Helpful Information

Emergency Telephone Numbers: If someone needs to reach you, the telephone number for Beloit College is 608-363-2000, and the emergency number for Security on campus is 608-363-2355.  They will have a list of everyone attending and where to reach them. You may also try calling the cell phones of Sue (630) 865-8304 or Mady (630) 251-0811 or Nancy (608) 358-4478 or Diana (414) 828-0570.

Lodging: Lodging will be in Aldrich Hall, a dorm on the Beloit College campus.  Rooms contain one or two single beds; bathrooms are shared.  (We will post which are to be for men and which are to be for women.) Our group will be the only occupants of these buildings.  There are lounges on each floor that contain full kitchens, including refrigerators, which we may use.  All dorm rooms are air-conditioned.

Security: Each person staying in the dorm will receive a room key and a key card for the dorm itself.  After-dance activities will be in Maurer Link, which is between Aldrich and Maurer Halls.

Smoking: Beloit College does not permit smoking in any buildings. It is possible to smoke on the grounds. 

Alcohol:  People and groups are free to bring in alcohol for their own consumption in the areas we will be using.  If you’d like to bring alcohol for yourself or for others to share, please feel free to do so.

First Aid Kit: A first aid kit will be kept near the band in Hendricks Center.

Check-in:  Check-in will occur in Maurer Link from 4:00 p.m. – 8:00 p.m Friday.  People arriving after this time should come directly to Hendricks Center or call one of the organizers’ cell phones.

Check Out Time:  Participants need to clear their rooms and return their keys by 4 p.m. Sunday. (There is a hefty fee for unreturned keys.)

Provided in the rooms are:

  • a made-up bed
  • a linen packet with washcloth, hand towel and 2 bath towels
  • small (hotel-size) soap, paper cups

Things you may want to bring:

  • items for the silent auction
  • extra towels, shower gel, etc.
  • a shower caddy or bucket for holding your stuff in the shower
  • alarm clock
  • mosquito repellent for the walk to the ball
  • musical instruments and/or props for ceilidh acts
  • snacks/treats for parties and/or drinks to share 

Meals: 

  • Friday dinner is on your own – a local restaurant list is available on the Visit Beloit website.  The Commons Cafeteria in Chapin Hall will also be open.
  • Saturday and Sunday Breakfasts and Lunches: Breakfast and lunch will be served in the Commons in Chapin Hall.  This is Beloit College’s dining hall.  The food is served buffet style and every meal has vegetarian options.  The food is very good!
  • The Saturday Banquet will be held in Pearsons Hall. 

Teaching Sessions: All workshop dance sessions will be held in Hendricks Center. 

Gatherings:  Maurer Link will serve as the location for the Friday night party and the Saturday night Ceilidh.  Donations of snacks or sweets or beverages for the gatherings are always welcomed and appreciated.

Ceilidh:  The Ceilidh is held after the Saturday Ball. A ceilidh master will be ready to register your acts during the weekend. 

Ball: The ball will be held in Hendricks Center.

Ball Walk-Through:  Local teachers will lead the walk-through in a Hendrick Center dance studio on Saturday afternoon from 4:00 to 5:00.

Items for Sale:  If you have items for sale (CDs, tapes, books, t-shirts, etc.), they may be offered at Hendricks Center before and after teaching sessions, Saturday and Sunday, or at lunch on Sunday.

Silent Auction: We will hold a silent auction again this year.  Items available for bid will be on tables in the lobby area of Aldrich Hall.  Printing and filling out your form beforehand will be helpful--you can find it at:   Silent Auction
