Managing iPad labs using Apple Configurator


This process requires an Apple computer with internet access. NSD-STAFF-OPEN WiFi will work.
It is highly recommended the iPad lab uses an iPad cart with USB connections for all iPads.

 

Pre-Requisites:

  • iPad Lab environment. Recommended using iPad sync cart with USB connections for iPads.
  • Two separate Apple IDs
    • Nebo School District issued Volume Purchase Program Facilitator Apple ID.
    • Nebo School District issued iPad Lab Apple ID.

 

The difference between the two accounts:

Facilitator Accounts MUST be used to purchase redemption codes for PAID Apps using the Volume Purchase Program located online at https://volume.itunes.apple.com/us/store/

iPad Lab Accounts MUST be used to purchase FREE Apps using the iTunes App Store & to redeem VPP redemption codes provided by a Facilitator Account.

It is against most paid iPad Apps End User License Agreements to purchase only (1) copy of an App and install it on multiple iPads in use in an Education or Business environment for which the Volume Purchase Program has been designed.

 

Installing Apple Configurator


On your Apple computer:

  1. Open the "App Store" application.
  2. On the Menu Bar click Store --> Sign In & sign in using your Nebo School District issued iPad Lab Apple ID.
  3. In the Search Box search for "Apple Configurator" & install the app on your computer.

 

Downloading Apps for your iPad Lab.

PAID Apps

Paid Apps may ONLY be purchased using a Nebo School District issued Volume Purchase Program Facilitator Apple ID through the VPP located online at https://volume.itunes.apple.com/us/store/

You must purchase licenses equal to the number of iPads you intend to use the Paid App on.

 

Adding Funds to your Nebo School District issued Volume Purchase Program Facilitator Apple ID.


  1. Open the web browser on your Apple Computer and browse to https://volume.itunes.apple.com/us/store/
  2. Sign-In using your Nebo School District issued Volume Purchase Program Facilitator Apple ID.
  3. Click "Redeem Voucher" and enter a Volume Voucher Code provided by your administration.

 

Purchasing PAID Apps


  1. Use the iTunes Store or iPad App Store to discover PAID Apps you are interested in using.
    DO NOT PURCHASE THE APP DIRECTLY FROM the iTunes Store or iPad App Store.
    You must purchase the App from the Apple Volume Purchase Program for Education.
  2. Open the web browser on your Apple Computer and browse to https://volume.itunes.apple.com/us/store/
  3. Sign-In using your Nebo School District issued Volume Purchase Program Facilitator Apple ID.
  4. Enter the name of the PAID App you wish to purchase in the Search box and click Search.
  5. Click on the App in the search results to be taken to the App's homepage.
  6. Enter the Quantity you wish to purchase. The quantity must equal the number of iPads you intend to put the App on. Click Continue.
  7. A document containing # codes will be provided after this purchase.

 

Using the VPP Paid App Spreadsheet


  1. Purchase VPP apps on the Mac where you will run Apple Configurator. Do not use the same VPP spreadsheet on more than one computer.
  2. Open the web browser on your Apple Computer and browse to https://volume.itunes.apple.com/us/store/
  3. Sign-In using your Nebo School District issued Volume Purchase Program Facilitator Apple ID.
  4. Click on your Nebo School District issued Volume Purchase Program Facilitator Apple ID.
  5. Look for your APP order and “Download Spreadsheet” to your computer.
  6. Import the spreadsheet into your Nebo Google Drive/Docs
    1. Login to Nebo E-Mail
    2. Click “Drive
    3. Click the Gear Icon > Upload Settings > Convert uploaded files to google docs format.
    4. Click the Upload button > Choose your spreadsheet.
    5. Click on the imported spreadsheet to view your order details.
  7. Copy one of the Codes to the clipboard. (Command+C)
  8. Open the iTunes Application.
  9. On the Menu Bar click Store > Sign In & sign in using your Nebo School District issued iPad Lab Apple ID.
  10. Click on “Apps” near the top of iTunes.
  11. Click on “Redeem” to open the Redeem Code page.
  12. Paste the Code from above into the text box. -> Redeem
  13. The App will download into iTunes.
  14. The Apple Configurator will be used to install the paid app on your iPad lab.
  15. Repeat the above process for any other paid Apps you wish to purchase.

 

 

FREE Apps

Free Apps may ONLY be purchased using a Nebo School District issued iPad Lab Apple ID through the iTunes store on your computer. The Apps will be downloaded to your computer and then the Apple Configurator will be used to put them on your iPad Lab.

