Rough Riders Board Meeting

*       Horse Expo- April  20-21 (Friday and Saturday- perform most likely Sat)

*       Membership Dues- $50 per person and $75 for 2 in same family (immediate family)

o   Renewals are due by the first of February each year

o   Tack is $25.00 rental for all riding members (not ground crew)

§  Vice President is in charge of:

o   Tack $ is due April 1st for Expo riders (captains will notify the riders)

o   Remainder members are due May 1st

·         We will do a dress rehearsal in our tack the practice before a performance….the drill captain will make that reminder

TREASURER’S REPORT 
 
 Current Balance:  $1185.76 
 
There is an additional $600.00 in accounts receivable. 
 
Motion to accept Treasurer’s report: Kelly motioned to accept report; seconded by 
Denise; motion carried. 
 
Magnets: 
Rough Rider magnets are now $20.00.  Cost has increased to have them made. 
 
Sponsor magnets are still “No Cost” to members. 
 
 
PRACTICES: 
 
Cancellation notices: 
 
Cancellations will now be sent out by around 4 p.m.  Dusty will be sending these out. 
(Five o’clock was too late for some members) 
 
In case of cancelled practices; we can still use the arena.  However, if the Idaho Center 
Grounds Crew has told us not to, please don’t ride in the arena.  When we ride in the 
muddy/wet arena it gets torn up and we get in trouble. 
 
PRACTICE POINTERS TO REMEMBER: 
 
•  Safety is #1 
 
•  No idle chatter during practice—socializing needs to be done during a break (i.e. 
potty breaks or water breaks). 
 
•  Know the Drill 
 
•  Don’t anticipate the whistle-it will mess up the maneuver 
 
•  Work at not riding complacently-be a step ahead 
 
 
 
 RED/BLUE  UNITS 
 
There will be temporary split practices until everyone knows the short program. 
 
1st
 practice (Blue Unit) starts at 6:15 pm to 7:45 pm; 2nd practice (Red Unit) starts at 
7:45 pm to 9:15 pm 
 
 
Please note:  Since neither ALL 12 blues nor ALL 12 reds can make it to the early or the 
late sessions, AND all the reds and blues need to know the short program drill, we will be 
mixing and matching members from both teams in order to get practice going at 6:15 
p.m.

PERFORMANCES/PARADES 
 
Parade 
 The first parade is Parade America in Nampa – May 21.  Please sign up with Raina if you 
are interested in being in the parade.  This is a nice parade and there is no maximum 
number of riders. 
 
Dress will be new team t-shirts and blue wrangler type pants and hats. Club will provide 
riders with scarves. 
 
Horses should be outfitted with burgundy blanket and burgundy front boots and club 
tack. 
 
Dusty is planning on leading the Rough Riders with a horse and cart. 
 
Judging for the parade will take place at 9:30 a.m. 
 
Performances 
 
Joanie gave a run-down on the differences between the Freestyle and Short programs. 
 
-Freestyle Drill is a series of any maneuvers performed to music and is judged in 
competitions for the execution of said drill. 
 
-Short Program is a series of pre-determined maneuvers that all teams participating in 
competitions must perform. 
 
The Blue unit will only be learning one drill this year.  This drill will be used as their 
freestyle drill in team uniform and as their short program drill.  They will be performing 
this drill at the Idaho City Rodeo, both the freestyle and short program categories in the 
Snake River Stampede competition and at the Garden Valley competition. 
 
The Red unit is using the maneuvers that were used at the expo for their freestyle drill 
and learning the same short program as the blue unit for their short program.  So the Red 
unit is learning two drills.  The red unit will be performing the freestyle at Eagle Rodeo, 
Idaho City Rodeo and the Weiser Rodeo.  They will be performing their freestyle and 
short program in those said categories at the Snake River Stampede competition and the 
freestyle at the Garden Valley competition. 
 
Joanie has not heard whether the Snake River Stampede  Drill competition will have 4-
man teams this year. TBD. 
 
POKER RIDE 
 
Christine has agreed to be the manager for this year’s poker ride fund raiser. 
 
