Sharing a File

You can share a file from your Google Docs home page or when you have a specific file opened in a tab which you would like to share.  Both ways of sharing are listed below.


When Viewing an Open File

  1. When you open a file, it will open in a new tab in your Internet browser.
  2. In the upper right-hand corner, click on the Share button. A menu of options will open.
  3. Sharing Settings
    1. When you click on the Sharing settings option, the Sharing Settings window will open.  A list of the current permissions will be listed.

    2. If you would like to invite people to view or edit your file, simply enter their names, e-mail address or group name at the bottom under Add people
    3. A drop-down box will appear next to the individual's (or group's) name and you may assign editing or viewing rights.

    4. Mark the appropriate checkboxes from the list in the bottom right-hand corner and then press the Share button.

Getting the Link to Share

  1. When you click on the Sharing settings option, the Sharing Settings window will open.  A list of the current permissions will be listed.
  2. Click on the link Change to the right of the top permission.
  3. You have several visibility options.  Select the appropriate setting and then press the Save button.




Getting the Link to Share

  1. In the upper right-hand corner, click on the Share button. A menu of options will open.
  2. When you click on the Sharing settings option, the Sharing Settings window will open.  A list of the current permissions will be listed.
  3. You can change any editing or viewing settings from this window.



Publish as a Web Page

This will allow you to publish your document as a web page.  This means that it is available publicly on the Internet and anyone can access it.  You will also need to publish a document if you wish to embed it within a Google Site.

  1. In the upper right-hand corner, click on the Share button. A menu of options will open.  Click Publish to the Web.

  2. From the list of options, make your selections for how the file is published.  If you anticipate making any changes to you spreadsheet, you will want to make sure the checkbox for Automatically republish when changes are made is checked.
  3. If you choose to stop publishing a file at any point, you may come back to this window and click on the Stop publishing button.
  4. Depending on the type of file you are publishing (document, spreadsheet, presentation, you may be presented with different options.
  5. Press the Close button.


From the Google Docs Home Screen

  1. Select a checkbox to select a document that you would like to share.
  2. On the Google Docs menu bar, select the Share button.
  3. The same options that are listed above will be available.
