Google Tips for Monday’s Go Live

Logging in to Google Apps on Monday, June 11th

In any web browser, go to: http://www.google.com/a/rosalindfranklin.edu.

Enter your HelixNet user name and password.

The first time you log in, you'll be asked to take a moment to set up your account.

Browser Information

Google recommends the latest version of Google Chrome. They also support the latest versions of Firefox, Internet Explorer, and Safari. If you would like to have Chrome installed on your computer, please contact the Help Desk.

Mobile Setup

Detailed instruction for setting up mobile devices with Google Apps can be found on the RFU Google User Adoption Site at https://sites.google.com/a/rosalindfranklin.edu/google/mobile-users-3

Signing into additional Accounts

With multiple sign-in, you’re able to access different Google products with up to 10 accounts using tabs in the same browser. Multiple sign-in is automatically enabled for all Google Accounts.

 1.    Sign in to a product that supports multiple sign-in, using an account that has multiple sign-in enabled.

       2.    Click your name or email address at the top of the page.

       3.    Select Add account from the drop-down menu.

4.    On the page that opens, enter the email address and password for another account you wish to access, and click Sign in.

Once you’re signed in to more than one account in the same browser, you can easily switch accounts in the same tab. Just click your name or email address at the top and click on the email address you’d like to sign in to.

The mobile versions of Gmail and GCal do not support the use of multiple accounts in the same web browser. Instead, they default to the first account that you signed in to from your current browser.

Option for accessing additional accounts from a mobile device include:

·      Sign out of your Google Account and then sign in to the account you want to access.

·      Open a different web browser and sign in to another account from there.

Email and Calendar Delegation

Sharing previously set up in Outlook and/or Entourage will not migrate to your new Google Account. Two short videos are provided below to walk you through setting this up when we go live on Monday.

Faculty and Staff Switch to New Email and Calendar Platform

Google Apps for Education - Effective June 11, 2012!



In an effort to provide better email services to members of the RFU community, offer a new set of tools for academic collaboration, and achieve savings for the University, Information Technology Services is pleased to announce the release of Google Apps for Education to faculty and staff on Monday, June 11, 2012.

Please note that on Monday, June 11th, University email, calendars, and contacts will be accessed through Google. You will no longer log in through Microsoft Outlook or Entourage to access these resources.

In preparation for Monday’s Go-Live, Information Technology has spent the past several weeks migrating existing email from the current email platform to your new Google Gmail account. Over this upcoming weekend, remaining email, calendars and personal contacts will also migrated to your new Google Apps account.

Current RFU email addresses will not be affected by the change and you will continue to use your HelixNet login (username and password) to access your account.

How do I sign in to Google Apps?

In any web browser, go to: http://www.google.com/a/rosalindfranklin.edu and log in with your HelixNet username and password. The first time you log in, you'll be asked to take a moment to set up your account. Alternatively, you can log in via http://www.gmail.com by entering your full email address as your username (example: first.last@rosalindfranklin.edu) and entering your HelixNet password.

In addition to accessing your Google Apps account via the links provided above, a login shortcut labeled “RFU Google Apps” will be added remotely to University PC desktops over the weekend. 

Where can I get more information about Google Apps functionality and training opportunities?

The Going Google End-User Adoption Site is a one-stop shop for self-service training. The site contains a wealth of content to accelerate adoption and augment user training. Content includes recorded video training sessions, a library of tips and tricks, FAQs, instructions for mobile setup, and more.

Google Migration Update

The process of migrating your email from Outlook/Entourage to Google GMail began this past Friday and will continue through the scheduled Go Live of June 11th. You should continue to use the Outlook/Entourage Client until that date. Do not log in to your new account until June 11th, as doing so could cause errors with data migration. 

We appreciate your cooperation.

Final Day to Move Archived Mail [Going Google]

You have until 6:00pm this evening to move locally stored personal/archived PST files back to your Outlook/Entourage Mailbox.


What is a PST file? 
Messages that have been archived from your Outlook/Entourage Mailbox to your local machine as displayed below.

How do I move my PST files? 

1. Create a new folder in your main or root folder of your mailbox to store your archived messages, ie. “Old Mail” or “Archived Email”.

2. POPULATE THE NEW FOLDER WITH AT LEAST ONE EMAIL MESSAGE (remember – empty folders will not migrate).

3. Move (drag & drop) folders from your archive (local computer) to this newly created folder.

A short video has been added to the Going Google User Adoption site to help guide you through the recommended process for moving PSTs.

When will I begin using my new Gmail account?

Faculty and staff will begin using their RFUMS Google Apps account on June 11, 2012.
