WANTED: PT Church Secretary (March 31, 2011) REPORTS TO: Senior Pastor as office manager; in a pastoral vacancy, the president of Church Council HOURS: 16 hours per week (M-Th 9am-1pm), no overtime without prior approval from the pastor. COMPENSATION: To be negotiated. 2 weeks annual vacation coordinated through the pastor. POSITION SUMMARY The Church Secretary provides clerical services and office volunteer coordination for the church. An annual performance review is conducted with the Senior Pastor. The Church Secretary may not be a member of Redeemer, but membership in a church is desirable. A. Functions as staff assistant to the pastor and other staff for the benefit of the ministries of the church. 1. Screens incoming phone calls, emails, and mail and keeps accurate messages for pastor, staff and leaders. 2. Greets visitors with a pleasant demeanor and appearance. 3. Recruits, trains and manages volunteers for office and administrative projects.
B. Provides administrative services to facilitate the ministries in the church. 1. Prepares regular and bulk mailing as needed with the assistance of church volunteers. 2. Distributes mail and other related material to staff members and leaders of the church. 3. Maintains an organized filing system for the office and the congregation. 4. Monitors and orders office and church supplies and sees to the maintenance of office equipment. 5. Prepares bulletins, newsletters, letters, etc. using creativity and available resources.
C. Provides record keeping for the church. 1. Maintains and keeps up to date the official records of the church regarding membership and contributions. 2. Consults as needed with record-keeping software technical advisors for the upkeep of church records. 3. Prepares the Annual Parochial Report for submission to the Florida-Bahamas Synod, ELCA by Feb 15 each year. 4. Works with the staff and church leaders to produce an Annual Report to the congregation each January.
QUALIFICATIONS 1. Able to maintain confidentiality in all matters related to this position. 2. Has solid skill in using office equipment and personal computers to include Microsoft Office Suite 2007, email, and church management software (Church Windows). 3. Able to clearly communicate verbally and in writing while being able to multitask. 4. Has an outgoing personality and is able to work in a changing environment with a variety of persons.
