FINZALING PLANS IN ENRICH


**Reminder**  If you have worked on a 504 plan in Enrich and have not yet finalized it, the student will NOT have a 504 flag in Campus and their accommodations will NOT appear in SOARS, and technically they do not have an active 504.


504 FLAGS IN INFINITE CAMPUS


**Reminder** Do not manually update the 504 flags in Campus. If staff manually add a 504 flag or information for the flag in Campus, the system will automatically turn the flag off within 24 hours. Flags are automatically updated in Campus when a 504 is finalized in Enrich.  Do not worry if you see more than one 504 flag in the FLAG tab. Two or more flags is most likely the result of the migration process that took place this summer, Campus ended the prior flags and then Enrich automatically updated new flags of finalized 504s.

504:102 CANCELLED

In its place will be an additional  504 OPEN LAB


Tuesday, October 16th: 8:00-11:00, Board Room ESS Code:  SSS102 1016

This open lab is in lieu of the scheduled 504:102 training.

We have decided to cancel and reschedule the 504:102  training for a later date. If you have specific questions that you hoped would be answered at this training, please complete the 504 consultation form and we will contact you individually or please attend the open lab. Please bring your laptops. (The ESS code is the same as it was for the 504 102 training but is now titled Open Lab.)

We are currently working on updating the over 500 incorrect migration dates in Enrich. This is a daunting task so thank you for your patience. If you had incorrect dates and have already had a 504 review, that will clean up the incorrect dates and reset your correct time lines. If you have not had a review, we will inform you when the dates have been corrected.

What is required to be uploaded into Enrich?


The Signature Pages (1: giving consent to evaluate  and 2: acknowledging parents/student rights have been received) created in the Consent for Section 504 Evaluation form in Enrich will print out as one, two-page document. This is the ONLY document that is required to be uploaded into Enrich. This needs to be signed and uploaded for every Evaluation and Reevaluation. Click the link below for detailed instructions:

How to access support with your 504s

 

New process as of September - Tech Support will no longer be sending Process Related Tickets to the Student Services Department when the question is related to 504 process. They will NOW refer employees to Student Service’s 504 support tools (below) and close the ticket.

Section 504: 101 An overview for educators. This training is required (one time) for all 504 Coordinators. It will cover foundational 504 information that includes defining disability under 504, looking at differences/similarities with IDEA, 504 processes such as eligibility, evaluation, reviews, re-evaluation and discipline. It will also cover procedural safeguards. (This course has been provided the last two years in collaboration with our 504 outside legal counsel. if you have already participated, you do not need to do so again.)

Teachers as 504 Coordinators -If you are a 504 Coordinator and you are a teacher, you may have trouble accessing all students in SOARS as the system defaults to the students you teach.. To troubleshoot this, the SOARS support team has recommended that you ask the individual in your building that assigns rights in Peoplesoft, to please give you the rights of Problem Solving Team Member. You will then have access to all students.



Special Education Primary Providers should not be 504 Coordinators. If you have any questions about this, please follow up with our department.

New tech tip--Finding Withdrawn Students - Follow the tech tip for instructions


Orange Folders -The Records department has now added to their documentation information related to 504 orange folders. Their documentation states the following for school administrative staff;

  • Folders should follow students as they move between Jeffco schools

  • Folders should be held in a secure location separate from the cumulative folder

  • Folder should be held at the school of last enrollment

  • Review student enrollment annually, forward as appropriate

Orange folder holds

    • All other supporting documentation not uploaded to Enrich, i.e. doctor’s notes, etc.

    • Signature pages not required to be uploaded to Enrich

  • 504s are created in Enrich

  • The only item required to be uploaded into Enrich is the signed 2-page WRITTEN CONSENT FOR EVALUATION and acknowledgement of receiving the PARENT/STUDENT RIGHTS document

  • Accompanying 504 documentation and folders are kept and managed by the 504 coordinator, not with the cumulative folder or by the registrar

  • Hold for current year + 3 years based on last line of enrollment

If the content of a document needs to be translated into another language, go the the Translation Services Web Page and follow the instructions titled, Request for Translation (Written).

Flags in Campus-Please know that our IT support is currently working on the flags in Campus. As stated prior, do not put accommodations in Campus or add flags. The flags will be turned on and off by Enrich. Please note that teachers are not to be directed to the accommodations in Campus as they are not being updated and many will be out of date.


Request for transportation- via a 504 plan is very rare, however at times, it is needed. If you are requesting transportation, this request needs to be clearly identified in the the justification of the 504 plan. To make this request, please fill out the consultation form on our webpage. Our 504 district compliance officer will review the 504 plan and your request and then follow up with the 504 Coordinator with the next steps.  



Health plan/vs 504 plans-Any student on a health plan may also be eligible for a 504. The impact of the health condition, and the need for accommodations in order to access education, should both be reviewed and a 504 eligibility meeting should be offered to the student and their family.