All members need to participate in this fund raiser. 
 
The club has additional expenses of $200.00 to pay the BLM for permits/insurance. 

MISCELLANEOUS INFO 
 
Hats – there are 3 hats available for loan from the Club. 
 
You must have stampede strings on your hat at all times .  Each member must purchase 
his/her own strings. (A wood bead holds the strings together.) 
 
Chinks are available from the Club for $35.00 each. 
 
XL Shirt available for sale from the Club for $21.00 
 
T-shirts, sweatshirts and hooded sweatshirts will be available soon; cost is approx. $10, 
$18 and $24 respectively.

March Newsletter 
Meeting Minutes March 19, 2011

Present:  Kim, Kelly, Raina, Susan, Dusty, Joanie, Christine, Shelly, Denise, Heather, Emily, Abby,  
Linda, Tammie, Jamie, Lynette, Angela, Kathryn, Bonnie, Roberta and newest members Leann 
and Melissa. 
 
Kim called the meeting to order at the break during practice. 
 
A vote of the membership was needed to change the by-laws as follows:  Financial, paragraph 2: 
All checks drawn on the club’s checking account will be signed by the Treasurer or Board of 
Directors if the Treasurer is unable or unavailable (the 2nd
 signer, the Board Member, will be 
appointed by the incoming President at the December general meeting).  Checks over $50 (for 
items or events not listed in the current year’s budget) must be approved by a majority of the 
Board of Directors prior to payment.  Motion made by Christine to approve these changes, 2nd
 by 
Bonnie, all in favor-motion carried. 
 
Christine suggested we do something to show our appreciation to Dusty and Joanie for all the 
work they’ve done on the new vests/tack, etc. by having the Club get them a gift certificate or 
reimburse them for dinner of their choice.  This is a great idea and a vote of the attending 
members gave their approval in overwhelming support.  The only Nay votes were Dusty and 
Joanie, but the motion was carried by the majority!  So go have a wonderful dinner, know we 
acknowledge and appreciate all you both do, and accept our thanks!! 
 
Just a reminder to check the calendar (online) for updates on dates.  The Expo team has two 
extra practices, April 6 and April 13 at Birt Arena at 6pm.  We also have a walking practice March 
28, 7 p.m., at Sam’s Club parking lot across from the Idaho Center (On Franklin), no horses, and 
we will walk the drill.  This is VERY helpful when learning the drill so be sure you are there!  
Our calendar changes will be updated (by our webmaster, Heather - THANK YOU HEATHER) with 
practice days, events, birthdays, etc as they come up. roughridersdrill.org) 
 
State Farm Agent (Bob Bailey) has sponsored us with $50.  Kim asked that everyone who uses 
State Farm for their insurance needs approach their own agent for a matching $50 (or more) 
sponsorship so that we can get $250 collectively from State Farm and get them a magnet!  So 
please, don’t be shy!  Ask your agent for that sponsorship!!!  (afterthought by Kim - let’s do this 
with Les Schwab too! They have given $80 so far…let’s get them up to $250!  Any other ideas to 
consolidate same company sponsors to at least $250?) 
 
(On a side note - this was not in the meeting, but it is important to know that out of the $250 
sponsorships collected, only about $90 goes into the club funds.  The (sponsor) magnets are 
provided at no cost to members as advertisement for our sponsors to be placed on every team 
members’ trailer, and with over 24 trailers the cost of the magnets takes a big chunk of the 
sponsorship funds coming in.  SO sponsorship $$$ is VERY important to continue to work at 
getting…it pays for our costs at Birt’s and the Idaho Center, entries, etc… Don’t give up and don’t  
 
be shy!  We offer a great way to advertise for 12 full months at a very low cost to the sponsor- 
and remember, the deadline for sponsors to be added to our T-shirts is April 14 as the 
shirt order will be placed on April 15!  We need more sponsor $ !!!) 
 
