JOB DESCRIPTION:  The Board Administrative Assistant, under the supervision of the President, makes sure that all BSC members have access to Board, Cabinet, and committee minutes and agendas so that the governance decisions of Cabinet, Board, and Board committees are recorded accurately and are readily accessible to members and other stakeholders.  Specific job duties include but are not limited to (1) training, monitoring, and supporting the Board committee Administrative Assistants to ensure that they create minutes for Board committees, maintain committee websites, and submit committee minutes in a timely manner for Board packets; (2) taking minutes at Board and Cabinet meetings, preparing summaries for approval by the President, and uploading the summaries to the appropriate Google sites; (3) compiling and disseminating packets in advance of Board meetings after collecting minutes and documents from Vice Presidents, committee Administrative Assistants, and the President; (4) maintaining Cabinet and Board websites, including updating rosters, Board archives, and the BSC policy wiki; (5) assisting with planning and logistical preparations for a wide-variety of governance-related meetings, including but not limited to:  Board, Cabinet, Board/Cabinet Trainings, Elections, and General Membership Meetings; (6) administering the Online Governance Portal; and (7) working on other administrative and institutional memory projects at the direction of the President.

 

REQUIREMENTS:  This position is only open to eligible BSC members.  Applicants must have excellent oral and written communication skills; the ability to adhere to timelines and complete assignments promptly and efficiently; experience in training and supervising others; and a high typing speed.  The successful candidate must commit to working on all Cabinet and Board meeting dates announced by the President at the beginning of the semester (usually on Thursday evenings), with the ability to apply to the President in advance for an excused absence.  Also recommended, but not required, are knowledge of the BSC organizational structure, and prior experience with Google applications, including Google Sites, Google Drive, and MediaWiki.  Applicants who are able to commit to the position for at least two consecutive academic semesters are preferred.


HOURS/PAY:  This position averages 12 hours/week during Fall/Spring and is compensated with a rent credit of $1,559.74 for the Spring/Fall semesters and fulfills your house-level workshift requirement.  Apartment residents will receive an additional rent credit of $1,114.10, as this job does not replace the workshift requirement if you live at the apartments.  During the Summer, this position averages 5 hours/week and is compensated with a rent credit of $780 regardless of housing accommodations; this position does not fulfill any workshift credit during the Summer. This position starts during the Spring and lasts indefinitely.  If for any reason the position is not filled until after the beginning of the semester, the stipend will be prorated. This job is eligible for work-study compensation.  You cannot be a member of the Board of Directors and hold a Central Level position.
