Sponsor Responsibilities

  • Submit complete pilgrim application and payment to Registrar. Be sure to enter pilgrim’s name like it needs to be on their nametag.
    • ALL the info is important! There is a reason for all of it!
    • Name & contact info needs to be accurate and correct!
    • Birthdate, shirt size, smoking info, church attended, etc.  is used when assigning rooms and tables and is very important!
    • Emergency contact info can help you as the sponsor to know who to contact to help you get letters – so don’t just list yourself – get info from the pilgrim!
  • If you cannot even get the information from your pilgrim to get the application filled out correctly, then you are probably NOT going to do a good job of getting letters, either, and you may want to reconsider taking on the responsibility of being a sponsor!
  • Get personal agape letters from as many friends and family members as possible.
  • Sign up for a spot on the prayer vigil at http://mccc.inetmember.com/brdPrayerVigilPerson.aspx.
  • Make some agape for the Walk (70 - 75 pieces is usually plenty). 
  • Sponsors traditionally take pilgrims to eat on Thursday on the way to the Walk.
  • Bring your pilgrim to Camp Butman between 6 and 7 pm on Thursday. Please don’t arrive before 6 – the team will NOT be ready!
  • After your pilgrim's things are unloaded, be sure to move your car from in front of the conference room down to the parking lot so others can drop off their pilgrims.
  • Be there for Candlelight at 8:00 pm on Saturday night of the Walk (pilgrims arrive about 10 pm).
  • You may go get your pilgrim's belongings at 4:00 pm on Sunday – or whenever "all-clear" signal is given - look for the RED (stop and wait) or GREEN (safe to pick up belongings and then move to chapel for Closing) signal on the big agape trailer. If the trailer is not parked in front of the conference room yet, then that is a STOP and WAIT!
  • Be there at 4 pm for Closing on Sunday (pilgrims arrive about 4:30 pm, you want to be sure to be there in plenty of time to “get settled” before we line up for “When the Saints Come Marching In.”
  • Please do not send or leave special gifts for your pilgrim. We do not want anyone's feelings to be hurt because they were left out or did not receive similar special gifts.
  • Please do not go to the Conference room area or mingle with pilgrims at any time during the Walk!
  • There is not a phone we can use at Camp Butman. If there is an emergency, please contact any team member that you can via cell phone. If you cannot contact anyone, please call 325 515-4035. This is the MCCC number. You will need to leave a message, which will then be sent to Brenda Hammond via email and text. She will get back with you as soon as possible.
  • Please ask your pilgrim to not use his/her cell phone while at the Walk. Pilgrims should either leave their phones at home, or with you, or at the least promise to leave it turned off in his or her room.
  • While your candidate is at the Closer Walk, you become the provider for his or her family. Make yourself available for emergencies, spiritual support, and to answer any questions they might have. In the meantime, please keep your pilgrim, the other pilgrims, and the team all in your prayers.

Dear <<Recipient Name>> : I am sponsoring «Name_Tag» for a spiritual renewal weekend called “A Closer Walk.” This weekend is not an actual physical walk, but rather a spiritual walk. The activities and events of the weekend demonstrate how God intends for His love to be at work in our lives. «First_Name» will be attending a Walk on «Walk_Date» at Camp Butman near Merkel, Texas.

One of the ways God’s love is demonstrated to those attending is through surprise Christian “love/friendship” letters from family members and friends. As a sponsor, I am responsible for contacting these individuals and asking them to write a letter to «First_Name», which will be given to him during the weekend. We ask that you not mention the letters to him until after the Walk. If you know of others that he would like to hear from, please pass the information on to them. We would be delighted to have a letter from anyone who would like to write one.

Your letter, which will be read only by «First_Name» is an opportunity for you to express your appreciation and love of/for him and what your relationship has meant to you. You may want to recall an event or some special happening that you have shared together. It doesn’t have to be long and it can be humorous or serious. Please do not send gifts or money – just a personal letter or note from you.

The letters need to reach me no later than Wed., <<date of Wed. before Walk>>. Please follow these steps:

  1. Write the letter and sign it. 
  2. Put it in an envelope and seal it. 
  3. Write «Name_Tag» (be sure to use his full name!) on the envelope.
  4. Bring the letter to me, or place in a second envelope and mail it to me. Please remember, the letters need to reach me by Wed., «Letter_Date». 
You may also email your letter to me at «SPEmail» and I will see that it is delivered to «First_Name».
