleshooting setup is to check the mailbox on your end to make sure our test messages are reaching you.

Create Mailbox

  1. Open your Exchange Management Console (EMC) and under Recipient Configuration select Mailbox.
  2. Right click and select New Mailbox.
  3. Select User Mailbox and click Next.
  4. Select New User and click Next.
  5. Create a user, we recommend using a username of MxToolBox.
  6. Assign alias and select mailbox database.Click Next, Next and then New to complete adding the user.

Forwarding Rule

To configure the forward, create the forwarding contact in the Exchange Management Console. This contact will be used by the rule defined in the next step to forward mail back to MxToolBox.
  1. Right click Mail Contact > New Mail Contact
  2. Choose the radio button next to New Contact and click Next.
  3. Complete all fields and the external email address should be . You will have to hit Edit to edit this field.
  4. Click Next, New and then Finish to complete adding the New Mail Contact.

Configure Outlook and create Forwarding Rule

Now your Email Client needs to be configured to forward the message back to MxToolBox.
  1. Open Outlook and Access File > Rules & Alerts. [Outlook 2003: Tools > Rules and Alerts]
  2. Click New Rule and begin constructing the terms of the rule.
  3. Access the section under 'Start with a blank rule" > Apply rule on message I receive [Outlook 2003: Check messages as they arrive] and click Next.
  4. Select "from people or a public group" [Outlook 2003: "from people or distribution list"] and edit the value to be the address you chose for this mailbox . Click Next.
  5. Select "foward it to people or public group" [Outlook 2003: "forward it to people or distribution list"] and edit the value to be . Click Next.
  6. Do not set any exceptions if asked.

Server Forward

By default your Exchange server won't allow mail to be forwarded outside the domain so these steps need to be adjusted.
  1. In the Exchange Management Console, under Organization Configuration, select Hub Transport, and select Remote Domains.

  2. Right click in the Remote Domains Pain to create a New Remote Domain. Set the domain name to be Make sure to select "Include all subdomains".

  3. Click New and then Finish.
  4. Right click the newly created Remote Domain and select Properties.
  5. Click Message Format and check the boxes "Allow Automatic Replies" and "Allow Automatic forward"

  6. Click Apply and then OK.
