Dear Parents,

 

We are very excited to announce our 8th grade class trip to New York City!  We hope that all 8th graders will go this year, and we have begun working to make that happen.  We will have a fully-chaperoned trip from Wednesday, May 31st to Friday, June 2rd, 2017, that will include the following:

 

·      Transportation by motor coach

·      Sight-seeing including such things as the American Museum of Natural History, Bronx Zoo, Empire State Building, and the Broadway Musical Wicked. 

·      Overnight stay for 2 nights.

 

In order to plan accordingly, we need to set firm deadlines and expectations.  Enclosed you will find a trip contract that needs to be read and signed by both you and your child.  Below are further details concerning deadlines and payment plans for the trip.

 

·      The total cost will be $425 per student.  This includes transportation, lodging, two breakfasts, one lunch, two dinners, and admissions to all events.

 

·      We understand that some families cannot afford to pay this amount, and we are committed to raising money so that every 8th grader who is committed to participating can go and receive some financial assistance. 

 

·      Currently we are fundraising with the magazine drive. Also money can be earned by volunteering at the craft fair held at Lamoille on 11/12.  One final fund-raiser, pizza sales, will begin when we return from Winter Recess in early January.  Part of the money that each student raises will go toward the cost of his/her trip.  However, if funds are still an issue, please see your team representative for a scholarship application for funding of the trip and make sure to return the completed form in by 10/5.

 

 

·      When considering a scholarship, please reflect on what you can financially support.  We hope the use of available funds for scholarships can be reserved for those students and families in greatest need of assistance.  The maximum amount of scholarship we can offer will be approximately 50% of the cost of the trip.  In 2016, we funded 21 students through the scholarship process.

 

 

·      We need to reserve theater tickets, buses, and hotel rooms, soon, because May is a busy time of year to visit New York City.  To reserve a place on the trip, complete the enclosed trip contract and return it to your team representative with a check for $100 or $50, with a completed scholarship application, by Wednesday, October 5.  This initial $100 is non-refundable because we must get a firm commitment on numbers and pay for some of our reservations by November 1st.  If you miss the first deadline you can ask to be placed on the waiting list and move into a spot if one opens up.

 

 

·      The balance of the fees will be paid in six remaining installments that are due November 2nd, December 7th, January 4th, February 1st, March 8th  ,  and April 5th .  These deadlines are firm.  If deadlines are missed we will refund all but the initial $100 non-refundable deposit and place you on the waiting list. If a space opens up, and full payment is made, you can rejoin the trip.

 

 

·      If you are interested in chaperoning the trip, please indicate your interest on the enclosed contract and an application will be sent to you.  Chaperones also must pay the entire cost of their trip which includes an additional $100 for a double hotel room and the extra cost for adult tickets.

 

·      PLEASE NOTE: To ensure that everyone has a safe trip, there will be guidelines on behavior for all students who plan to go. Parents will be notified by March 31st if their child is unable to attend the trip because of behavior or truancy issues.  In these cases, all money paid except the deposit will be refunded. If your child is removed from the trip due to behavior or truancy after March 31st, no money will be refunded.

 

·      Please keep in mind that April 5th is the final deadline for all fees and/or refunds.  If a student does not attend the trip for any reason due to illness, personal family matters, truancy or behavior NO money will be refunded after April 5th.
