General Notes:
After Prom co-chairs are responsible for organizing committee chair meetings, assist in finding people to fill volunteer positions, and coordinating event logistics. They act as liaison between the school, the PTA, and the after prom committees.
- Conduct after prom chair meetings.
- Take meeting minutes at chair meetings.
- Maintain after-prom website.
- Review financial reports.
- Track expenditures and monitor budget
- Coordinate facility/equipment requirements forthe event.
(Lists of school equipment needed in other locations within the school.)
-Thank-you's to all volunteers.
- Coordinates all activities night of after-prom.
Thing's to know:
- PTA President is the ONLY person authorized to sign contracts that obligate the PTA
- PTA must be named as "co-insured" on the liablility policy of those with whom we enter into contracts.
- Provide PTA treasurer with fundraiser details income/expenses.
- Excess funds may NOT be placed in the general PTA fund unless donors where made aware of it when the donation was solicited.
- PTA Treasurer files financial records with the IRS
- Bonding insurance covers all people who handle after-prom money
