AESOP Teacher Questions


Use one of the methods in the left column to create an absence in AESOP. Logging on to the web site will allow you to create or view your absence information and history.  Calling the number (1-800-942-3767) will allow you to create an absence and will be an asset in those situations when the Internet is not available for one reason or another.

  • Can subs shop for a sub job? Subs cannot cancel within 24 hours of the assignment.
  • Can a staff person request a sub? Staff people cannot request a specific sub through the system at this time.
  • How do I request a long-term sub? You use the same process that you use now.  Contact your building administrator.
  • Are we using the feedback form?  We are not using the feedback forms (teacher to sub OR sub to teacher)
  • Do ed techs have to enter the absence in the time clock? Yes, please.
  • Do teachers need to request a personal day through AESOP, ESS, or both? The overall procedure is exactly the same.  A staff person requests a personal day through ESS and enters it into AESOP once it is approved (instead of going to the school secretary). Please check with your building administrator to confirm your school’s procedure.
  • For PD days, do teachers use AESOP, ESS, and Inservice? Yes  The overall procedure is exactly the same.  A staff person requests a professional day through ESS and enters it into AESOP and Inservice once it is approved (instead of going to the school secretary). Please remember to get preapproval for activities being used for recertification and check with your building administrator to confirm your school’s procedure.
  • How do I know if I have a sub for my class once I’ve entered it into the system? The most direct way of knowing is to log on to AESOP and click on the confirmation number. The details for the absence, including the sub, will be in the window that comes up. For the first two months, Linda Davenport will be logging into AESOP in the morning to check on any unassigned jobs in the district and work to fill them. This is the same as she is currently doing. Also, when a secretary comes into school, one of the first things that they will do is log into AESOP, where they can see what sub positions for the building are open and what needs to be filled.  
This dual check system will last through the end of the calendar year.  In January, the secretary will be the backup system.
  • Are there limits to when I can request a sub in AESOP? A staff member can request a sub for the day until 7:45 am in an elementary school and 6:25 am in MMS and MHS.  After these times, please call the school directly as you have done in the past.
  • Are there limits to when I can cancel a sub in AESOP? A staff member can cancel a sub through AESOP up to 24 hours before the absence date.  After that, the staff member needs to contact the school.
  • Are there limits to when a sub can accept a job in AESOP? A sub can job can be accepted up to the start of school.
  • I work in two schools, how do I identify which school that I am at on the day of my absence?  If you are assigned to different schools, there are additional tabs that you have to use to create your absence. The second step in the process that you use is identifying the school that you are working in on that day. (Video Tutorial)
  • What if I am at 2 different schools in one day?  If you are in two buildings on one day, AESOP allows you to identify where you need the sub in the morning and in the afternoon.  Unfortunately, it will only allow you choose morning and afternoon, not allowing more than two schools in one day. If you are in more than two schools, please create an absence for one full day in the school where you begin the day and leave directions in the notes section of AESOP and/or with the secretary outlining your day for the sub.
  • What are the times for a sub’s school day?
