Office Supplies Request for Proposal

The Prairie Spirit School Division is accepting proposals for office supplies for all community schools and the administration building for the 2019-2020 school year.  A preferred supplier will be given preference on the supply of an agreed upon list of supplies with the option for additional items as required.  Initial order for the 2019-20 school year is required for June 2019 with the potential of additional orders throughout the school year if needed.


  1. The division requests that your tender submission include the following for evaluation purposes:
  • Prices must exclude PST and GST
  • Shipping arrangements and pricing including order minimum’s, if any, or order frequency stipulations
  • Warehousing and inventory availability
  • A brief company history and resume of assigned sales rep for the account.


  1. Invoicing:

·         All initial invoice orders must be dated JULY 1, 2019 or later OR include the statement “For 2019/20 Supply Order”


  1. Additional Specifications
  • Initial orders must be shipped to the schools the first or second week of June 2019 based on the final order that will be forwarded at the end of March with the ability to make small adjustments afterward.
  • Any and all suppliers may be called upon to provide additional information or provide evaluation samples during the review period.
  • School sites, and addresses, will be available upon request for shipping quote purposes as it is required that supplies will be delivered to multiple sites and invoiced separately for each location. A contact list will be provided to the successful supplier.


  1. Other Terms

·         Tender may be separated, if some items are not available or tendered at a lower price by another supplier.

·                                 The Division takes into consideration the past and projected performance of a company

as it pertains to such areas as the procurement of goods, the quality of goods provided, and the satisfaction of service. 

·         Proposals are due by noon, February 1st, 2019.  Proposals must remain valid for a minimum of 30 days following closing of request for proposal deadline. Incomplete proposals will not be accepted.  Lowest or any bid may not be accepted.