 
General meetings are to be held every month.  Some will be short and some may take some 
time.  Kim wanted an idea of what works best for the majority to attend these meetings and 
asked for a show of hands who prefers the meetings to be held on practice day, at practice either 
before it begins or at break/or who would attend the meetings if they were to be held at a 
different location and time/day.   The vote was nearly equal either way.  Kim will take this into 
consideration when planning for meetings as it is best to have everyone, or a majority, attend 
and be up on the Club’s business, yet keeping in mind that our practice time is limited and these 
meetings cannot take time out of those practices. 
 
Lynette has placed one order with Drysdales’s and is willing to place another for anyone still 
needing shirts/jeans.  She asked that anyone else needing uniform shirts and wrangler jeans 
please have size information to be no later than April 1.  The shirts are discontinued with sizes 
Medium and Larger available, she doesn’t want them to run out of mediums (men’s shirt sizes) 
before everyone on the team gets their shirts.  So, if you need a uniform shirt (or the uniform 
Wranglers) get your size to Lynette ASAP. 
 
For those who don’t have a vest yet—Joanie needs your size ASAP—the cost is $25.00. 
 
Reminder – hay and grain are not allowed to be fed on the premises and when we leave we are 
to leave all areas cleaner than we found them.  All manure, hay, garbage, etc. must be disposed 
before we leave.  If we don’t take care of Birt’s they won’t take care of us, so let’s keep it clean! 
 
Kim thanked everyone for their overwhelming commitment to the club and the team.  It is 
awesome to see so many smiling faces and exciting at the possibilities for each and every one of 
us this season.  It’s just the beginning and this team rocks!

General Meeting

Kim called the meeting to order at 2:35 p.m.
 
 
IDTA Judges Clinic – The Judges Clinic is Feb. 26.  In 2010 the Club paid for the
registration fees for two members to attend the clinic in Tacoma. It is desired we pay for
up to two members to attend this clinic in February.  Heather made a motion that RR will
pay the registration cost of $70.00 for Raina Jamison/Assistant Drill Captain, to attend
the clinic. Seconded by Emily; motion carried.
 
Minimum Club Age – At a separate meeting of The Board, it was discussed and agreed
upon to update the Membership Rules revising the minimum age for Club membership to
be 16 years of age in lieu of 14 as presently written.
 
RR Bylaws – It is necessary at this time to update the bylaws of the Club revising the
paragraph regarding elections to indicate the Election Committee will present
nominations to the general membership at/or before the November general meeting and
elections will be held at the December general meeting.  A motion was made to accept
the change by Christine, seconded by Raina; motion carried.
 
New Tack – The Board would like to see updating of tack as ours is older and cannot be
replaced or updated.  The goal is to replace headstalls, breast collars and roper reins @
maximum cost of $125.00/set.  Motion was made by Heather that the board research the
cost and gather bids for tack replacement, 20 sets, not to exceed $125.00/set. Seconded
by Christine; motion carried.  Further motion made by Heather that such tack, when
acquired, will be leased by the membership rather than individually owned. Seconded by
Christine; motion carried.  
 
The winning bid will receive sponsorship status based upon the value of the discount the
Club will receive; i.e. if XYZ – Tack saves the club $50/set over retail on 20 sets = value
in savings of $1000 and they will benefit from trailer magnets, possibly sponsor flag,
printing, bio, etc.( the same that a sponsor who donates actual cash would receive) and
could be for a matter of 3-5 years.
 
It is the desire of the board that the new tack would be leased to members rather than
individually owned.  The approximate equipment lease would be $25.00/year.  In doing so the Club will have direct control/access to the supply and maintenance of equipment
needed by the membership.
 
RR Bylaws are to be updated to include the V.P. will be responsible for the check-out of
equipment at the beginning of each year, as well as the check-in of equipment at the
December general meeting, if not prior to that date.   The V.P. will have the duty to
provide for maintenance and/or repair for all Club owned tack.  A motion was made to
revise the bylaws to include additional duties of the V.P. by Raina, seconded by Heather;
motion carried.
 
