DCS PTO Meeting Minutes September 19, 2017 DCS Cafeteria * 6:30pm 
In Attendance:  Sue Fifield, Andrea Boulton, Carolyn O’Neal, Trisha Hellings, Gina Nash, Tina St. Peter, Dawn White, Cindy Hanson, Sarah Nickle, Trisha Lafond and Bonnie Heisey. 

  • Ricky McGregor Whiffle Ball Tournament donation 
    • Time sensitive Board e-mail vote on 9/7/2017 to donate $100 
  • IBS (Individual Banking Student) accounts 
    • Sue and Dawn created an information sheet detailing IBS program (copy attached) and also included in the Bridge. 
  • Update on PTO organization 501C status and Tax ID number 
    • Donna Cote assisted with review of the documentation required to apply for these items. Ready to sign the form for the 501C3 status. Next will be to file for the Tax ID # and then open a bank account in the PTO name. 
  • PTO By-Law Update 
    • Donna Cote assisted with review of the updated By Law document 
    • Complete and signed by the Board Officers on 9/19/17 
  • Triathlon wrap up 
    • The first annual Triathlon held in July was very successful and received lots of great feedback 
    • Andrea compiled all the details of planning the Triathlon into a timeline of tasks to complete 
    • Will try to incorporate a Kids race into the same event for next year 
    • 2018 Triathlon date has been set for Saturday, July 28th 
  • PTO current account balance is about $7,000 (some Triathlon expenses still need to be settled) 
  • School Board update 
    • Back to School BBQ at the K-5 open house evening was a great success. Served burgers, hot dogs, chips, watermelon, water and freeze pops. Will become an annual event that the PTO coordinates and School Board helps to fund as well as volunteer to cook and serve. This was a great event to kick off the school year. 
    • Upcoming SB items on the PTO radar: Families and Social Media as well as the High School discussion forum planed for the 10/18/17 school board meeting 
  • 2017 Sherburne Award 
    •  PTO nominated Lynne Calfasso. Joanne Wasson was awarded the honor this year. 
  • Discussion about the issue of bullying 
    • o  Tina S. requested to inquire about coordinating students to make cards of support for the young boy in Claremont who is a victim of bullying 
    • Update 9/25: Tina checked with school administration and at this time families can make cards at home and Tina will coordinate to send 
  • 1st Grade Coin drive for hurricane relief 
    • Cindy Hanson coordinated fundraiser 
    • Gina will assist with counting and check will be made payable to the Red Cross 
  • Yard Sale – Saturday, Oct 7th $12 per site 
    • Tina Willess will mentor Jenn Verville to take over as coordinator 
  • FYI 6th grade will have a fundraising booth at the Deerfield Fair 
    • Selling water and handmade items to fund their field trip to Ferry Beach 
    • PTO will lend them a table 
  • Room Parents Needed 
    • Tina S noted that there are still a few classrooms needing room parent volunteers. She will put a request for volunteers in the Bridge again this week. 
  • Coffee Cart – Friday, October 13th
    • Tina S will publish Sign Up genius 
    • Past PTO members, Lisa Brochu, Jenn Prentiss and Laurie Mothes have volunteered to help 
  • Yankee Candle Fundraiser Orders due back on Tuesday, Oct 3rd
    • Tally orders on Sunday, Oct 8th at 9am 
    • Order delivery – either Monday, Oct 30th or Monday, Nov 13th
    •  Proceeds are split between classrooms and individual students 
  • Fall movie night 
    • Friday, October 27th at 7pm – ‘Hocus Pocus’ 
    • 8th Grade concessions 
    • Tina S will investigate license purchase with Deb Boisvert – hope to show as an outdoor movie 
    • Trish will ask Tim Griffin to use large screen and projector 
  • Scarecrow competition 
    • Family and Classroom competition for creating the best scarecrow to be displayed on the lawn in front of DCS 
    • Competition begins Friday, Oct 13th
    • Judging on Thursday, Oct 26th
    • Winners will be announced at movie night on Friday, Oct 27th
    • Gift Cards for family winner (1st place $50, 2nd $25 and 3rd $25) 
    • Cake and Ice Cream party for classroom winner (1 prize) (Tina S will make the cake) 
  • Spring Fundraiser Ideas 
    • Square1art.com- suggested by Cheryl Brown 
    • Sarah will ask DCS art teachers for opinion about trying this fundraiser in the Spring as it impacts their responsibilities as well 
    • Notepads with kids art work 
    • Lawn Stencils to show school spirit 
  • Emergency Buckets for Classrooms 
    • Trish Lafond has taken care of this task 
  • Designated Volunteer process 
    • ‘Designated Volunteer’ status is only needed for people who are in volunteer positions where they are ‘one on one’ with a student. This is uncommon for any volunteer position at DCS. 
    • The process of becoming a Designated Volunteer involves watching a movie and being finger printed. 
    • All Volunteers must complete a Volunteer Application 
  • Next Volunteers are needed for the Vision Screenings on Oct 12th and Oct 25th
    • Bonnie will coordinate with Tina to source volunteers

Town-Wide Yard Sale

Town-Wide Yard Sale    Saturday, October 7th, 2017   8am-3pm

Sponsored by the Deerfield Community School PTO

The cost for a site is $12.00. You may make checks payable to the Deerfield Community School PTO. In exchange, your yard sale location will be listed on the official map.
Registrations must be received no later than 2pm on Thursday, September 28th.

Maps will be sold for $1 at various locations around town beginning on Wednesday, October 4th. All paying participants will receive a numbered location sign as well as a map. These may be picked up at the Deerfield Community School beginning on Wednesday October 5th. Please remember to pick up your signs and remember to return your signs to the school so that we can use them again next year!

Please fill out form below and mail with check to DCS/PTO, 66 North Rd., Deerfield, NH 03037. If you have questions, you may contact Jenn Verville jennj37@hotmail.com or 463-5776. Include your email address so  we can send you information about sign pick-up and other important info.

8th grade Fundraiser

The Nine Lions Tavern is hosting a wine?beer tasting dinner to assist the DCS 8th grade in raising funds needed for their annual class trip. Deerfield sends every student regardless of ability to pay. Events such as these make it happen! We are thankful the Lion has offered to work with us.

Dinner orders are needed by January 21st so the proper amount of food can be ordered. Please contact Sue Fifield at smheon@aol.com or Courtney at the Nine

This event is being hosted by the Nine Lion Tavern on behalf of the non-profit Deerfield PTO. The proceeds from this event will benefit the 8th grade students. This event is not sanctioned by the Deerfield Community School.
