Committee Meeting Notes 30th October 2008

 

 

Just Good Friends

 

A meeting of the executive committee members was held on 30th October 2008. Those present were Steve (Chairman), Sonia (Membership Secretary), Graham (Events Co-ordinator) and Melvin (Treasurer). Apologies received from Anita (Club Secretary).

 

Agenda

 

  1. Members

 

    1. Common renewal date

 

There was discussion of having a common renewal date for members, say, 1st April. This idea along with future subscription fees will be explored further with proposals going to next years AGM.

 

    1. Receipts

 

All people paying monies to either the Treasurer or the Membership Secretary for joining or renewals will be given a receipt.

 

    1. Up-dating forms/How to share information about members

 

The following procedure will apply from now on.

 

Details of potential new members will be given to the Membership Secretary. The Membership Secretary will send programmes to these potential new members for 2 months. After 2 months they will be asked to join the club. If they join their details will be sent to the Chairman (so a welcome letter and constitution can be sent to them), Treasurer (so that names and fees can be linked) and the Events Co-ordinator (for future programmes).

 

    1. Events to encourage new members.

 

It was thought that a coffee evening/afternoon would be a good way to encourage potential members to join. This could perhaps be done quarterly. Details and request for venues will be in the next programme.

 

    1. Advertising

 

Decision to continue with the postcards but to include the meeting at the Seal on the first Thursday of each month.

 

 

  1. Financial

 

    1. Balance - what we do with it?

 

With some money built up over the years it was thought to be a good idea to subsidise a meal in the new year. The menus for the Seckford  and Waldringfield golf clubs are being investigated.

The AGM minutes were approved subject to some minor clarifications.
