                                                        Update 5/15/2018
"Good to Know"document from Enrich Training.   For those that were not able to attend the training, we have had calls to tech support, asking what forms to upload if you are planning to write a 504 plan in Enrich this Spring.  Please refer to this doc for that information. - Migration of existing cases (up to June 15th) follows the migration training process and does not require the upload of any documents into Enrich.

ORANGE FOLDERS----504 document storage (As referenced in the Enrich training)
Beginning in the fall 2018 school year, 504 supporting documentation for each student will be stored in ORANGE folders. Please purchase these at the school level. 
What do I put in the ORANGE 504 folder?
 All signature pages that were not uploaded into Enrich.
 Supporting documents that were not uploaded into Enrich, ie.- doctor’s notes
Who manages the ORANGE 504 folder?
 504 Coordinators are responsible for these folders and appropriately sending them on when the student leaves the school.
 Schools can decide if each 504 Coordinator OR the Building 504 Coordinator/lead will keep these files.

This email includes important *Reminders  / *New Information  / *Instructions



·         All 504s that were done prior to the migration MUST be accurately uploaded and flagged in Infinite Campus

·         NEW 504s created this spring can be started and created either in Enrich or Infinite Campus.          

-If the plan is created in Infinite Campus, make sure all documents are uploaded in Infinite Campus and thenmigrate the student into Enrich.

-If the plan is created in Enrich, FLAG the student in Infinite Campus. You do not need to do anything else in Infinite Campus.

·         After a student has been migrated, Reviews and Re Evals can be done in Infinite Campus OR in Enrich this spring.(see the INSTRUCTIONS chart below for how to do the FIRST Review in Enrich following a Migration)

·         We ask, for tracking purposes, that you please direct ALL questions to Technology Support @ 22200 and submit a ticket. The ticket will be reviewed by tech support and they will resolve the issue when appropriate or send to our team to provide support. 

·         If you were not able to attend the Enrich/Migration training, or need a refresher, check out this Webinar Tutorial for how to complete a Migration in Enrich.  

·         We will host one more Open Lab this spring on May 15, from 8-12 at 809 Quail in Labs 1 and 2. There is no need to sign up, just come.

·         Visit the 504 Section of the Student Services Webpage for updates and current information.




Deadline Change:

·         The deadline for cleaning up 504s in Campus has been extended from May 31 to June 15.

·         The deadline for migrating your students into Enrich has been extended from May 31 to June 15.

·         The ability to do anything regarding 504s in Campus will be turned off on June 15. After June 15, you will be able to VIEW ONLY 504 information in Infinite Campus.

Since the Enrich training, we have learned that:

·         The very FIRST time you do a Review in Enrich, for each student who has been migrated into Enrich, you will follow a slightly different process than the instructions in your Purple Training Packet (which you were given at the Enrich training).

·         The instructions in your Purple Training Packet are for all ongoing Reviews after each student’s first Review is completed in Enrich. The reason for this is that at the very first Reviewa full plan does not yet exist in Enrich for you to review. So…the first time you do a Review for each student in Enrich, you will also input the details of the 504 Plan. (see the INSTRUCTIONS chart below for how to do the FIRST Review in Enrich following a Migration)






Clean up 504s in Infinite Campus

Complete before June 15

·         Make sure all current 504 documentation is uploaded into Campus (pertains to ALL 504s done before the Migration)

·         Make sure FLAGS in Campus are accurate

Put 504 Coordinators into People Soft


·         Every person working on 504s MUST be in People Soft.

·         This is typically done by admin or admin secretary


Complete before June 15

·         The Migration allows you will create a place holder and Start a 504 Program in Enrich for each student with a current 504. (follow your yellow packet instructions) or click on Step 1 and Step 2  for the electronic version of the yellow packet instructions:

How to complete the FIRST Review in Enrich following a Migration

This can occur as early as this spring, immediately after a student has been Migrated. The requirement, however, is that this needs to begin in the fall of 2018

·         After a student has been Migrated, their very first Review will be slightly different than the Review process moving forward.

·         During this process, you will create the actual plan in Enrich for the first time (click on step 1 and Step 2 below for instructions) – this first review will take a little more time than ongoing Reviews in the future.

STEP 1: How to complete a Review in Enrich for the FIRST time, following a student migration

STEP 2: How to complete a FIRST Review in Enrich (creating the actual 504 Plan)

·         Rather than retyping the accommodations into the plan you are creating, if you’d like, you can copy and paste the accommodations from the Transfer and Consent document you created when you Migrated the student.

Ongoing Reviews in Enrich


·         Moving forward (after the very First Review following a Migration) – Enrich will automatically give you a copy of the current plan and allow you to edit/update it per your Review Meeting outcomes. (follow purple packet instructions)

Section 504 is a federal law designed to protect the rights of individuals with disabilities in programs and activities that receive Federal financial assistance from the U.S. Department of Education.

The Section 504 regulations require a school district to provide a "free appropriate public education" (FAPE) to each qualified student with a disability who is in the school district's jurisdiction, regardless of the nature or severity of the disability.

504 Building Coordinators:  Please ensure that students with 504 Plans are "flagged"  in Campus   and that all 504 documents are uploaded into the Campus 504 Tabs. 

To request systems access to the Campus 504 Tab:  The Principal or Secretary may designate a 504 Coordinator through Jeffco Staffing Roles in ESS .
