Asset Management \ Asset Management


The Asset Management module allows you view, create and edit the details of any asset 
through gScholar and either individually enter the assets into gScholar or bulk import them from your 
Google Admin console. This feature will also create a QR code for each asset which allows the 
scanned and identified from a mobile device.


Viewing Assets

The Asset Management module allows you to view assets and filter them by location and/or type
using the two drop down menus, as well as by serial number using the text box at the top of the 
screen. To filter the displayed assets by either location or type or both, select them from the 
corresponding drop down lists at the top of the window.


To bring up detailed information on an asset, just click the assets Serial Number.


This will bring the Asset Details window. Here you can view detailed information about the asset
as well as print out the QR code which you can affix to the asset.

Creating an Asset

To create a new asset, first click Add at the top of the Asset Management window.

 

First, enter in Device Detail information.  This is device specific information about the new asset.
  • Asset Serial Number: This is the manufacturer's serial number for the device
  • Asset Number: This could be any number used internally by your organization for the asset
  • Asset Type: This could be the type of device or the specific device model 
  • Assigned User's Email: The email of the user the device is assigned to, if applicable
  • MEID: The mobile equipment id for 3G mobile cards in Chrome devices



Next, enter in general information about the asset. This can include:
  • Color
  • Location
  • Description



Next, enter in any insurance information for the asset. This can include:
  • Insurance Provider
  • Insurance Type
  • Insurance Start Date
  • Insurance End Date



Next, enter in any price information for the asset. This can include:

  • Purchased Cost
  • Expected Lifetime
  • Expected End of Life Value


Finally, click Save at the top of the Setup window.

  



Import from Google

You can bulk import devices into Asset Management from your Chrome OS Management Console.
 
Important! Note that importing from Google will overwrite your existing asset data with device information 
currently in Google Apps.

To begin, click the Import from button at the top of the window.



Next, review the confirmation popup window, then click OK.


You'll be notified by email when the import is complete.


Export Assets

You can also export your asset list in Asset Management into a Google spreadsheet.

To begin, click the Export button at the top of the window.

  


Review the confirmation window, then click OK.
When the export completes, you'll see the following window with a link to the spreadsheet
with the exported asset information.
