Special help sheets of often-used functions are attached as PDF documents on the bottom of this page for you to print out. First time users should start with the one page guide. The two page guide is a great document to tuck under your phone. 

If you would like the voicemail message system to forward copies of voicemail to your email, please put in a help ticket for it.

The School’s official number is (617) 547-6100.  Either an operator or the voice mail system’s auto attendant answers this number 24 hours a day.  Direct dial is the fastest way for a caller to reach you or your voice mailbox. Directly dialed calls go straight to your telephone (or mailbox, if you do not have a phone or your line is busy.) Callers do not go through the operator or auto attendant.  The last four digits of your direct dial phone number is your extension.  For example, if your phone number is (617) 800-2599, your extension is 2599.  To make calls quickly inside the School you simply pick up the phone’s handset and enter the 4-digit extension of the person you want to reach.  Extensions may be used from any phone inside the School – even between campuses. 

Making Calls
You can make internal, local, and long distance calls from any phone on any campus:
Internal Calls
1.      Pick up the handset.
2.      Enter the 4-digit extension of the person you want to reach.
External Calls
1.      Pick up the handset.
2.      Dial 9.
3.      Enter the number, including the 1 and the area code.

Transferring Calls
To transfer a call to another extension,  press the "Transfer" softkey. Dial the extension  you wish to transfer to. For an unsupervised transfer, just hang up. For a supervised transfer, wait for the other party to answer.  This affords you the opportunity to tell the party who you're transferring

Forwarding Phone
To forward your phone to another extension, press the ""CFwdAll" ("Call Forward All") softkey, followed by the four digit extension of the desired location. The phone will beep, and will display "Forwarded to 2xxxx".  To remove call forwarding, press the "CFwdAll" button again. The phone will beep and the "Forwarded..." text will disappear.

Conferencing Calls
Press the "More" softkey, then the "Confrn" softkey. You should hear a dial tone. Dial the second line. Press the "Confrn" button again. 

Voicemail
Your voice mailbox number is the same number as your extension.  This is referred to in the system as your "ID".  Your password is referred to as your PIN.  The default security code is supplied by Dan Doherty.  This password needs to be changed on your first login to a unique number of your choosing.  If you forget your security code, it can be reset by the Technology Department.  Send an email to "help@bbns.org" i if you need it.  When first setting up a mailbox, you are asked to personally record your own name and greeting.
To retrieve voicemail from your own phone
1.      Press the "Messages" button on your phone. You should see your extension button light up, and you should hear "Please enter your PIN, followed by the #."
2.      Enter your PIN, followed by the #.
To retrieve voicemail from your another phone on campus
1.      Dial 2300. You will hear "Enter your ID, followed by the #."  Your ID is your extension number (21xx).  (Alternately, you can press the "Messages" button, then the * key. You will then hear "Enter your ID, followed by #".)
2.      Enter your ID, followed by the #.   You will hear "Enter your PIN, followed by the #".
3.      Enter your PIN, followed by the #.   
To retrieve voicemail from off campus
1.      Dial 617-800-2300. You will hear "Enter your ID, followed by the #".  You can also call your own extension and press the * key when your greeting starts, at which point you will hear the same "Enter your ID" message.
2.      Enter your ID, followed by the #.   You will hear "Enter your PIN, followed by the #".
3.      Enter your PIN, followed by the #.  

The speed at which a voicemail message is played can be controlled by the "4" and "6" keys. "4" slows the playback down, and "6" speeds it up. 

Changing Your PIN
From the main menu, press 4 ("For Setup Options, press 4")
Then, for "Personal Settings", Press 3." Press 3.
Then, "To change your PIN, 1." Press 1.
You will hear "A PIN protects the privacy of your messages...Enter your new PIN, followed by the #. For help, press 0".
Enter your new PIN, then press #.
To exit, press *

Changing Your Recorded Name
From the main menu, press 4 ("For Setup Options, press 4")
Then, for "Personal Settings", press 3.
Then, for "Recorded Name", press 2.
You will then hear "Your recorded name is XXXX.  To keep your recorded name, press #. Otherwise, record your name at the tone."
Record your name, then press #.
To exit, press *.

Changing Your Greeting
From the main menu, press 4 ("For Setup Options, press 4.")
You will hear "To change your greetings, press 1". Press 1.
You will hear "Your current greeting is the standard greeting (plays message). To rerecord, press 1. To turn on alternate greeting press 2...To exit, press *."
Press 1. Record greeting. Press # when done.
To exit, press *

Directory  
The Community Directory is published every Fall by the Communications Department, and should be provided to you upon starting at BB&N.  If you need a copy of the Community Directory, please contact the administrative staff on your campus.

To find numbers, there are two sources.
The Phone
On the phones, there is a button labeled "Directories". Press that button and scroll down to "Corporate Directory", then press "Select".  Enter the first few letters of the person's first or last name, then press "Search".  Scroll down to the correct name, and press "Dial".