We are also adding rope coils to the saddles.  Kelly is in charge of procuring these ropes
and will be providing methods to secure ropes to saddles for those that need it.  The ropes
will be donated by others and will be at no cost to the Club or its membership.
 
Uniform Changes-New Vests – The Board wishes to have new vests made for the
membership, with an approximate maximum cost of $25.00/vest to team members.  The
vests we have now can’t be duplicated and not enough exist to be provided to those who
don’t already have them.  Joanie and Susan have volunteered to sew them and volunteers
will be needed to cut out and add snaps, etc.  A motion was made by Heather to provide
for the purchase of materials at a maximum cost of $25/vest for each member, seconded
by Raina; motion carried. The material will be purchased as soon as possible and in
ample quantity to provide for future needs as well, within reason.
 
Current hats, shirts, jeans and brown boots will remain the same.  It is requested by the
board that all members take care of these other items of the uniform and keep these in
good condition so the team looks smart and properly dressed for all events.  Please keep
hats in proper shape, jeans a proper length, shirts pressed and boots clean.
 
Treasurer’s Report – Dusty gave an overview of the budget stating the balance of
$2986.90 as of 1/22/2011.  Fees for the Idaho Horse Park ($1000) and Liability Insurance
Fees ($825) have been paid for 2011 season.  Annual dues will remain at $20.00/member. 
Motion was made by Christine to accept the treasurer’s report, seconded by Raina;
motion carried.
 
Web-Master – Heather Prinzing reminded club members to provide her with a short
biography and picture with their horse so she can finish the Bio pages on the web-site AS
SOON AS POSSIBLE.  We have a great web-site and it would benefit the club, our
sponsors and supporters if everyone would take the time necessary to provide the
information needed to complete the team member pages.
 
T-Shirts – T-shirts are required and part of the mandatory uniform for club members. 
The Drill Captain and Assistant Captain will decide the color of each year’s t-shirts by
April 1.  Costs ot the t-shirts ranges from about $9 - $12.  Members are welcome to order
as many as they like, sweatshirts, in whatever color they choose, but one team t-shirt in
the color selected by the Captains for that season will be required for each member.
 Jackets are not mandatory. However, if you wish to purchase one it would be best to
order at the same time as the t-shirts to get the best possible quantity price on the order to
be placed April 15.  Cost of the jackets will be an estimate of about $60.00.  The jackets
are screen printed with your name and year of first membership embroidered on the left
front.
 
T-Shirts will be ordered by Dusty on April 15, 2011.  T-shirts and jackets ordered after
that date will be at a higher cost due to the quantity break when we order more at one
time.
 
Sponsorships – We have one definite sponsor for 2011 at this time; RuffEnuf4Pink, a
2010 sponsor as well.  We have not heard back from Pendleton and no other sponsors
have come to the attention of the board or membership at the date of this meeting.  It is
necessary to state a deadline for sponsorships to be April 14, 2011, so that the company
name can be included in the printing on our team t-shirts to be ordered on the 15th
.
 
Clinic – We have a clinician interested in working with us at a very reduced or no cost in
return for sponsor benefits.  This need will be determined at a future date by Joanie and
Raina.
 
Kim complimented everyone on being at practice on time and ready to go and thanked all
the new members for coming into the club.  Having over 23 at this practice is incredible.
 
Motion was made to adjourn the January general meeting by Denise, seconded by Shelly;
meeting adjourned at 2:50 p.m.

