How to Create an “Add an Event” link on a Google Sites Page

Scenario


You have a department/team site and a shared calendar that everyone on the team wants to use (but only a few have edit rights on the calendar). The current solution is time consuming:  You can display the calendar on a page, but if a team member wants to add an event to the team calendar, they must navigate to their calendar, create an event, and invite the long, random email address of the shared calendar as a guest.  The ideal solution is to click a button and let anyone who has access to the site create an event.

Note:  this is not the same as clicking a button and having an event copied to your calendar as a reminder of something you want to attend.

Solution

Add a link (or an image) to the page that’s displaying the calendar that opens a new event with the shared calendar already included as a guest.

Here’s how:
  1. Locate the Calendar Address of the shared calendar
    1. In Google Calendar, click the arrow to the right of the shared calendar name
    2. Choose “Calendar Settings”
    3. Find the Calendar ID in the Calendar Address section of the settings page (it will end with group.calendar.google.com).
  2. Edit the page on your Google site where you’re displaying the calendar (or just referring to it)
  3. Add a link or image above the calendar gadget
    1. To add a link
      1. Choose Insert>Link and select “Web Address”
      2. Copy the following URL into the “Link to this URL:” box: http://www.google.com/calendar/event?action=TEMPLATE&add=XXXXXX where XXXXXX is the shared calendar address
      3. Check the “Open this link in a new window” box so your users can easily get back to the Google site.
      4. Click “OK”
      5. Save the page
    2. To add an image
      1. Choose Insert>Image.
      2. Upload your own image, or use the Google Calendar button image by entering the following Web Address: http://www.google.com/calendar/images/ext/gc_button1_en.gif
      3. Click “OK”
      4. Click the “change” link to change where the image links to
      5. Copy the following URL into the “Link to this URL:” box: http://www.google.com/calendar/event?action=TEMPLATE&add=XXXXXX where XXXXXX is the shared calendar address
      6. Check the “Open this link in a new window” box so your users can easily get back to the Google site.
      7. Click “OK”
      8. Save the page