 

Downloading Free Apps


  1. Use the iTunes Store or iPad App Store to discover FREE Apps you are interested in using.
    DO NOT DOWNLOAD THE APP DIRECTLY FROM the iPad App Store
    You must download the App from the iTunes Store on your Apple Computer.
  2. On your Apple computer:
    Open the "iTunes" application.
  3. On the Menu Bar click Store --> Sign In & sign in using your Nebo School District issued iPad Lab Apple ID.
  4. Click "Apps" and search for the Free App you would like to use on your iPad lab. Download the app onto your computer from within iTunes.
  5. The Apple Configurator will be used to install the free app on your iPad lab.
  6. Repeat the above process for any other free Apps you wish to download.

 

Apple Configurator

Creating the initial Configurator Profile


  1. Connect (1) Brand new iPad to your Apple Computer.
  2. Open the iTunes Application. DO NOT go through the iPad Initial Setup if presented with the option.
  3. On the menu bar choose Store > Authorize this computer & sign-in with your Nebo School District issued iPad Lab Apple ID.
  4. Exit the iTunes Application. (Command+Q)


  5. Open the “Apple Configurator” application.
  6. On the Menu Bar click Apple Configurator > Preferences
    1. General
      1. UNCHECK Automatically refresh
      2. CHECK Remove apps and profiles Configurator did not install
    2. Lock Screen:
      1. Click the iPad selector.
      2. Customize the iPad Lock Screens to your liking & close the Preferences screen when completed.
  7. Close the preferences pane
  8. Click the “Prepare” button near the top of the Apple Configurator application.
    1. Settings Tab
      1. Name: iPad Initial Backup
      2. UNCHECK Number sequentially starting at 1
      3. Supervision: ON
      4. iOS: Latest
      5. CHECKMARK Erase before installing
      6. Restore: Don’t Restore Backup
      7. Profile: Checkmark the profile you would like to use.
        1. If there are no profiles, you will need to create one:
          Click the + to Create New Profile...
          1. General
            1. Name: Enter a profile name to identify your iPad Lab profile.
            2. Organization: Nebo School District
            3. Description: Optional
            4. Consent Message: Optional
            5. Security: With Authorization à Document your authorization password.
            6. Automatically Remove Profile: Never
          2. Passcode (Not configured)
          3. Restrictions (Click Configure)

            2. Customize this to your liking with these exceptions:
              1. UNCHECK Allow Erotica (Supervised Only)
              2. CHECKMARK Require iTunes Store password for all purchases
            3. Applications Sub Tab
            4. Customize this to your liking.
            5. Media Content Sub Tab
            6. Customize this to your liking.
          4. Global HTTP Proxy (Not configured)
          5. Wi-Fi (Click Configure)
            1. Service Set Identifier (SSID): NSD-TABLET
            2. CHECKMARK Auto Join
            3. Proxy Setup: None
            4. Security Type: None
          6. VPN (Not configured)
          7. Mail (Not configured)
          8. Exchange ActiveSync (Not configured)
          9. LDAP (Not configured)
          10. Calendar (Not configured)
          11. Contacts (Not configured)
          12. Subscribed Calendars (Not configured)
          13. Web Clips (Click Configure)
            1. Web clips are icons on the iPad that open web page URLs. They are optional but you may want to use them for your ipad lab.
          14. Certificate (Not configured)
          15. SCEP (Not configured)
          16. APN (Not configured)
        2. Click Save & your profile should show up in the Profiles List
          You can use this profile for future iPad Lab preparations instead of recreating it each time.


    2. Apps Tab
      1. Click the + to add Apps
        The Apps will be located in your user profile directory in
        ~\Music\iTunes\iTunes Media\Mobile Applications
        1. Free Apps will add automatically.
        2. Paid Apps:
          1. Will require you to sign-in using your Nebo School District issued iPad Lab Apple ID.
          2. "A paid app has been imported. Redemption codes must be imported before installing this app on devices."
          3. Download the redemption codes:
            1. Open the web browser on your Apple Computer and browse to https://volume.itunes.apple.com/us/store/
            2. Sign-In using your Nebo School District issued Volume Purchase Program Facilitator Apple ID. Click on your Nebo School District issued Volume Purchase Program Facilitator Apple ID. Look for your APP order and “Download Spreadsheet” to your computer.
          4. Import the redemption codes:
            1. Click the Oval with 0 in it next to the paid App you need to install.
            2. Click “Import Redemption Codes
            3. Do you want to import VPP codes into this instance of Apple Configurator? Click Yes
            4. Browse to the redemption codes spreadsheet you downloaded for the paid App.
            5. Click Done
        3. CHECKMARK all Apps you want to be installed.