January Newsletter - Board Meeting

Meeting Minutes January 15th, 2010

Meeting called to order at 5:37. Members present Joanie, Dusty, Raina, Heather, Abby, and Kim.
Old Business:
No old business.
Treasure Report:
Reviewed budget for 2010. Our estimated expense is $2,820.00. We came up with this number after reviewing 2009’s budget. We already paid insurance and the Idaho horse council fees for 2010 ($895.00). The clubs balance for 2010 is currently $2768.73.
We discussed reimbursing Jim Sword for all the pictures and video taping he does for the team. Possible blank DVD’s, picture paper, shirt, and/or money.
Heather proposed and Raina 2nd that the club pays the entry fees for Joanie and Kim to go to the judge clinic. The fees are 70 dollars per person.
Each member needs to pay Jeff Spencer 20 dollars for each lesson. Pay dusty 6 dollars for the arena fee.
New Business:
Reviewed 2010 event schedule. Jeff Spencer is coming February 6th and March 6th. It is mandatory the everyone rides when Jeff Spencer is giving a lesson.
State competition is at the Snake River Stampede on July 17th. Every team rides in the parade. The parade will be judged in route with four forward maneuvers. Besides, the parade they will only have the freestyle and it needs to be ten minutes or less. The teams that place between 1st to 5th place get to ride in the rodeo at night. 1st place gets the first choice of which night they want to ride in the rodeo, 2nd place gets the next choice, and so on. The drill teams will ride in the rodeo before mutt and busting. The entry fee for the competition is 50 dollars if an IDTA member.

Joanie, Raina, and Kim will be going to the IDTA meeting for the Rough Riders Team.
Heather is working on music for us.
We talked about up dating our tack and/or outfits. It would be nice if we could get sponsors to donate tack or clothes that would belong to the club. We will talk more as a team. In addition, tack should only be used for competition.
All the members from last year came back, except Bruce and Sunny. Welcome new members!
Still discussing adding web manager (possibly Heather’s Husband) and changing bylaws.
Tryouts? It is the Drill Captains decision regarding who rides.

Meeting Minutes December 12th, 2009

Meeting called to order at 3:00. Members present: Joanie, Dusty, Christine, Abby, Emily, Kim, Kelly, Raina, Katheryn, and Heather.
Old Business:
No old business.
Treasure Report:
As of today the team has a balance of 3,708.73 dollars. 25 dollars is going out for the sponsor Christmas cards. We made a total of 2,226.10 from the poker ride. We will have money coming out of our account around the first of the year for insurance and the fee to ride at the Idaho center (1,000).
New Business:
We decided the poker ride will always be the third weekend in October at Wilson Creek. Making it an annual event for our team and our main fundraiser. For the poker ride we want to keep the number of riders to about 100 to 120. We need to figure out how much food to purchase, this year we ran out. Possibly have a runner in town to bring more if needed.
We still need to try to get sponsors. Forms were given out to give to possible sponsors.
We want to try to keep cost low for our outfits and keep the membership fee low at twenty dollars a year. In addition, membership fees are due along with the membership forms.
Christine nominated Joanie as a lifetime member. Heather seconded that. No objections. Joanie is a lifetime member!
In the future we decided to send Christmas cards and invite lifetime members to the Christmas party. Also, we want to mail lifetime members monthly news letters and pictures.
For future Christmas parties we want to invite old members too.
Practice starts Saturday January 9th at 9:00 am until 11:00. We have arena from 8 - 12. In February and March practices are on Saturdays from 2 to 4 but we have the arena for 4 hours. Practices are every other weekend until April.
January 19th is the IDTA meeting. They will discuss a possible competition associated with the Snake River Stampede.
The team will be performing in the Horse Expo April 16th thru the 19th.
Discussed possible clinic with trainer Trina McGown at her arena. Heather will get more information for us.
The Weiser Rodeo is in June. However, the Leather Slappers have first dibs.
The Eagle Rodeo is also in June.
We discussed jackets for the team. Out of the 4 options we decided on a jacket with more of a western look, with a “v“ and elastic bottom. Tan on top and black on the bottom. The jacket will have our logo silk screened on the back, right sleeve says roughriders drill club with silk screen, and our names embroidered on the front with the year we joined the team. All of this will be done in black on the tan part of the coat. We voted that it is mandatory that everyone on the team has one as part of their uniform.. The club will pay the one time set up fee of 30 dollars for silk screen and 65 dollars for embroider. Each member will pay for their own jacket, which is 57 dollars. We will get sample sizes for each member to try on.
Before elections took place we discussed adding a new position. The new position would be web manager. We will talk more about it at our next board meeting and determine if we will add it to our bylaws.