SOARS- Reminder, there is now a link on the 504 Web Page with both directions and a video on how teachers can access SOARS. Please take the lead (with school administration) to insure that all teachers are aware of how to access this information. Thank you to all schools that have already done so.

"Good to Know"document from Enrich Training.   For those that were not able to attend the training, we have had calls to tech support, asking what forms to upload if you are planning to write a 504 plan in Enrich this Spring.  Please refer to this doc for that information. - Migration of existing cases (up to June 15th) follows the migration training process and does not require the upload of any documents into Enrich.

ORANGE FOLDERS----504 document storage (As referenced in the Enrich training)
Beginning in the fall 2018 school year, 504 supporting documentation for each student will be stored in ORANGE folders. Please purchase these at the school level. 
What do I put in the ORANGE 504 folder?
 All signature pages that were not uploaded into Enrich.
 Supporting documents that were not uploaded into Enrich, ie.- doctor’s notes
Who manages the ORANGE 504 folder?
 504 Coordinators are responsible for these folders and appropriately sending them on when the student leaves the school.
 Schools can decide if each 504 Coordinator OR the Building 504 Coordinator/lead will keep these files.

**REMINDERS**

·         All 504s that were done prior to the migration MUST be accurately uploaded and flagged in Infinite Campus

·         NEW 504s created this spring can be started and created either in Enrich or Infinite Campus.          

-If the plan is created in Infinite Campus, make sure all documents are uploaded in Infinite Campus and thenmigrate the student into Enrich.

-If the plan is created in Enrich, FLAG the student in Infinite Campus. You do not need to do anything else in Infinite Campus.

·         After a student has been migrated, Reviews and Re Evals can be done in Infinite Campus OR in Enrich this spring.(see the INSTRUCTIONS chart below for how to do the FIRST Review in Enrich following a Migration)

·         We ask, for tracking purposes, that you please direct ALL questions to Technology Support @ 22200 and submit a ticket. The ticket will be reviewed by tech support and they will resolve the issue when appropriate or send to our team to provide support. 

·         If you were not able to attend the Enrich/Migration training, or need a refresher, check out this Webinar Tutorial for how to complete a Migration in Enrich.  

·         We will host one more Open Lab this spring on May 15, from 8-12 at 809 Quail in Labs 1 and 2. There is no need to sign up, just come.

**NEW INFORMATION**

Deadline Change:

·         The deadline for cleaning up 504s in Campus has been extended from May 31 to June 15.

·         The deadline for migrating your students into Enrich has been extended from May 31 to June 15.

·         The ability to do anything regarding 504s in Campus will be turned off on June 15. After June 15, you will be able to VIEW ONLY 504 information in Infinite Campus.

Since the Enrich training, we have learned that:

·         The very FIRST time you do a Review in Enrich, for each student who has been migrated into Enrich, you will follow a slightly different process than the instructions in your Purple Training Packet (which you were given at the Enrich training).

·         The instructions in your Purple Training Packet are for all ongoing Reviews after each student’s first Review is completed in Enrich. The reason for this is that at the very first Reviewa full plan does not yet exist in Enrich for you to review. So…the first time you do a Review for each student in Enrich, you will also input the details of the 504 Plan. (see the INSTRUCTIONS chart below for how to do the FIRST Review in Enrich following a Migration)

How to complete the FIRST Review in Enrich following a Migration

This can occur as early as this spring, immediately after a student has been Migrated. The requirement, however, is that this needs to begin in the fall of 2018

·         After a student has been Migrated, their very first Review will be slightly different than the Review process moving forward.

·         During this process, you will create the actual plan in Enrich for the first time (click on step 1 and Step 2 below for instructions) – this first review will take a little more time than ongoing Reviews in the future.

STEP 1: How to complete a Review in Enrich for the FIRST time, following a student migration

STEP 2: How to complete a FIRST Review in Enrich (creating the actual 504 Plan)

·         Rather than retyping the accommodations into the plan you are creating, if you’d like, you can copy and paste the accommodations from the Transfer and Consent document you created when you Migrated the student.

Ongoing Reviews in Enrich

 

·         Moving forward (after the very First Review following a Migration) – Enrich will automatically give you a copy of the current plan and allow you to edit/update it per your Review Meeting outcomes. (follow purple packet instructions)

Section 504 is a federal law designed to protect the rights of individuals with disabilities in programs and activities that receive Federal financial assistance from the U.S. Department of Education.

The Section 504 regulations require a school district to provide a "free appropriate public education" (FAPE) to each qualified student with a disability who is in the school district's jurisdiction, regardless of the nature or severity of the disability.

504 Building Coordinators:  Please ensure that students with 504 Plans are "flagged"  in Campus   and that all 504 documents are uploaded into the Campus 504 Tabs. 

To request systems access to the Campus 504 Tab:  The Principal or Secretary may designate a 504 Coordinator through Jeffco Staffing Roles in ESS .