  9. Click “Prepare” at the bottom of the Apple Configurator application. 
  10. Click Apply (if asked "Are you sure you want to apply these settings to all USB-connected devices?")
    The device will go through the Supervised Preparation process and reboot.
  11. Exit the Apple Configurator (Command+Q)

 

 

 

Creating the initial Configurator Backup


On your Apple computer:

  1. Connect the initial device from above to your Apple Computer.
  2. Make sure there are no other iPads connected to your Apple computer.
  3. Open the “iTunes” application.
  4. On the Menu Bar click Store > Sign In & sign in using your Nebo School District issued iPad Lab Apple ID.
  5. On the left under Devices, highlight your iPad to go through the “Set up your iPad” process.
    Do not Restore from a backup if presented with the option.
    1. Name: iPad Initial Backup
    2. Your Choice: Automatically sync songs to my iPad
    3. Your Choice: Automatically add photos to my iPad
    4. Your Choice: Automatically sync apps to my iPad
  6. Done
  7. Exit iTunes (Command+Q)

 

On the iPad:

  1. Turn on the iPad and you should be presented with the iPad Configuration Screen
  2. Language: English then click Next
  3. Country or Region: United States then click Next
  4. Wi-Fi:
    1. If the Nebo School District Wireless authentication page appears, click Cancelthen click Next
    2. Continue without Wi-Fi? click Continue
  5. Location Services: Enable Location Services. then click Next
  6. Set Up iPad: Set Up as New iPad. then click Next
  7. Terms and Conditions: -> Agree then click Agree
  8. Diagnostics & Usage: Don’t Send. then click Next
  9. Start Using iPad.

Open the “Apple Configurator” application:
  1. Connect the initial device from above to your Apple Computer.
  2. Make sure there are no other iPads connected to your Apple computer.
  3. Click “Supervise” at the top of the Apple Configurator application.
  4. Click “All Devices” then highlight “iPad Initial Backup
  5. Right click on “iPad Initial Backup”; then click Back Up
  6. Name: iPad Initial Backup; then click Create Backup
  7. Once the backup completes do the following:
  8. Right click on “iPad Initial Backup” and choose “Unsupervise” -> Unsupervise Device
  9. The iPad will reboot.


Apple Configurator – First time setup


On your Apple computer:

  1. Un-Plug the USB Sync cable from your iPad Sync Cart so that no iPads are connected to your computer.
  2. Open the “iTunes” application.
  3. If you have not done so previously:
  4. On the menu bar choose Store > Authorize this computer & sign-in with your Nebo School District issued iPad Lab Apple ID
  5. Exit the iTunes Application. (Command+Q)
  6. Open the "Apple Configurator" application.

 

Customizing the iPad Lock Screen

  1. On the Menu Bar click Apple Configurator --> Preferences
    1. General:
      1. CHECKMARK Automatically Refresh
      2. CHECKMARK Remove apps and profiles Configurator did not install 
    2. Lock Screen:
      1. Click the iPad selector
      2. Customize the iPad Lock Screens to your liking & close the Preferences screen when completed.

 

Preparing an iPad Profile

  1. Click the "Prepare" item at the top of Apple Configurator to begin preparing your iPad Lab.

      1. Name: Enter a name to identify your iPad Lab.
      2. Checkmark: Number sequentially starting at 1
      3. Supervision: ON
      4. iOS: Latest
      5. Checkmark: Erase before installing
      6. Restore: iPad Initial Backup
      7. Profiles: Checkmark the profile you created for your lab.

  2. Plug in the USB Sync cable from your iPad Sync Cart so that all iPads are connected to your computer.

Apple Configurator – Supervising

 

Creating a device group


On your Apple Computer:

  1. Plug in the USB Sync cable from your iPad Sync Cart so that all iPads are connected to your computer.
  2. Open the “Apple Configurator” application.
  3. Click the "Supervise" button.
  4. Click the + at the bottom left of the Apple Configurator application to create a new device group.
  5. Drag your USB Connected iPads into the new device group.

