RACE DAY VOLUNTEER OPPORTUNITIES

5K & 10K Pre-registered Check-In: (8 Adults & 4 students) Volunteers Must arrive at 6:30 a.m. to help set up registration tables. (Runners/Walkers will begin arriving as early as 7:00 a.m.) Registration ends at 8:45 a.m. Volunteers hand out T-shirts, Race numbers, disposable timing chips & race packets to pre-registered runners & walkers. They then instruct runners to lace the disposable timing chip in their shoes laces. Instruct runners that the 10K starts promptly at 8:55 a.m. and the 5K begins at 9:00 a.m. National Anthem & runner instructions begin at 8:45 a.m. at the start line.

5K & 10K Race Day (Late) Registration: (4 adults & 2 students) Volunteers must arrive by 6:30 a.m. to help set up registration tables. (Runners/Walkers will begin arriving as early as 7:00 a.m.) Registration ends at 8:45 a.m.  Volunteers have runners/walkers fill out registration form, collect registration fee, assign a race number for the 5K and 10K, give out a disposable timing chip corresponding to the race number, give out T-Shirts and race packets as supply lasts. Volunteers then instruct runners to lace the disposable timing chip in their shoes laces. Instruct runners that the 10K starts promptly at 8:55 a.m. and the 5K begins at 9:00 a.m. National Anthem & runner instructions begin at 8:45 a.m. at the start line. Children registering for the Fun Run pay at Race Day Registration and are then directed to the Children’s Fun Run Table. The Fun Run begins at approximately 10:15 a.m.

Award (Medal) Table: (2 adults) Volunteers must arrive by 7:00 a.m. to help set up table. They will organize medals for distribution at the post-race award ceremony. Help hand out medals at post-race award ceremony. The 5K award ceremony will start at approximately 9:45 a.m., the 10K award ceremony to follow.

Volunteer Check In: (1 adult, 1 student) Volunteers must arrive by 6:30 a.m. to check in the volunteers, direct volunteers to their assignments & hand out volunteer T-shirt.

Race Announcer & 2 Assistants (3 adults) Must arrive by 7:45 a.m. to help set up podium at start line and announcement area tables at the finish line. Race Announcer makes pre-race announcements at the start line and announces finishers as they cross the finish line. The assistants: One spots the runners numbers & the other assistant identifies the name for the Race Announcer to announce.

5K/10K Course Setup: (2-4 adults) Volunteers arrive by 6:30 a.m. to help set up mile markers and various signs on the 5K and 10K Course.

5K/10K Door Prizes/Raffle Prizes: (2 adults, 2 students) Must arrive by 6:30 a.m. to help set up table. Volunteer will organize all of the door prizes; pick the winners while the race is in progress via a random drawing, hand out door prizes as runners arrive for the post-race party. Organize major raffle prizes to be drawn at the post-race party.

 Post-Race Refreshments: (4 adults, 2 students) Volunteers must arrive by 6:30 a.m. to help set up tables in cafeteria. Volunteers will organize food & beverages on tables& replenish supplies as needed. Will distribute refreshments at both the 5K/10K & Children’s Fun Run post-race party.

Sound System/DJ: (1 adult, 1 student) Must arrive at 6:30 a.m. to set up sound system in the cafeteria. Will play music as the participants arrive & at the post-race party.

Finish Line Water: (2 adults, 2 students) Volunteers should arrive by 7:00 a.m. to fill up coolers with bottled water and ice and take to the finish line area. Replenish bottled water as needed. Hand out water to 5K/10K runners & walkers after they cross the finish line. Hand out water to Children’s Fun Run Participants following the fun run.

Finisher’s Ribbon Distribution: (2 adults, 2 students) Arrive by 8:30 a.m. Volunteers will hand out finisher’s ribbons to all 5K finishers 14 years old & younger after they cross the finish line. Runners will begin crossing the finish line approximately 16 minutes after the 5K starts. Volunteers will then hand out ribbons to all Children’s Fun Run finishers. The fun run will begin after the 5K at approximately 10:15 a.m.

Greeters: (2-4 adults) Volunteers will arrive by 6:30 a.m. & help set up directional signs inside of school & in front of main entrance to school. Greet Runners & walkers as they arrive and answer general questions. Direct participants as needed to registration areas, rest rooms, start line, etc.

