Shue-Medill PTA Financial Page
This page was prepared to help disseminate information to those who will be working with Shue-Medill PTA projects that involve PTA finances. If you will be managing a Shue-Medill PTA project that will incur expenses and/or collect income please use the following guidelines. Keeping in mind that you will be involved in handling money that belongs to the PTA, please do so responsibly and follow these guidelines:
- All payments for expenses must be made by check from the PTA checking account. When possible, get an invoice from the vendor and a PTA check will be disbursed in timely manner. When you need and are able to make the payment from your own funds, you will be reimbursed in a timely manner. In either case, request for payment to the vendor or reimbursement to you needs to be initiated using the DownesPTACheckRequestVoucher.pdf which you can download from this link.
- If you do not wish to use your own funds, that's OK; we can issue you an advance from PTA funds. Just request in far enough in advance so that you'll have time to cash the check you will be issued. When returning the advance, be sure to break it out as a separate item and amount on the Deposit Transmittal (more on that below).
- All income related to a project/event must be deposited into the PTA checking account. Never use funds collected to pay directly for program expenses. Doing so makes it impossible for the PTA's records to correctly show the true financial impact of an event and may raise questions about how PTA funds are being handled.
- When preparing to turn funds in for deposit please count your receipts and prepare a DownesDepositRemittance2.pdf form and submit it with the funds. If you receive a number of checks, I would appreciate it if you could prepare a PTA_Check_Receipt_Register.pdf which lists all of the checks.
