Conference Room
We are working to modernize conference rooms around the district to support the use of Chromebooks and, when feasible, provide an in-room Chromebox with wireless keyboard and mouse. A Chromebox is a stationary Chrome appliance that you operate with the wireless and mouse as you would your own Chromebook. 

Our plan is to add a wall monitor to conference rooms which lack a ceiling projector. 

The following conference rooms were outfitted as of September 2018:
BHS: Freshman Academy Conference Center, Balcony Conference Room, Conference Room 203
ESC: Downstairs Conference Room, Upstairs Conference Room, Library

Using the Chromebox

The Chromebox will be sitting on a table or cart near the wall ports for the projector or near the wall monitor. (In the ESC library, there is a small Chromebit USB stick in the monitor that operates like a Chromebox.)

To use it:
  • Power on the wall monitor or projector.
    • For projectors, set the switch box on a table or cart near the wall ports to INPUT 1 and, if necessary, set the appropriate input on the projector (there may be a sign on the wall regarding that).
  • Pick up the wireless keyboard and mouse and carry them to a place at the conference table where you can comfortably view and operate the Chromebox via the monitor or projection screen.
  • All wireless mice have a power switch on their underside, and some wireless keyboards have one at their top right. (The keyboard at BHS lacks a power switch and is always on.) Make sure the devices are ON.
  • If the Chromebox login screen does not appear, try pressing the spacebar. If necessary, use the power switch on the front left corner of the Chromebox to power it up or reboot it. That corner will glow white when the Chromebox is powered up.
  • Login to the Chromebox as you would your own Chromebook, and use it for the meeting.
You can optionally set up Google Cast on the Chromebox to allow Chromebooks in the meeting to broadcast to it.

When finished:
  • Be sure you LOG OUT OF THE CHROMEBOX so that your account is not accessible to others. You do NOT need to power it down; just log out.
  • Turn off the wireless keyboard and/or mouse, and return them to the side table or cart.
  • Turn off the projector or monitor.

Using your Chromebook

Rooms with wall monitors:
We strongly advise using the Chromebox instead of your Chromebook, since it can be tricky to find and operate a television's remote control to select the appropriate inputs. You can optionally set up the Chromebox as a Google Cast receiver and broadcast to it wirelessly. 

Rooms with projectors:
  • Power on the projector.
  • Set the switch box on a table or cart near the wall ports to INPUT 2 and, if necessary, set the appropriate input on the projector (there may be a sign on the wall regarding that).
  • Find the video cable to connect to your Chromebook. It may be laying on a table or cart, hanging on a wall hook, or thrown under the conference table.
    • For VGA cables, an HDMI converter dongle has been supplied for the room to allow it to be plugged into your Chromebook.
    • If you need audio, make sure the thin audio cable from the wall port is plugged into the small port on the HDMI converter dongle that you plug into your Chromebook. 
  • Login to your Chromebook. You may get a dialog box showing it has detected the external display and may be able to click that box to set it up for Mirroring or for an Extended Desktop.
    • You can try to trigger Mirroring mode by pressing:Mirror shortcut

    • If that doesn't work, or you need to trigger Extended Desktop, try these instructions.
When finished:
  • Disconnect your Chromebook, and please stow properly in the room the cable(s) and HDMI dongle.
  • Turn off the projector.
