Google Drive is a cloud storage service; its purpose is to expand your ability to store files beyond the limits of your hard drive. Accessed via drive.google.com, your Bean Group Google Drive account provides unlimited online storage space for any kind of file - documents, photos, videos, etc. Google Drive’s browser interface was designed to provide user-friendly access to your cloud storage from any compatible browser without having to install software.
My Drive is the central hub of Google Drive, and it contains all files you upload to the cloud. My Drive works like a folder, containing both files and subfolders. Subfolders and files can be found under the “my drive” tab on the left-hand side of your browser. Double-clicking on any subfolder in the central pane lets you drill down to access files and additional subfolders contained within. The drop-down menu, at the top, allows you to create new folders and files and upload folders and files. Users also have the ability to “share” any folder or file, and the ability to create a shareable link.
*Note: files can only be shared internally with other Bean Group Gmail accounts. Users do not have the ability to share files in their Drive with users outside of the organization.
The search function allows you to find files in Google Drive, Docs, Sheets, and Slides. Using the search bar, enter the file title or file contents. If you know the specific name of a folder or file you’re looking for, you can use the search bar at the top to find it quickly.
Use filters to narrow down search results to find files more easily:
On your computer, go to drive.google.com
At the top, type a word or phrase into the search box
To narrow your search, click the down arrow
Fill out any of the following sections:
Type: File types such as documents or images
Date modified: The date a file was last edited
Item name: Searches only for the title of the file
Has the words: Searches for words and phrases within documents
Owner: The person the file belongs to
Shared with: Who can view, comment, or edit the file
Location: Whether the file is in a specific folder, "Trash," or "Starred"
Follow up: If the file has action items assigned to you or suggestions in files you own
Click Search
The “shared with me” tab on the left-hand side displays files that have been shared with you from other accounts - in other words, files that you are not the owner of but have access to. Here you will find files, training videos, and documents shared with you by Bean Group.
