Accessing Google Apps

How do I log in to Google Apps on the web?

  1. Click on the Login to Gmail link on the homepage of this helpsite.
  2. Log in with your @mq.edu.au user name (first name.last name) and password. 
Note that you can also bookmark your inbox or any other screen within Google Apps. Google will check your credentials and challenge you for a username and password if you have not yet logged in.

Can I access my Google Apps account from another email program?

Yes, the use of Outlook to access Google Apps is fully supported, and you can also both POP3 or IMAP to access your Google Mail in other email program, however Macquarie University isn't  able to provide support for these other email programs.

How long will it take me to get up to speed with Google Apps?

You should be able to begin sending and receiving mail, scheduling calendar events and managing contacts right away, without any trouble. Becoming accustomed to Gmail's unique mail management features, such as conversations and labels, can take a bit longer. Within a week, however, many people find they are not only comfortable with Google Apps, but they appreciate the benefits and no longer miss their old application.

Can I open my email or calendar in a new tab (not a new window)?

Yes, if you set up your browser to open links in a new window or tab. 

For example, to change your settings in Internet Explorer goto Tools >Internet Options>Tabs>Settings, and click Let Internet Explorer choose how to open pop-ups.

Can I access Google Apps before my existing account is migrated?

No, you can't access Google Apps until we migrate your account from your existing system to Google Apps.

Can I access Google Apps offline?

Yes, Google offers a tool that provides offline access to your email messages. To enable the feature, click the Setting option in the upper-right corner of your Mail window. Then, under Offline, click Enable.

Do I need to use the Macquarie University VPN (OneNet Anywhere) to access Google Apps when I'm offsite?

No, you can go to the Google Apps URL to access your email and calendar from any Internet connected computer in the world.

Requirements and Language Support

Which web browsers can I use with Google Apps?

Google Apps supports the following browsers 

  • Google Chrome 4.0+
  • Internet Explorer 7+
  • Mozilla Firefox 2.0+
  • Apple Safari 3.0+

Are there any other system requirements?

No. Because Google Apps runs in a web browser, you just need to use a supported browser.

What languages does Google Apps support?

The interface for both Google Apps Email and Google Calendar are available in over 50 languages. For a list of the available languages and instructions on how to set a different language, refer to the Gmail Help Center.

Does it come with Google Talk?

Google chat embedded in the email account is available for basic instant messaging features. For extra functionalities, users may download and install the standalone chat application Google Talk.

Does Chat (instant messaging) mean that I will be bothered by people anytime I’m at my desk?

You can set your chat settings to show whatever you want to show in terms of your availability:

–      some people choose to leave this on and others will be able to see when they are available for a chat

–      others disable the availability settings but still use it to contact others

–      and some choose to turn it off entirely.

It’s up to you. If someone sends you a chat message and you’re not at your desk then it will be sent to you as an email.

Will Google mine my account for information about my preferences to target ads at me when I go to third party sites that host Google ads?

Google does not scan or index Google Apps Education Edition users’ data to inform advertising when they visit third party sites. As stated in Clause 1.6a of the Education Agreement.

If I don’t save my chats but another person has the save option enabled. Do my responses get saved on their system?

Yes both sides of the chat will be saved on the other person’s system.

Accessing my old email 

I've been migrated to Gmail - can I still access my previous email and calendar after the migration? 

No. You will not be able to access your old email account (such as Groupwise) after we migrate you to Gmail. However, you will be able to access all your old emails through Archive Manager, which you can access from the Staff Homepage or the home page of this helpsite.

When will you remove my access to GroupWise?

Log-ins to GroupWise will be disabled from 5pm on the afternoon that your faculty or business area is being migrated. 

Can I still work with my co-workers who are still using other older email systems now?

Yes, you can continue to send and receive email with your co-workers. You won't however, be able to view their free time or book resources such as meeting rooms until they have also been migrated to Gmail.

Other General Questions

Will my email address change?

Yes, we are converting all staff addresses to one standard Macquarie University convention firstname.lastname@mq.edu.au. Mail sent to previous '@department.mq.edu.au' addresses will continue to be sent but these should not be publicised or used in the future. All new employees will receive a firstname.lastname@mq.edu.au addresss.

Will we have access to Google Labs?

You will have access to Google Mail Labs from your first log-in. To see what is available click the Labs (green flask) icon in the upper-right corner of your Mail window. Note that Google Mail Labs is a collection of new ideas for Google Mail features that you can try. Please be aware that these features are not officially "released" and can change become unstable, or disappear, at any time.


Is our data private and secure? Where is the data stored? Who owns the intellectual property contained within my mail? Who can access MQ data?

Our commercial arrangement with Google guarantees the privacy and security of Macquarie University data. Our mail data will be stored in the European Union because of concerns about the liberal nature of the US Patriot Act. Specifically, Google has no claim to the intellectual property contained within any Gmail account or data. Macquarie University administrators will have the ability to access the information in your account, but would generally only do so in specific circumstances with the appropriate permission. Google does not store data in the Asia Pacific region.
