Weekend Planning Meeting

posted ‎‎Aug 18, 2009 7:50 PM‎‎ by Andrew Willyard   [ updated ‎‎Oct 8, 2009 11:07 AM‎‎ ]
Attendees: (Youth) Seamus M, Bryan E, Parker S, Fox S, Mikey V, Logan M, David R. (Adults) M Tehan, E Showalter, K Richardson, S Manley, D Elliott, T McKittrick, T Carr, A Willyard, and W Cloe.

The agenda we followed is in the first 2 pages of the attachment.
Here was the process:
The boys had a pre-meeting to discuss these items:
What activities went very well last year?
What Scouting Skills does the troop excel at?
Which activities had shortcomings? What improvements are needed?
Do any Scouting Skills need special attention in the coming year?
How well are the meetings run? Is it a "Scout led" troop? What improvements are needed?

You can see the results of this in the attachement (pages 1-5). The page numbers in the attachment refer to the flip chart pages filled out at the planning session. I tried to maintain the chronology of these pages.

On page 6 and 7 we discussed goals for the troop. There are many goals that should be done anyway but this was an exercise to vote on the short term and long term goals for the troop.

Page 8 shows the results of voting for this exercise - the goals for the troop.

Pages 9 & 10 show an exercise to discuss the memorable events for the troop. Page 9 is from the youth, page 10 is from the adult discussion.

Pages 11 - 13 are event discussions that were held with the entire troop on the Tuesday before the planning meeting.

Page 14 lists those items that the youth leadership wants to do again.

Page 15 is a bar graph to show the rank distribution of the boys. While we are generally flat in the lower ranks, we have an abundance of Life Scouts. This shows a great need for recruitment.

Page 16 shows the high adventure activities and the votes those activities received. These will be presented to the committee to see which activities we can do.

Page 17 lists all of the weekend trips and the votes they received. Page 18 was the voting for the day trips. These were no put on the calendar, but should be discussed in the regular PLC meetings.

Page 19 is a list of weekend trips listed by their ranking.

Only after this effort was there an attempt to put these events to the calendar. The calendar has been updated and can be found on the troop website.

As a result of this weekend, we have short term goals, long term goals, a calendar with most items completed (some weekends have place holders), and a reference for future meetings.

The last item the boys did was to have a PLC to plan the meetings.
The general program is as follows:
8/18 - Lashings & catapult planning
8/25 - Build a catapult and meal planning for the kick back weekend
9/1 - Water baloons w/catapult, talk about troop elections
9/8 - no meeting
No decision was made about the destination for the November weekend campout (11/20-11/22) - this will need to be decided soon.

Let Mr. Tehan know if you have any questions.
