Frequently Asked Questions


 
Registration:
 

1.       Do I have to register by mail, or can I register by phone?
      
Unfortunately, due to the nature of a largely volunteer organizing team, it is not feasible to offer registration through phone and we cannot, for security and liability issues, accept cash, visa, or credit card information. All cheques should be obtained by the designated deadline to guarantee a seat – therefore early planning is a must. Phone calls will only be used if we absolutely need to get in touch with you quickly for any of the following circumstances: late registration, tickets not received, food allergies, memorabilia drop off, etc.  
 
2.       I registered before the deadline – but have not received an email confirmation with my ticket(s). What should I do?
 

*IMPORTANT:  If you fail to receive an email confirmation of your registration, and have submitted your form(s) and cheque(s) before the deadline - please contact the event email immediately at ottawatitans25@gmail.com .

 

3.       If I forget to register a member of my family or a friend, can I do this after I have already submitted a registration?
 
You may mail any remaining registration forms and cheques before the deadline of the 20th of September; however, we cannot guarantee that spots will be available as this event will fill up quickly. Please understand that we cannot reserve a spot  or guarantee additional registration after the deadline. *In the event that some spots are still available after the deadline – we will publish the remaining number on the event website for registration. 
 

 
Menu:

1.       I have a food allergy, is there an option to accommodate my dietary needs?
 
 
Yes. Please contact us by email to describe your allergy and we will immediately notify the chefs at the Hilton Garden Inn to carefully prepare an alternate menu choice or modification to your menu selection. You will be notified accordingly by email.
 
 
 
 
 2.       I am a strict vegetarian; do you offer a vegetarian option? What about a Vegan option?
 
Yes, Hilton can prepare a vegetarian replacement for the main course. However, we require sufficient notice. Please contact us by email and we will do our best to accommodate your needs. Unfortunately, Hilton is not able to prepare a vegan option for this event.
 

Accommodation & Transportation:

1.       Is there parking at the Hilton?
 

Yes, the Hilton has a large open-air parking, but space may become limited as regular hotel guests and guests for the 25th Anniversary event share the parking lot. Carpooling may be a good option.

 

2.       I am from out-of-town or out-of-province, is there rental car or transportation to get to this event? What are the hotel options in the area?
 
Yes. If you refer to the “Accommodation and Transportation” tab, you will find we have provided information about the Hilton guestrooms as well as other hotels nearest to the event. For the benefit of those travelling by air who wish to rent a car for the duration of their stay, we have provided information regarding “Rent-a-car” companies that can be accessed directly through the Airport terminal or within shuttle distance, as well as taxi and local bus pricing information. Maps and general directions are also listed.
 

Event Details:
 

1.       I am a former athlete, coach or volunteer from decades ago, should I come even if I am no longer involved in the club or sport?
 

Yes! This 25th Anniversary Gala is for all Titans, coaches and volunteers (former and present), as well as many key individuals in the sport of water polo and community. This event is a chance to rekindle your fond memories and renew old friendships and ties. It is very likely you will bump into and reconnect with people you knew from your era or team and have a chance to be part of an important club history that continues to grow for each new generation. What is more, you will be honouring some key members of the past and present club who have made water polo in Ottawa a success!   There is something for everyone at this event!

 

2.       I’ve never been to a formal event, what should I wear?
 

As this is a Gala event, please respect a formal dress code. If you are female:  you can wear a dress, or if you prefer either long skirt (or dress pants) with a formal top - as well as dress shoes or sandals.  If you are male:  you can wear dress pants and a collared shirt, (with or without a jacket) - as well as dress shoes and a tie. Sneakers and ball caps are not permitted. 

 

3.       Is there reserved seating?
 
No.  The individual seating in the ballroom is not reserved to any individual or group (except the privately purchased tables - indicated with by a sign). Note that the gala is a chance to mingle and socialize amongst a wide gathering of water polo enthusiasts, coaches, athletes, volunteers and other personalities – so enjoy the opportunity to make new acquaintances, perhaps new friends or reconnect with old ones.
 
4.       Is flash photography permitted?
 
Yes. We encourage you to bring your camera and take lasting memories of this event, but kindly ask that you refrain from taking loud or multiple-flash photography (non-flash is ok) during speeches as this can sometimes be distracting to the speaker. Keep in mind, you should always ask the permission of the individual if you plan on uploading any photos or video segments of the evening’s emcee or speakers onto websites such as YouTube or Facebook.
 
 

 
Beverages & Alcohol:
 

 
5.        I am under the legal drinking age; is there anything for me to drink socially at this event?
 

Yes. We are offering a large non-alcoholic cocktail fountain for all to enjoy prior and during the meal! There will also be fresh water with dinner, including coffee or tea with dessert.

 

 

6.       I am above the legal drinking age; will there be any alcoholic beverages at this event?
 
Yes. There will be a red and white wine selection during dinner as well as a cash bar. You must be 19 years or older to drink alcohol at this event (ID may be required).
 
IMPORTANT: Please enjoy alcohol moderately and responsibly - plan for a designated driver!  If you or someone you know may need a safe lift home, we will be alerting taxi services to be available for our event at the end of the evening.
 
 
 

 
Valuables:
 

 
 
7.       I will be bringing some valuables to this event (camera, cell phone, wallet, etc. ) will there be a coat-check or secured storage area?
 
Keep in mind, the organizing team is not responsible for any lost or stolen personal items that are brought to the event.  You should keep these with you on your person, or return them to your locked car for better safe keeping. There will be a coat-check inside the ballroom, in case of intermitten weather, but guests are advised not to leave cellphones, cameras, wallets or otherwise unattended.
 
 
 
 
Memorabilia:
 

 
8.       I would like to bring some memorabilia for the display tables – what should I bring? Where will it be displayed? When can I get it back?
 
Please take a look at our Memorabilia Sign Up tab. We are looking for items from all generations, but are particularly interested in the early years of Titans water polo from the 80’s and 90’s. If you have any general heritage water polo artefact – sign up to bring that too! If you are unsure and would like to contact us – please email ottawatitans25@gmail.com.
 
We will ask you to come early so we can prepare the display table with your item. Please PRINT and cut out memorabilia foldable info label for (time period, significance, etc). You must have your full name and telephone number written on the actual item itself (name tag, piece of tape or directly) so that in the event you forget to pick it up after the close of the evening, we can reach you. Items will be available for pick up immediately after the event.  You may also need I.D. to PICK UP your item - to ensure each item returns to its rightful owner.
 
All items on the tables will be supervised throughout the evening by a monitor.