 

Adding new Applications


  1. Follow the steps in the “Downloading Applications for your iPad Lab.” Section.
    On your Apple Computer:
    1. Open the “Apple Configurator” application.
    2. Click the "Supervise" button.
    3. Highlight your iPad Device Group on the left. Highlight All iPads on the right.
    4. Click the “Apps” tab.
      1. Apps Tab
        1. Click the + to add Apps
          The Apps will be located in your user profile directory in
          ~\Music\iTunes\iTunes Media\Mobile Applications
          1. Free Apps will add automatically.
          2. Paid Apps:
            1. Will require you to sign-in using your Nebo School District issued iPad Lab Apple ID.
            2. "A paid app has been imported. Redemption codes must be imported before installing this app on devices."
            3. Download the redemption codes:

              3. Do you want to import VPP codes into this instance of Apple Configurator? Click Yes
              4. Browse to the redemption codes spreadsheet you downloaded for the paid App.
              5. Click Done
          3. CHECKMARK all Apps you want to be installed.
    5. Click the “Apply” button.
    6. Click the “Refresh” button at the bottom of the Apple Configurator application to refresh the iPads with your new Apps.

 

 

 

 

Adding new iPads to your lab.

New iPads must be put into Supervision mode and then added to your Device Group within Apple Configurator.

On your Apple Computer:

  1. Use USB Sync cable to plug in the new iPads.
  2. Open the “Apple Configurator” application.

 

Supervising the iPads

  1. Click on the “Prepare” button near the top of the Apple Configurator application.
    1. Settings tab
      1. Name: Enter a name to identify your new iPads
      2. Checkmark: Number sequentially starting at 1
      3. Supervision: ON
      4. iOS: Latest
      5. Checkmark: Erase before installing
      6. Restore: iPad Initial Backup
      7. Profiles: Checkmark the profile you created for your lab.
    2. Apps Tab
      1. Go through the process documented in “Adding new Applications”.

  2. Plug in the USB Sync cable so the iPads are connected to your computer.
  3. Click “Prepare” at the bottom of the Apple Configurator application.
  4. Click Apply (if asked "Are you sure you want to apply these settings to all USB-connected devices?")
    The device will go through the Supervised Preparation process and reboot.

 

Adding iPads to your device group

On your Apple Computer:

  1. Open the “Apple Configurator” application.
  2. Click the Supervise button.
  3. Drag your new USB Connected iPads into the new device group.

 

Tips & Tricks

 

How supervision works

Supervised iPads will automatically refresh when plugged into the Apple Computer that they were set up on.

This will remove all changes the users have potentially made to the devices while they were using them and restore the devices to your custom state.

You can change these settings from within “Apple Configurator”.

  1. Open the “Apple Configurator” application.
  2. On the Menu Bar click Apple Configurator > Preferences
    1. General
      1. UNCHECK Automatically refresh
      2. UNCHECK Remove apps and profiles Configurator did not install
  3. You will have to manually refresh the iPad devices from the “Supervise” area of Apple Configurator if you change these settings.

 

 

App Not Authorized Error

This error is caused when iTunes has not released the Paid App download code back to Apple at the time you downloaded the spreadsheet.

Fix:

On your Apple Computer:

  1. Open the web browser on your Apple Computer and browse to https://volume.itunes.apple.com/us/store/
  2. Sign-In using your Nebo School District issued Volume Purchase Program Facilitator Apple ID.
  3. Click on your Nebo School District issued Volume Purchase Program Facilitator Apple ID.
  4. Look for your APP order and “Download Spreadsheet” to your computer.

 

Open the “Apple Configurator” Application. 

  1. Click the “Prepare” button near the top of the application, and then click the “Apps” tab.
    1. Click the Oval with 0 in it next to the paid App you need to install.
    2. Click “Import Redemption Codes
    3. Do you want to import VPP codes into this instance of Apple Configurator? Click Yes

    6. Browse to the redemption codes spreadsheet you downloaded for the paid App.

Backup to Protect your paid Apps

Backing up Apple Configurator

Command+Shift+G -->Go to the folder: ~/Library/Containers
Copy com.apple.configurator to backup location
Command+Shift+G -->Go to the folder: ~/Library/Keychains
Copy login.keychain & metadata.keychain to backup location

Restoring Apple Configurator

For supervised devices you must be logged in as the same user that backed up Apple Configurator

Make sure you have installed Apple Configurator before performing the following steps:
Command+Shift+G -->Go to the folder: ~/Library/Containers
Copy com.apple.configurator from your backup location to: ~/Library/Containers
Select "Replace All".
Command+Shift+G -->Go to the folder: ~/Library/Keychains
Copy login.keychain & metadata.keychain from your backup location to: ~/Library/Keychains
Select "Replace All".
Reboot your computer (Apple Configurator should be restored)
Select "Replace All".