Water Station @ Valencia United Methodist Church: (4 adults, 4-6 students) Adult volunteers should check in at the High School on race day to receive their volunteer shirts. Arrive at the Methodist Church on Hays Street by 7:30-7:45 a.m. to set up water station. Volunteers will set up tables fill 500-800 cups (4-6 oz.) of water. The exact number depends on the number of 5K and 10K registered runners. A chaperone will transport the student volunteers to the water station after the playing of the National Anthem (8:45 a.m.). Students & adult volunteers will line both sides of the street & hand out water to runners & walkers as they pass. After the last walker passes the station, all will help clean up the trash, dismantle the water station & return to the high school.

Water Station #2 on 10K Course (Location TBA) (4-6 Adults & Students), Arrive at location TBA by 7:30-7:45 a.m. to set up water station. Volunteers will set up tables fill 200-400 cups (4-6 oz.) of water. The exact number depends on the number of registered runners. Volunteers will hand out water to runners & walkers as they pass. After the last walker passes the station, all will help clean up the trash & dismantle the water station.

Water Station #3 on 10K Course (Location TBA) (4-6 Adults & Students), Arrive at location TBA by 7:30-7:45 a.m. to set up water station. Volunteers will set up tables fill 200-400 cups (4-6 oz.) of water. The exact number depends on the number of registered runners. Volunteers will hand out water to runners & walkers as they pass. After the last walker passes the station, all will help clean up the trash & dismantle the water station.

Parking Attendants: (6-8 adults) Volunteers should arrive at the High School by 6:30 a.m. to help direct participants where to park. Volunteers will post parking signs, will need to block off certain areas of the parking lot for the Band to perform & Chaperone vehicles. Depending on the number of pre-registered runners/walkers, we may open up additional parking at the Middle School.

5K/10K Course Assistants: (10-15 adults) Volunteers will work along the course at various road intersections to encourage & cheer on the runners & walkers. They will assist Adams Township & Middlesex Township Police/Fire Police as needed to ensure the safety of the runners & walkers. Volunteers will check in at the school on race day & be at their post by 8:30 a.m.

5K & 10K Sweeper Bikes: (2-4 adults) 1-2 Volunteer will ride a bicycle following the last runners/walkers on the 5K course and 1-2 volunteer will do the same on the 10K course. This indicates when the race is over and when areas of the course can open up to traffic again.

Ensemble Chaperones: (4-6 adults) Chaperones should arrive at the high school by 8:00 a.m. to check in & to be directed to their assigned area along the main drive. Following the playing of the National Anthem, Chaperones will be responsible for transporting ensemble members and their instruments to the assigned area on the course. After the last runner/walker passes their area and is no longer visible, the chaperone will then transport the ensemble members back to the high school. Chaperones will encourage their ensemble to play for all runners & walkers with minimal interruption between songs.

Photographers (3-4 adults) Volunteers will be assigned to take photographs at the Start Line, Finish Line, on the 5K Course & 10K Course. They will then download photos on the race website.


CHILDREN’S FUN RUN JOB DESCRIPTIONS

Children’s Fun Run- Race Day Check In: (2 adults, 1 student) Volunteers must arrive by 6:30 a.m. to help set up Fun Run Check In tables Volunteers will help check in the pre-registered children & their chaperone, give out Children’s goodie bags, T-Shirts & race numbers. If a child still needs to register, they will be directed to the Race Day (Late) Registration Area to pay first.  They will then direct children and their chaperone/family member when & where to line up. The Fun Run starts near the 5K/10K Finish line after the 5K/10K are over (Approximately 10:15 a.m.)

Children’s Fun Run-Course Assistants: (10 volunteers: adults &/or students) Volunteers must arrive by 7:00 a.m.  to help to set up the fun run course. Volunteers work along the course to encourage the kids & provide direction support. Assist the kids & their families as needed along the course. Volunteers report directly to the Fun Run Coordinator.

Children’s Fun Run -Start line/Finish line Assistants: (10 volunteers: adults &/or students) Volunteers must arrive by 8:00 a.m. to help set up the Fun Run Course. They will help check in the children & their and their families. Assist Children & their families to the start line & help reunite children with their families after the race. Direct children & their chaperones to the cafeteria for the post-race refreshments.
