Here are the details of the service I provide.

MY NORMAL LEVEL OF EDITING  I check everything in the text that I receive from you. My main purpose in editing is to improve the language and to make it stylistically and linguistically as fluent, clear and compelling as possible. I correct grammar and stylistic errors as I edit and rewrite whatever needs to be rewritten. I also suit the language to the style and purpose of the document so that both language and expression are appropriate to the intention of the author.

CONTACT WITH AUTHOR DURING EDITING PROCESS  I keep in close contact with the author throughout the editing process so that we can discuss any problems that may arise. I find that clients often benefit from the kind of reassurance that I am able to provide as I edit. I find that constant and focused e-mail and telephone communication with clients (when necessary) is a feature of my work that many clients appreciate.

REPRESENTATIVE SAMPLE OF WORK  Before the editorial process begins, I always ask a client to send me a representative chunk of their work (about five to ten pages are sufficient) as an attached file accompanying an e-mail. I ask for this sample so that I can get an idea of the level of editing that I will need to apply to the text. I work only in Microsoft Word.

CHECKING PERIPHERALS  While I edit, I check all labels and captions (of diagrams, tables, figures, illustrations, etc.), as well as all headings and sub-headings, etc. for sense and consistency. I also check the numbering in the text itself (usually for the final time at the end). If editorial changes affect the accuracy of the Table of Contents, I ask the client to make the necessary corrections. If the client has used "levels" of headings, I make sure that they are sequential, logical and in the right form and type face.

EDITORIAL NOTES TO CLIENTS  Although I resolve all editorial problems myself, I insert a note to the client in the text itself when I feel that only the client can resolve a particular problem. These notes are

always in the same easy-to-distinguish format – enclosed in double chevrons << like this >> and highlighted in bright yellow for easy visibility. The client deletes the queries once he or she has dealt with them. I have used this format for years and it works very well.

FEE  My current fee for editing is R39.00 (or US$6.00) per edited page, where a page is defined as 300 words – however those words may be distributed or arranged on a page. Words in tables, for example, are simply counted as words. I use the Word Count function (under Tools in MS Word) to count the words of each chapter electronically, and then divide this number by 300 to obtain the total number of pages in that chapter.

INVOICING AND PAYMENT  After each section of the work has been completed (usually a chapter, or perhaps two chapters if the chapters are short), I will send you a detailed sequentially numbered invoice. Each invoice specifies the exact number of words I have edited, how I calculated the amount, and any other requisite information. You pay me by depositing the amount on the invoice into the specified account. This system allows me to present invoices intermittently for work performed rather than one invoice for the whole project at the end. Most clients find that this arrangement suits them very well.

ALLOWING ENOUGH TIME FOR EDITING  Although I work very fast, I find that some clients need to appreciate and understand that editing is a laborious, time-consuming and demanding activity because every word and thought in the text needs to be scrutinised and understood in context. The rewriting process is also very time-consuming. It is important therefore to schedule enough time for me to do the editing in the best way I can. I always negotiate a reasonable schedule with my client that takes account of both of our circumstances. After all, a text that has often taken years to write and rewrite cannot be properly edited in a few days. I find that most clients understand this very well.

By 2009, I shall have had thirty years of intensive experience of this kind of work, and I have many happy and grateful clients from all language groups and races, both in South Africa and from countries as diverse as the United States, Finland and South Korea. If you have any other questions about the editing process, I would be most happy to answer them.

Your editorial needs are my passion!

Roger
