Team Covenant
The Team Covenant has defined a code of conduct on how the group members communicate, share Information and collaborate for the duration of this project. This document outlines meeting time, roles and expectations of group members, communication agreements and milestone leaders. We all agree to follow these guidelines as set forth below.
Information Sharing:
The project space on CTools will be the primary collaborative document repository. When adding new documents, a notification will be given to all group members. The definitive version of each milestone documents will be posted to our project website.
Meetings:
- Regular Meetings
The regular group meetings will be scheduled once each week, which will take place on Friday (10 am – 12 am) at Design Lab – 1 of Duderstadt Center in North Campus. The time and location can be changed if needed, with the notification and agreement at least 48 hours before the meeting time.
- Additional Meetings
Additional meetings can be scheduled at the discretion of the group. If needed, the meeting time and location should be notified to each member at least 48 hours before it starts.
- For each meeting, it’ll begin at the scheduled time (NOT Michigan Time); earliness is recommended. Group members are expected to come to each scheduled meetings. If a member cannot make the team meeting, a notification should be given to the other members as soon as possible (email or phone call).
- It is necessary for each member to be prepared before the meeting.
Roles:
- Claire Cabrera: Project Manager - responsible for setting meeting agendas, managing meetings;
- Tim Hull: Liaison (Instructor & Client) - responsible for communicating with Professor if needed, initiating contact with the users and scheduling interviews with users;
- Lei (Leo) Shi: Website Master - responsible for creating and maintaining the website, uploading milestones and other information;
- Bo Wang: Project Secretary - responsible for initialing the questionnaire, typing the meeting panels and sending an email after each meeting, taking pictures;
- Stan (Tze-Hsiang) Lin: Project Support - assists other roles as needed within project.
If needed, the roles of team members could be rotated within each project’s milestone progress.
Communication Agreements:
- Our team members agree to use email as the primary contact method and phone call as an additional one. Each team member will check his or her email two times per day and a response to relevant email is expected within 12 hours. If needed, an emergency phone call will be received and an urgent response for that emergency is also required within 12 hours.
- If a team member find out he or she has some problems in completing one of their responsibilities by the due date assigned, he or she should communicate to the team no later than 48 hours before it is due and suggest alternate arrangements. Emergency situations will be handled on a case-by-case basis.
- There will be no penalty at the first time a team member does not finish a task they agree to perform. The second time, an email to the professor or GSI stating that he or she failed to complete a task by the agreed upon deadline will be required and copied to other members.
